VERIFY CARDS
Your cards were set up by pulling
a list of all Wing vehicles from
ORMS . Any “Pending
Retirement” were not issued
cards.
Verify that all issued cards are
for active vehicles and each
vehicle has a card.
To Access: To view existing
cards, select “Account
Maintenance”, “Card “, “Change”
“Search”.
Select “Add” to add cards and
“Terminate” to delete cards.

optional. You can use the name of the Unit
Transportation Officer, Commander, etc. or you may
use a generic name to avoid time consuming updates
when Unit personnel change.

All Wings have one Driver, “Company ID”,
reassigned. The ID is the last four of the Wing’s main
phone number.
Do not delete this ID. It can be used on any card if
there is a problem with the assigned Driver ID.

This step is strictly optional. The field is limited to
8 characters.
Using “department” as a location identifier makes
it easy to track where each COV is assigned.
To Access: Log in, select
“Account Maintenance”,
“Department “, “Add”.
ADDITIONAL VEHICLE INFORMATION (OPTIONAL)
The only required fields for the “Cards” have already been set up by NHQ.
Customer Vehicle ID with the COV’s assigned unit number
 Profile Assignment – “Custom Control” or “WEX MX” establish card usage
limitations to the $500 per visit and $1,000 per month set under the NHQ Policy
and OI
You decide which, if any, additional fields you want to use. In this example, Capt Cain,
the Alabama Wing Transportation Officer has added vehicle descriptions and VINS.
To Access: Log in, select “Account Maintenance”, “Card “, “Change”, “Search”. Type
directly into the field you want to change. “Submit” your changes before leaving the
page.
FINDING EXISTING INFORMATION
When navigating through WEX Online there is no “list” feature.
To view existing Drivers, Departments or Cards select “Change” under the desired
heading in “Account Maintenance”, leave the “Filter” fields empty (unless you want to
use it) and click “Search”.
**The dialog in red to the right of the Filters explains this too.**
INVOICES
All Wings under the Civil Air Patrol master account have a billing cycle from the 16th to
15th.
Email notifications generate on the 16th and invoices are available for viewing and
download.
Access this step – Log on, “Invoices and Payment”, “View Invoice”. The current invoice
will appear as well as a drop down to allow viewing of past invoices.
**Note the “View Detail” hyperlink which will take you to the billing breakdown and
Excel download. “Non-Fuel Purchases” is a hyperlink for your maintenance charges.
BILLING DETAIL
“Download Results” (left above the
first line of billing detail) creates an
Excel spreadsheet. Thirty-one
fields of data provide details like
date of service, card used, driver
ID, vendor name, address, etc. This
makes usage tracking very easy.
Billing detail information is
available for each billing cycle.
Download your monthly billing detail when you
retrieve your invoice. Verify that each charge is
valid and that you have a receipt.
Access this step – From the Invoice screen
(previous slide) select “View Detail” on the
bottom right. From “Home”, “Invoices and
Payment”, “View Detail” and select the correct
billing period.
The current billing cycle data is also
available (before the Invoice is
generated). Charges generally are
reflected the day after they are
incurred.
A FEWDON’Ts
• Do not change spending “Profiles”. They have
been set by NHQ and must remain.
• Do not request an address change through WEX
Online. Email Ms. Hunter at [email protected]
with updates.
• Do not change any of the bank account or
payment information.
• You may change your email address and security
questions in the “Settings”, “Preferences” but do
not change any other info there.
