REGULATIONS OF THE EVENT „TRACTORDAY 2017”
1. EVENT – „TRACTORDAY 2017”, hereinafter – Event.
2. GOAL – to promote the development of Latvian agriculture and rural areas, to maintain and
improve rural environment as well as its management, and to introduce more effective usage of
resources by combining education, production and practical agriculture demonstrations in one
event. The event aims to stimulate experience exchanges amongst agriculture specialists, dealers
of agriculture equipment and technologies, entrepreneurs, institutions of agriculture education,
participants of public and non-governmental organizations and enthusiasts of the industry of
agriculture.
3. ORGANIZER– Foundation the Fund for Developing Agriculture of Latvia, hereinafter –
Foundation.
4. TIME – Event „TRACTORDAY 2017” shall take place on May 26 and 27, 2017.
Preparations for the Event are planned for May 24 and 25, 2017.
5. PLACE – field Anskini of joint stock company „AGROFIRMA TĒRVETE”, Tervete parish,
Tervete district.
6. CONCEPT AND ORGANIZATION
6.1. „TRACTORDAY 2017” is a two-day event :
6.1.1. May 26, 2017 – „SMART AGRICULTURE IN PRACTICE” – seminars,
demonstrations of equipment units and researches, exhibitions of equipment,
technologies, services an agriculture goods, tractor competition;
6.1.2. May 26, 2017 – „ PRACTICAL SKILLS IN PROMOTING THE
EFFECTIVITY OF RESOURCES” – the closing event for the competition Clean
Latvia, organised by society LATVIJAS ZAĻĀ JOSTA.
6.1.3. May 27, 2017 – „TRACTORDAY” – tractor competition on track, exhibitions of
equipment, technologies, services an agriculture goods, demonstrations of equipment
units and researches, educational activities.
6.2. The participants of the Event can be companies producing and selling agriculture equipment
in the territory of Latvia; enterprises offering agriculture and rural development related
services or goods; public organizations working in the field of agriculture and rural
environment; educational institutions and non-governmental organizations.

6.3. Participants of the Event:
6.3.1. Group 1 Participants– companies producing and selling agriculture equipment in the
territory of Latvia; enterprises offering agriculture and rural development related
services or goods.
6.3.2. Group 2 Participants – public organizations working in the field of agriculture and
rural environment; educational institutions and non-governmental organizations.
6.4. During the Event the Participant may use a previously determined and conformed area,
where they can present equipment units and technologies, as well as services and goods.
6.5. For the event, the group 1 Participants are offered a standard sized square unit of 10m by
10m. According to their needs, a Participant may choose as many square units as necessary.
6.6. Group 1 Participants may also apply for additional equipment demonstration outside their
square units. This, however, should be specified in ones application form.
6.7. Group 1 Participants may apply for equipment, technology, service or goods presentation
during seminars on the first day of the Event – May 26, 2017. This, however, should be
specified in ones application form.
6.8. For Group 2 participants – public, non-governmental and educational institutions – the
square units are assigned by the Foundation. Every group 2 ensures they have everything
they need for the preparation of their stand.
6.9. The placement of the Participants’ equipment, technologies or other necessary things is
allowed only within Participants square units or another place assigned by the Foundation.
The placement of the Participants equipment, technologies and other necessary things
outside their square units or the place assigned by the Foundation is not allowed.
6.10.
Within their square units the Participant may organise activities for popularising their
products or services (skill tests, presentations, demonstrations, etc.).
6.11.
In order to equip their square units with necessary things (tents, seats, tables, etc.) the
Participant may chose to cooperate with the company assigned by the Foundation – limited
liability company„Tent for Event Baltic”, and use their special offer for the Participants of
„TRACTORDAY 2017”. In this case the Participant settles all payments directly with the
provider of the service. However, the Participant may chose to use their own tents and
equipment.
6.12.
The Participants are not provided with a trading place. The Event does not support
trading goods or products.
6.13.
Any kind of trading is organised by the Foundation, which keeps the right to chose
participants of the market and the assortment of offered goods.
6.14. The Participants of the Event may choose to provide their staff with catering services,
organised by the Foundation in accordance to announced number of people, times of meal
and date. The costs of catering shall be determined by the provider of the service.
7. APPLICATION PROCESS FOR THE EVENT
7.1. The application is completed by submitting an application form:
7.1.1. By April 10, 2017 for group 1 Participants, who apply for participation in the Event
and equipment demonstrations, or apply for presentation of their equipment,
technologies or services in the seminars on May 26, 2017.
7.1.2. By April 14, 2017 for other Group 1 Participants;
7.1.3. By April 14, 2017 for Group 2 Participants.
7.2. The Agreement for the participation in the Event shall be concluded by April 28, 2017.
7.3. For group 1 Participants, who will have concluded participation agreement by April 28,
2017, the square units will be assigned by means of a lottery on May 8, 2017. The lottery
will take place on May 8, 2017 at 12:00 on field Anskini, Tervete parish, Tervete district.

