This packet gives the logistical information you need to prepare for your 2014 LEAPYEAR, which runs from January 2014 through August 2014. This is packet #2 of four preparatory packets: Packet I - Acceptance and Registration - Contained the Program Calendar, Financial Aid Information, Program Payment and LEAPYEAR Policies. Previously sent. Packet II - Logistical Preparation - Contains Instructions To Access Online Information About Communication, Safety, Travel Details, Health Insurance, Immunizations, Visas, Gear and Equipment packing lists. Also Includes Logistics Paperwork. Packet III - Academic and Mental Readiness - Devoted to academic preparation, college credit, guidance on choosing an internship, and things that students can do to mentally prepare for their LEAPYEAR journey. Arrives mid-Fall shortly after the logistics packet. Parent Packet - A packet for parents that prepares them for the transitions that their son/daughter is moving through as well as how to prepare for the Rite of Passage weekend – May 9-11. Arrives mid-winter. The last three pages of this packet are to be filled in with the information that we need from each student before their arrival on campus. Any additional information that you will need to know to prepare for the year ahead is found on a webpage that we have designed for the LEAPYEAR group, called the LN Groups Page. The site is: www.leapnow.org/lngroups. Here you can find information regarding communication, safety, making travel arrangements, health insurance, immunizations, visas, packing, and more. You will also be able to learn more about your fellow students and leaders on this site. If you have any questions that are not answered on the LN Groups Page, feel free to call or e-mail our office. Please keep all materials we send you in one place – preferably a binder of some sort – so that you don’t lose information, and we don’t have to send it to you more than once. Visit the LN Groups Page at www.leapnow.org/lngroups for detailed logistics information. If you have any issues, call 707-431-7265 and speak to our staff. Passport, Visa & Money: Read the information on the LN Groups Page about your critical travel documents. Use the checklist below to ensure all steps are completed. Passport – Scan and email us a copy of your passport ASAP. We need a copy of your passport to book your international ticket and delays in this step may increase the cost. If you need a new passport, get one immediately because the process can take up to ten weeks. If time is tight for you, please pay extra for expedited passport service. Please start the process online at: http://www.travel.state.gov/passport. India Visa - Read the information about the visa process on the LN Groups Page. This is the area that has most potential for delaying your trip. There are a lot of steps to this process, so be extra sure you fill out your form correctly using the instructions provided. Get started online ASAP AFTER October 1, 2013. You will need to have a passport before you start the Visa process. Money - Read the information about personal funds and procure Visa Travel Money Cards. Travel Arrangements: Make your U.S. travel arrangements for the first semester – to get to and from our northern California campus for the program. Keep in mind that airline tickets are cheaper when purchased in advance – do this before December 1, 2013. LEAPNOW will make all international airline reservations for you. Please do NOT make your Summer 2014 travel arrangements before February. Immunizations: Get the required shots – see the list on the LN Groups Page. Don't delay this step – some vaccinations are staged over time, and some people may have adverse reactions to these shots or boosters. It is best to get these out of the way before the final stages of your preparations. Without proof of these immunizations you will not be able to travel with your LEAPNOW group. Academics & Financial Aid: You received instructions in the LEAPYEAR Acceptance and Registration Packet about how to start the Financial Aid process for the LEAPYEAR program through Antioch University Seattle. The next packet (Packet III - Academic and Mental Readiness) will include more detailed information about LEAPYEAR coursework and how to get ready for your first quarter which is Antioch’s Winter quarter. Health Insurance: Provide us with proof that you are covered for medical expenses for the entire program – abroad and in the U.S. You cannot do the program without proof of adequate medical coverage. Paperwork: Forms to send to LEAPNOW Office. Complete the 3 pages of LEAPYEAR Paperwork included with this packet. They are clearly marked with “LEAPYEAR “U” Group Paperwork Packet” at the top of each page. Please fax in or send these forms to us by mail as soon as possible. Pack your bags! Use the clothing and equipment lists on the LN Groups Page to pull together everything you need. Make copies of everything for yourself, then send us the paperwork AND the checklist. (Please don’t neglect to make copies for yourself – it is a drag for everyone if you have to re-create this list if the forms are lost in the mail!) Scan and email us a copy of your passport ASAP. Complete all Paperwork including: Proof of Health Insurance, Travel, Email, & Dietary Information Form, LEAPNOW Information Release Form, and Consent Form for Disclosure to Parents Send us a copy of the forms which document that you are up to date with your immunizations: (Including Typhoid, Hepatitis A, Tetanus/Diphtheria, Measles/MMR and Malaria Rx). Documentation might include Vaccination Card, Immunization Record, prescription record, or a letter from your Doctor.
