Let’s have a Rally
November 2015
The Rally Secretary. Is your first point of contact for details
on future rallies already booked, available dates for rallies
needing marshals, the rates normally paid to farmers, and
any other assistance you may need.
A New Site. Once you have found a friendly farmer or landowner who
is prepared to let us rally on his land and can supply our basic needs
(water and elsan disposal ) the following should be discussed :





Possible size of rally.
Field capacity ( 20 vans per acre ).
Suitable access.
Opening and closing times of rally.
Fees payable. (check if inc.Vat)
CONFIRM any booking at least 4 WEEKS prior to the rally’
Rally Programme. One named person (Rally Marshal) to be responsible
for the conduct of the rally. (Gen. Letters Section 3/ pg 3-7 item 35)
Decide on what YOU want to do for the rally.
Barbeque, Competitions and Quizzes are always popular.
Sports can be arranged with the Sports Officer if help is needed.
If you decide to run an off field social a hall of suitable size needs to be
Obtained.
A direct approach to the Owners is suggested to make whatever
arrangements you may require.
Should you need your rally programme printing or copying, the Centre
Secretary can help ( please allow 4 weeks before your rally ).
Police and Fire Brigade. Should be notified of date and
venue of the rally
Newspapers. It is your choice whether you provide
these for sale.
Prizes. Lucky van prizes are normally given.
They should be of nominal cost, donations from
other rallies are often received.
Prizes are also given for each age group in competitions and may also be given for any quizzes
may hold.
Plaques. The Plaque Brochure and order form will be
provided by The Rally Plaque Officer for you to decide
your motif and colour. The pro-former should be returned to The Rally Plaque Officer at least 2 weeks before the rally. Alternatively the Plaque book can be
viewed on-line.
Plaques are only supplied for Holiday rallies or special
occasions.
Rally Equipment. The standard list of Rally Equipment is
as follows : Signs : 10 direction, 2 5 MPH, 1 Rally
Marshal & 1 Co Marshal, 1 Entrance, 1 Drinking water
only, 1 Elsan and 1 Disclaimer notice.
Other Equipment : One flag pole, four Flags ( 1 Caravan
club Red, One Durham, and two Yellow.
Pegs, First Aid Box, One Fire Bell, One Teapot, Two Pump
Flasks, Field PA system and One fire Extinguisher.
Rally Marshals should make arrangements to collect all of
the equipment from the previously pre-arranged rally, (see
rota in Handbook). Kits to be kept complete at all times
during changeover.
Marshals requiring additional equipment should contact
the Equipment Officer at least two weeks prior to the date
required.
LOST OR DAMAGED EQUIPMENT should be reported to
the Equipment Officer as soon as possible.
Safety. The Fire Bell is normally set at the base of the flag
Pole. The fire Extinguisher is located at Rally Marshals
Van A frame, to protect it from vandalism.
Guy ropes and pegs should be clearly marked to avoid collision.
Clear access to the field and roadways between Vans is essential and should not be impeded in any way at all times.
Ready To Go. Rally Marshals and Co Marshals may arrive on site the
day before the Rally commences subject to prior arrangements with the
landowner. This allows extra time for pegging the field and putting
signs out etc.
Siting pegs should be a minimum 8.5 metres apart and 15 metres between rows. Do not site Vans under overhead cables.
Arriving Ralliers are welcomed with their envelope containing the rally
programme, competitions and plaque (where applicable). Rally money
should be collected at this time. Pitching is as directed by the Rally
Marshal. Reservation of pitches is at the Rally Marshals discretion.
Cars should be parked on the near side of the van/awning.
Second and visitors cars should be parked away from the vans as directed by the Rally Marshal.
Social Evening. The Rally Marshal books the hall and
makes and confirms arrangements with the Caretaker or
other responsible person. Alternatively Gazebo/party
tent may be used if preferred. (book from Equipment Officer.)
Audio equipment can be obtained by arrangement with
the Audio Officer. If assistance with the running of the
social is needed, advice is available from any Committee
Member. Refreshments can be provided at the agreed
price, Alcoholic drinks may only be taken into the hall by
arrangement.
Inform Ralliers of the siting of fire exits. Make sure the
hall and toilets are left clean and tidy when you leave and
remove all waste.
Coffee Morning/Flag
It is courteous to invite the Farmer or Landowner.
Set up the P A system.
Rally Marshals usually make their own announcements first (thanks,
competitions, visitors, first time ralliers, birthdays, anniversaries, prizes
etc.)
The Chairman, an Officer or Committee member attending the rally will
make the club announcements and presentations of Rally /Co Marshal
Bars. In the absence of any member of the current committee, it is the
Rally Marshals decision to whom presents the Rally /Co Marshals Bars.
Normal wk/end rallies members are requested to bring their own drink.
We provide biscuits and juice for the Children. Don’t forget “the sweets
for the Children”. On longer Rallies drinks may be provided (optional)
at Coffee Morning. Finally if used, wash and dry boilers.
Time Fo Finish Make sure the Elsan disposal point /manhole cover has been replaced at the time stated in the programme.
Not very often but if an Elsan pit (with the
approval of the Landowner) has to be dug
in the absence of a convenient disposal
point, replace any Turfs removed during
digging
All rally signs and pegs should be collected, cleaned and packed. Check
field for litter and close gates and thank Farmer before leaving.
Accounts. The Rally Marshal settles all accounts for
Field or Site (unless invoiced)
Social Hall (if used)
Catering and refreshments
Prizes and other rally expenses
V.A.T. Receipts should be obtained for all purchases.
Rally Accounts sheet to be completed and returned to the Treasurer together with V.A.T. Receipts and any monies due within four weeks.
Cancellation. If you have to cancel your rally please :
1. Inform the Rally Secretary
2. Inform all Ralliers booked on the rally.
3. Enlist the Committee’s help if needed.