7.4. For group 1 Participants, who will have applied, but will have failed to conclude
participation agreement by April 28, 2017, the square units shall be assigned by the
Foundation.
7.5. All information about the Participants of the Event shall be uploaded to the Events web
page www.traktordiena.lv. As much as possible, this information shall also be published in the
programme and on the map of the Event.
7.6. The Participant shall submit a precise information on their staff members and catering
necessities (date, times of meal, number of people) no later than by May 12, 2017. This
shall be done by filling out a form provided by the Foundation. This form shall be emailed
to [email protected].
7.7. Arrival and registration time for group 1 Participants - from 2:00 p.m. until 8:00 p.m. on
May 24, 2017; from 10:00 a.m. until 8:00 p.m. on May 25, 2017. If a group 1 Participant
cannot arrive during the given time, they shall coordinate the time of arrival with the
Foundation by e-mailing [email protected]. This shall be done by 2:00 p.m. on May 22, 2017.
7.8. Preparations of Participants square units:
7.8.1. The arrival, unloading and installation of Participants bulk equipment is planned for
May 24, 2017 from 2:00 p.m. until 8:00 p.m. and May 25, 2017 from 10:00 a.m. to
8:00 p.m.;
7.8.2. Preparation of group 1 Participant square units is planed for May 26, 2017 from 8:00
a.m. until 10:00 a.m.;
7.8.3. For group 2 participants square units are assigned by the Foundation. The preparation
of these areas is planned for May 26 and 27, 2017 from 7:30 a.m. to 9:00 a.m.
7.9. The opening ceremony for the first day “SMART AGRICULTURE IN PRACTICE” of
the Event “TRACTORDAY 2017” is set for May 26, 2017 at 10:00 a.m.
This part of the Event is taking place on May 26, 2017 from 10:00 a.m. to 6:00 p.m. and
includes:
7.9.1. seminars;
7.9.2. demonstration of equipment, such as ploughs, sowing machines, stubble cultivators,
spraying devices, and others in action;
7.9.3. examination and evaluation of crop sowings;
7.9.4. tractor competitions on track – quarter-finals.
7.10. „ PRACTICAL SKILLS IN PROMOTING THE EFFECTIVITY OF RESOURCES”
– the closing event for the competition Clean Latvia, organised by society LATVIJAS ZAĻĀ
JOSTA. This event takes place on May 26, 2017, from 10:00 a.m. to 4:00 p.m. and
includes:
7.10.1. Activities of competition participants and group 2 participants;
7.10.2. The awarding ceremony of competition winners and stage programme is set for May
26, 2017 from 12:00 p.m. to 2:00 p.m.
7.11. The opening ceremony of second day „TRACTORDAY” of the Event„TRACTORDAY
2017” is set for May 27, 2017 at 10:00 a.m.
The Event takes place on May 27, 2017, from 9:00 a.m. to 4:00 p.m.
7.12. The Participants shall be present at their square units on May, 26, 2017 from 10:00 a.m.
and on May 27, 2017 from 8:00 a.m.
7.13. The Event shall take place in any kind of weather. If the Participant decides to not
participate in the Event due to bad weather, the Foundation is not obligated to return their
participation fee or any other payments.

8. PARTICIPATION PAYMENTS:
8.1. In order to reserve their square units in the Event, the Participant shall pay the Foundation a
participation fee, that consists of EUR 850.00 + VAT 21% for one standard square unit
with the size of 10m by 10m. According to their necessities group 1 Participants may chose
to apply for one or several standard square units. The participation fee for each group 1
Participant shall vary according to the chosen number of square units.
8.2. In order to present their equipment and technologies outside ones square units or race track,
the Participant shall pay a participation fee of EUR 50.00 + VAT 21% for each applicant
equipment or technology unit. (A single unit is considered to be a tractor with its
interchangeable set or self-propelled vehicle).
8.3. In order to present their equipment, technologies, services or goods during seminars, the
Participant shall pay a participation fee of EUR 200.00 + VAT 21% for a presentation
that is 1-15 minutes long.
8.4. The insurance payment for a single equipment unit, that participates in the trailer pulling
competition on track or is applied for practical demonstrations, is EUR 30.00 + VAT 21%.
This payment applies to those group 1 participants who, in their application form for trailer
pulling competition or equipment demonstrations, will have specified their wish for the
Foundation to take care of the insurance. However, the group 1 Participants may choose to
settle the matters of insurance by themselves.
8.5. For group 2 Participant, the square units are given free of charge.
8.6. Any participation fees for square units or equipment demonstration shall be settled by May
12, 2017.
8.7. Any payments for participation in the trailer pulling competition or insurance of equipment
for practical demonstrations shall be settled by May 12, 2017.
8.8. Any payments for Participants staff catering shall be settled by May 19, 2017, in accordance
with the announced number of people, date, time of meal and prices provided by the
catering service. The invoice shall be drawn up based on the information each participant
submits by May 12, 2017 on e-mail [email protected]. The catering services shall be ensured only
upon receiving prepayment by the given date.
8.9. The Foundation reserves the right to draw up a single invoice for all Participants payments.
8.10.The invoice by the Foundation is drawn up electronically and shall be sent to the e-mail
address specified in Participants application form.
8.11.
All payments must be settled by bank transactions and in accordance to the invoices
provided by the Foundation. The Participant shall meet all payment deadlines provided in
these regulations, participation agreement and invoices.
8.12.
All payments for equipment transportation and installation shall be covered by
Participant. These payments shall be settled directly with the provider of the service, based
on a mutual agreement.
9. MAIN PROVISIONS FOR THE PARTICIPANTS
9.1. Only those companies, that have submitted an application form, have been verified for the
participation, have concluded participation agreement, have settled their participation fee as
well as other necessary payments and is determined to comply with the rules set by the
Foundation, as well as other provisions, can become Participants of the Event.
9.2. Each Participant shall comply with the Regulations of the Event, drawn up by the
Foundation. The Participant shall follow the provided order, rules, instructions and requests
of the Foundation, regulation of trailer pulling competition, regulation for equipment
demonstrations, fire safety and environment protection provisions, work safety rules,
instructions given by the representatives of the Foundation and institutions of state or local
municipality on public order and safety. The Participant shall also comply with road traffic

