Candidate: Workflow
Starting from the candidate file here are some important aspects of working candidate through the workflow
Candidate Submission correlates with a requisition file.
Click the corner of the Candidate Card to return to the General Profile
Notice the list of Other Submissions
In the Attachments Tab you will see the attachments that either the Candidate or the Recruiter has uploaded
Notice the Visible by candidate option. When a Recruiter is uploading a document he/she has the option to
make if visible or not visible by the candidate.
History Tab tracks the activity on that requisition. You can also choose to see the activity on all submissions
Job Submission Tab – Click More Actions to find Change Step/Status
Notice Candidates current position in workflow
Choose the appropriate status.
Save and Continue will allow you to move the candidate to another Step or Status.
Save and Close will take you back to the candidate file.
For example when the Status is changed to Left Message notice the change on the Candidate Card when you
Save and Close.
In order to move to a New Step in the workflow you have to reach the Status marked with an asterisk (*).
If you Save and Close on a Status with an asterisk the next time you go to Change Step and Status it will
advance you to the New Step. You can change it back to the previous Step if needed.
Continue to move the Candidate through the Step and Statues until you reach the Offer Step and Offer to be
made Status (See a copy of the Workflows to see all the available Steps and Statuses.)
To create an Offer click More Actions and choose Create Offer…
Complete the offer details.












Save and Close
When you are ready to Extend the offer choose More Actions and Extend Offer…
Click Yes
Option to Extend Offer by email or verbally.
To send Offer Letter you will choose from a list of Pre-Offers. (See the TA Letter Type document for letter
options.)
Click Next
Click Send
Notice the Step and Status have been updated. To Capture the candidate response choose More Actions and
Capture Response…
Choose response and click Next
If the candidate has accepted you will see the next screen. Change date if needed and click Done
At this point please refer to the Fingerprint instructions to actually schedule the fingerprint appointment.
If this is a teacher candidate you will also need to verify reference check process through Skills Survey.
Notice the Status update. To move the candidate into the Fingerprint Step choose More Actions and Change
Step and Status.
Choose the appropriate Status based on the state requirements and add comments as needed. Click Save
and Done.
(Click Send Correspondence to send the state specific fingerprint email if applicable.)
Step and Status has been updated. On the Job Submission tab in the Resume section click Edit.
Update the Fingerprint Date field. Click Save and Close.
You will be notified via email when the candidate has been moved into the “Fingerprint Requirement Met” step.
You cannot move a candidate forward in the process until Compliance changes the candidates status to
“Fingerprint Requirement Met”. Once Compliance has moved the candidate into the appropriate step you may
move forward with the candidate.
Click More Actions and Change Step and Status
Move to the Hire Step and Send to Onboarding.
Click the Send to Onboarding box.
Select the Process (List of Offer Letters)
Update the Start Date if needed.
Candidate Card has been updated
Be sure to DQ all active candidates on the requisition.
You will receive email notification once the candidate has accepted the offer. At that point you will need to
close the requisition in Lawson.
