How to Request Meeting Event / Space at the Surrey (1st Floor) Note: The Schedule Office does not manage Overnight Accommodations 1. Login to EMS 2. Under Reservations menu, select “Space Request” 3. Enter the applicaple information for “When and Where” as you normally would 4. Enter the expected “Attendance” that you wish to have the space set up for 5. Click “Find Space” button to display available rooms that are able to accommodate the number of people indicated in Attendance Note: This shows by individual room, so if you plan to overflow into multiple rooms, you must search by entering the max attendance for one room 6. Click the green button to select room(s). Note: If you have multiple bookings (multiple rooms or dates) on the same reservation, the setup request will be applied to all bookings that allow that item. To enter different setups for each room, you will need to edit the request after submitting! 7. Verify the Setup Count is correct for each room under “Selected Locations” (see circled area above) 8. Click Continue button to move to the Details tab 9. Enter your Event Details and Group Details as you normally would 10. Enter Other Information as accurately as possible (questions marked with * are required) 11. Request catering service if applicable (even if you do not know your menu yet, but expect to have catering please select “Menu To Follow” to alert Dining Services in advance) THIS IS THE NEW PART… EVENT SET UP REQUEST! 12. Click the item name (in blue) to view photos of the item/setup. 13. Click the check box to select an item and enter the desired quantity (leave as 1 for setup types). Note: Only items that are allowed in at least one of your selected locations will appear in this list (Click thumbnail to show larger image) 14. When finished, click “Submit”. 15. After submitting, you will be brought to the Reservation Details page where you can review your request by clicking the either of these icons under the Services column Note: If you have multiple bookings (multiple rooms or dates) on the same reservation, the setup request will be applied to all bookings that allow that item. 16. If this caution symbol is displayed next to a booking, be sure to review the request and make the necessary changes by clicking the icon under Services column 18. Edit the quantity of item or delete item by clicking the symbols from the Booking Details page 19. Your event setup will be forwarded to Facilities Services. You do not need to submit the Event Setup Request Form on Facilities Services website.