rules and undertake the responsibility for their action or omissions. the Participant confirms
their compliance with these rules by nominating a person with signatory power, who
concludes a participation agreement. By concluding such agreement the Participant
confirms that every member of their staff, employees, representatives and external third
parties shall also comply with said rules.
9.3. The Participant is solely responsible for their equipment, technologies and their
exploitation, goods, services, belongings, conformity of their employees, staff,
representatives or external personnel to the concept and nature of the Event. The Participant
makes sure that given people comply with the rules of the Event, as well as requests by the
Foundation and requirements found in respective legislations.
9.4. The Participant shall solely make sure to receive all necessary permits, licences, agreements
or certificates if such documents are required for their participation and work in the Event.
The Participant must also be registered accordingly to the process found in respective
legislations.
9.5. All Participants equipment and technology units, including those displayed at their square
units, those submitted for participation in the competition, and those given for participation
in demonstrations or seminar presentations, shall be insured.
9.6. The Participant is not allowed to offer or use any spirit drinks in their square units or the
place of the Event.
9.7. The Participant shall be present in their square units from the beginning of the Event until
its end. Each Participant solely takes care of order and cleanness of their working areas.
9.8. At least one of Participants representatives shell be present during the preparation and
clearing of their square units, and while the area contains Participants properties and
belongings.
9.9. The Participant shall solely be responsible for transportation, unloading, loading,
installation, supervision and clearing of their equipment, technologies or other necessary
belongings things or goods. This shall be done in accordance with the instruction of the
Foundation.
9.10.
After the closing of the Event the Participant shall free their square units, ensuring
that the area is free of their belongings. The Participant shall leave the space free from any
garbage, which shall be transported to a specially provided space.
9.11. If the Participant decides to withdraw from the participation in the Event after 5:00 p.m.
May 9, 2017, or the Participant fails to arrive to the Event without a warning, the
Foundation may use the right to use their square units for other purposes.
10. THE FOUNDATION
10.1. The Foundation sets the rules and provisions for the Event.
10.2. The Foundation performs the general set up of the place of the Event in accordance with
public order and safety, fire and work safety rules, as well as environment protection
provisions.
10.3. The Foundation insures their civil liability as the organizer of the Event.
10.4. The Foundation ensures general public order and safety at the Event, as well as medical
first aid for both Visitors and Participants.
10.5. The Foundation informs both Visitors and Participants about the provisions that need to
be taken into account during the Event. The Foundation also informs Visitors and
Participants about public order and safety, fire and work safety rules, as well as environment
protection provisions.
10.6. The Foundation allocates Participants their square units, and place for equipment
demonstrations.

10.7. The Foundation ensures common security:
10.7.1. from May 24, 2017 at 08:00p.m. to May 25, 2017 at 9:00a.m.
10.7.2. from May 25, 2017 at 08:00p.m. to May 26, 2017 at 9:00a.m.
10.7.3. from May 26, 2017 at 08:00p.m. to May 27, 2017 at 9:00a.m..
10.8. The Foundation is not responsible for any damages caused by Visitors or Participants
actions or omissions. The Foundation is also not responsible for Participants equipment,
technologies, materials, properties or belonging of Participants staff or Visitors.
11. VISITORS
11.1. The Event is free of charge for all Visitors, without any restriction or special conditions.
11.2. For the Visitors the Event is free of charge.
11.3. The Visitors of the event shall comply with order and provisions set by the Foundation.
They shall also behave in accordance with rules of public order, general safety and fire
safety; provisions of environment protection; instruction from the Foundation or
representatives of state or local municipality institutions.
11.4. The Visitors shall not use or offer others any spirit drinks, psychotropic, narcotic or other
intoxication substances. They are prohibited from attending the Event while carrying any
guns, explosives, fireworks, flammable or toxic substances.
11.5. In order to participate in the activities provided by Participants (skill tests, presentations,
demonstrations, contests, etc.) the Visitors shall comply with the instructions and requests
given by the respective Participant or the Foundation.
