LMAM Workflow PART 1 Setting up your computer Updated 2/19/2015 The directions in this document should only need to be done once on your computer to be ready to run LMAM claims. Download the Package Click this link to download the package. http://www.pacesetterclaims.com/LAMC2015.ZIP. If clicking on the link does not work, copy and paste the link into the address bar of your browser. Save the file to your desktop. Browse to your desktop, and click Save. You will now have the LAMC2015.exe icon on your desktop. Double click on it and you will see this box. Click Run. 1 Now, click Extract. Now you have a folder on your desktop called LAMC2015. This is the folder we will be using. Data Transfer the files into Xactimate In Xactimate, click the Data Transfer button on the top right. 2 In the Data Transfer window, select “Folder” and “Retrieve”, and then click Browse. Browse for and choose the LAMC 2015 folder and then click OK. Now, click Next. You will see five entries on the left side, One for Projects, one for Company Header, one for Model Opening, Statements, one for Report Templates, and one for Reference. Select the Project on the left side and then click on the first item on the right side. Now, press CTRL + A on your keyboard to choose all items on the right side. 3 Select the Company Header on the left side and then click on the first item on the right side. Now, press CTRL + A on your keyboard to choose all items on the right side. Select the Model Statement on the left side and then click on the first item on the right side. Now, press CTRL + A on your keyboard to choose all items on the right side. Select the Report Template on the left side and then click on the Custom-Final item on the right side. 4 Select the Reference on the left side and then click on the first item on the right side. Now, press CTRL + A on your keyboard to choose all items on the right side. Now, click Retrieve. This will put all of the Projects, Company Headers, Opening Statements, Report Templates, and References into Xactimate. During the process, you may see this box if an item being transferred has the same name as an item already loaded in your Xactimate. Choose the options for Overwrite, and the “In Target” option for whatever it is, and click OK. 5 You may have to repeat the above step for all of the different categories, Projects, Model Statements, Company Headers, etc. When the operation is finished you will see this box, click Close. NOTE: The project you just loaded is the Liberty Tree. Pulling Down Safeco Scope Sheets This is a newly implemented requirement. A Safeco scope sheet MUST be included in each claim file. One of the following 3 must be included. They were downloaded with the rest of the files and will be in your LAMC 2014 folder. 1. ‘Safeco Hail Scope Sheet.xls’ 2. ‘Safeco Wind Scope Sheet.xls’ 3. ‘Safeco Wood Hail Scope Sheet.xls’. Open the LMAC 2014 folder that is on your desktop, and right click on the Safeco Scope Sheets folder and choose Copy. 6 Right click on a blank spot on your desktop and choose Paste. Now you will have a folder on your desktop called Safeco Scope Sheets. The Step 3 document will cover how to use them in the program. Check Request Set Up In the LMAC 2014 folder you have on your desktop, there are three check request templates, “CVO Check Request 3 -13-2012”, “OCAS Check Request 3-13-2012”, and “RCS Check Request 3-13-2012”. These are located inside the Check Requests folder inside the LMAC 2014 folder. Repeat the steps above to copy and paste the Check Requests folder onto your desktop. The Step 3 document will show how to use them in the program. Setting Up User Preferences Next change the settings, and preferences in Xactimate. Again, make sure you are in the Liberty profile. Go to the “Control Center” then click on “Preferences”. Click the dropdown box beside “Settings” and change it to “Environment”. 7 Uncheck the Quality Assurance Agent box. BE SURE THE “REQUEST SERVICE PACKS WHEN CONNECTING” box IS CHECKED!!! Now change the “Settings” box to “Profile”. Now make your settings match these exactly!! Please pay attention to every detail. 8 Setting Up Safeco Xactimate Header From the “Control Center” tab, click on “Document Modules”: Scroll through the Company Headers until you find the header “SAFECO2015” – This is the header that should be used on all Safeco claims: 9 In the event your profile does not include SAFECO2015, you can use SAFECO2012 but you will need to make one minor edit to that header. If you must use the 2012 header, double left click on the header (or highlight the 2012 header and click the “Edit” button on the right side of the page); this will open a box that will allow you to edit the header: You will then click in the Info box, directly behind the zip code that is shown. Click “enter” to create a new line and then type in the Contact Center phone number (800-332-3226). When this is completed, the header should look like this: 10 Once you added the Contact Center phone, click on the “OK” button at the bottom of the dialog box. The header can now be set as the “default” header for every estimate by completing the following steps. From the “Control Center” tab in XactAnalysis, select “Preferences”. Make sure that you have selected the “Liberty Agency Markets” Profile; this can be changed by toggling the “Profile” dropdown: Locate the “Company Header” drop-down under the Administrative Defaults (see above). Click the drop down and select the correct header (SAFECO2015 or the revised SAFECO2012). This header will now automatically default to every estimate. 11 DO NOT select defaults for the Reference, Contractor, or Opening Statement, as these will be different with each claim. Next go to the “Defaults” tab under “Project”. Go to the “Claim rep” field. Click “add” and put your name ONLY in the smart‐list as a claim rep. No address or phone numbers. If you already have yourself in there, verify that you DO NOT have anything but your name in the fields. 12 Next, click on View under Sketch, and change the Font Sizes to 16. Make your setting match these. Next go to into a claim. If you don’t have any yet, create one. Make sure you are in the Liberty profile. Enter the GLR = General Loss Report. It is found under the Report Management tab. 13 Click on the “remarks” tab and then the “Import” button. Name the code “Field Report” and then paste the entire contents of the following, into the larger box. Copy everything between the lines below. If you have already downloaded some claims, and accepted them with the wrong defaults I’m sorry. There will be changes that have to be made on each claim. There is not a way to make these changes to all your downloaded claims at one time. Congratulations, you are now ready to start downloading claims. 16
