Allocate Student Sets Student Sets help us to produce timetables that avoid clashes for students who will study the same courses in a semester. Once you have created the sets, you allocate each set to an activity prior to scheduling. This creates the pathway that will be guaranteed clash free for the number of students in the set. BUSINESS RULES You must only alter student sets that belong to your department. If a student set belongs to multiple departments it must only be altered after consultation with the other department. If we change the allocation of a student set from one repeat to another (e.g. from activity 01 to activity 02) for the LEC_A template, we must check the other lectures in the stream (LEC_B, LEC_C etc.) and move the sets there too. Students cannot cross-enrol (e.g. into LEC_A/01 and LEC_B/02). View activity templates 1. Open Enterprise Course Planner (CP) and filter for your department. 2. Click Show next to the total number of Templates to display a list in a new window. A list of activity templates will appear in a new window. Highlight all of the templates in the list (click in the Name column and press Ctrl+A to select all templates). 4. Click Template Allocator. A new window will be displayed: 5. Press Ctrl+A to select all student sets. Click Allocate. Any student sets that are not allocated to an activity will be allocated. Allocate activities for one activity template 6. Click in the Planned Size cell and change the size if needed. 7. Select one activity template in the spreadsheet and click Template Allocator. Any student sets that are un-allocated will show the name in bold and the Allocated checkbox on the right of the window will be unchecked. 8. Decide which activity should be included in a student set and click the checkbox at the intersection of that activity number column and student set row. If a checkbox is not visible at an intersection, it means that the activity is scheduled at a time that prevents it from being a part of the clash free combination for that group of modules. NOTE If you have a student set clash when scheduling activities, you may choose one of the following options: • Obtain written permission to un-allocate the set, resulting in a timetable clash that is now deemed to be acceptable, or leave the set allocated but waive the resulting problem. If you remove the activity from the clash free combination, no error will be recorded. • Re-allocate the set to a different activity, removing the clash and maintaining timetable options for students. • Use constraint breaking mode to temporarily override the clash, allowing you to investigate further and resolve the issue.
