Mid Herts Rural Minors League A Guide to Registrations 2017/2018 Season Team sheets for every club will be emailed to Club Secretaries which will include every team currently registered. The ages will have already been updated for the coming season. There will be a separate spreadsheet for every age group. For Under 12s and younger there is NO requirement to have team names, all players are pooled and can play in any team on a given day (only once). The Under 13s and over have (if applicable) their current registered team names on the spreadsheet. If a player is transferring internally, you just have to change the team name to the new team and highlight that cell in red. All details on the spreadsheet will need to checked and if amended you will need to highlight any changes in red i.e. change of address or emergency contact numbers. If any players are not reregistering for your Club, you just need to delete that particular line in the team spreadsheet. If you have new players, please add these to the bottom of the appropriate spreadsheet, i.e. Bill Bloggs is joining the under 8’s therefore add his details at the bottom of the under 8 team spreadsheet leaving the ID blank. Remember to also attach any supporting photos and ID. THERE SHOULD BE NO COMMAS IN THE TEXT AT ALL AS THIS COMPLETELY MESSES UP THE TRANSFER OF DATA ONTO THE REGISTRATION CARDS. Photographs New photographs are required for every existing registered player. These must be in jpg format and each one must be named as the players ID number (this will be on the spreadsheet). i.e. Fred Bloggs played for Melchester Rovers last year, his id number was 12345, so when sending his picture in, the picture will be called : 12345.jpg New players will have their pictures named as with their names: Fred’s Brother Bill however is a new signing, so his picture is named: Bill Bloggs.jpg. ONLY JPG IMAGES will be accepted and these must be recent head shots only. Due to the nature of the process, if any of these are wrong or of insufficient quality, the whole spreadsheet and set of pictures will be returned unprocessed. This is an example of an acceptable ID Photo: the filename would be named <players name>.jpg if it was a new player and their ID number e.g. 12345.jpg for an existing one. Please do not call the file 12345.jpg as a file name. The .jpg is the file extension. We have many pictures coming in called e.g. 12345.jpg.jpg which also hinders the registration process. Anything else is unacceptable and we will return the complete spreadsheet and photos unprocessed if any one picture varies from our requirements for a valid ID Photo. You would then be required to resubmit the spreadsheet, pictures and any relevant IDs in their entirety again. This is an example of an unacceptable picture All we require is the head and neck. Finally, on the subject of Photos, DO NOT send topless pictures of players in or anything that could be construed as inappropriate. Last year we had a picture submitted of a boy in the bath. If we receive any such picture we will advise the appropriate authorities as they can and invariably will be interpreted as child porn. This is a serious warning of something that has happened before. We do not, however envisage any such picture, as you are all aware that we only will accept head shots. ID Requirements No ID is required for existing registered players to your club. ID for new players to your club. Proof ID - acceptable ID either a copy of the player’s valid passport or birth certificate saved in jpeg or pdf format. The ID file should be saved i.e. a new under 8 player Bill Bloggs his ID is saved as U8PROOFBILLBLOGGS.JPG or U8PROOFBILLBLOGGS.pdf New Teams In respect of new teams this season you will need to complete a new spreadsheet. A Blank version will also be emailed to every Club. When submitting this spreadsheet you will need to attach a jpeg photo and proof of ID of each player. The photos must be named after the player if they do not have an existing ID. Spreadsheets and attachments need to be sent to Steve at [email protected] and his contact telephone number is 07931 771 387, however we would inform you that all enquiries need to be from your Club Secretary or nominated representative. You may also contact the General Secretary [email protected] 07415 102872 who is the contact on our Committee who will be dealing with the overseeing of registrations for next season. All cards will be kept and handed out before the start of the Season at the League handout meeting date to be confirmed. Once the Season has commenced Cards will be created within 72 hours of receipt, so if a team wants someone to play, they must send over the information by midnight on a MONDAY evening for the weekend. Sending information after the agreed cut-off time will in most circumstances mean the card will not be ready until the following week. Cards will be distributed on a weekly basis as per this season. ONCE THE SEASON HAS STARTED CLUBS WILL NOT BE ABLE TO REGISTER PLAYERS WITHOUT NEW ID AND PHOTOGRAPH. YOU WILL NOT BE ABLE TO USE THE PREVIOUS REGISTRATION NUMBER AS ID.
