Purpose of Job:
To provide direct management, leadership and
support to the housekeeping team and ensure
consistent standards of excellence in all areas of
Housekeeping.
Duties & Responsibilities:
1.
Housekeeping Services

Responsible for delivering the highest possible standard of housekeeping so all
buildings and all areas are maintained being clean, tidy and presentable at all
times. Buildings and rooms include: student rooms, gyps, shower/bathrooms,
corridors/pathways, offices, meeting rooms, guestrooms, public areas (hall,
libraries, conference rooms, chapel, bars, WC’s, gym), Private areas (Masters
Lodge, OCR, NCR, GMR, RMR, Fellows flats/sets/rooms) etc.
Ensure that the day-to-day (Monday-Friday) provision of cleaning and bed
making services are provided and that adequate cover is available to provide
guestroom and public room services at the weekend.
Review and monitor rotas to ensure the Department works efficiently and
effectively. Rotas should ensure the provision of cover for absent staff and any
conference requirements (where agency could be required).
Ensure cleaning standards, procedures and administration are adhered to.
Responsible for linen, laundry and stores (cleaning supplies, consumables and
equipment). Maintain adequate stocks of items and keeping stock control
records of usage to established suitable limits and budgets.
Review supplier contracts for completeness, competitive pricing and ability to
provide the services/products required. Monitor the performance of suppliers
and contracted services. Aim to order and use the same services/products at all
College sites.
Evaluate and review external contractors as required (pest control, window
cleaning, refuse, recycling, hygiene units, linen and laundry etc).
Review, recommend, obtain quotes for budget purposes, place orders, arrange
for installation and storage of:-







 white goods (electrical items: kettles, irons, microwaves, lamps etc.)
 soft goods/furnishings (carpets, curtains, nets, flooring etc.)
 hard goods (furniture – keeping an inventory of stored items at barn)


Fulfil furniture requests and office movements from fellows, students and staff
liaising with the Treasurer, Accommodation manager and Clerk of Works.
Review room replacement cycles and periodic cleaning tasks.

Ensure that regular inspections of rooms/areas are carried out checking for
cleanliness, hygiene, condition and looking into room inventories.
Manage exit checks and room condition reports for all accommodation.
Inform the Maintenance Department of repairs (building, fittings, equipment).

Personnel

Management Ability - responsible for Housekeeping Department in respect of
all aspects of staff management:-recruitment of staff (including agency),
induction, training, welfare, support, supervision, discipline, sickness and
holiday records, performance, annual appraisals, performance goals,
development plan and suitable objectives.
Implement College policies and procedures within the Department.
Monitor staff performance and coach and/or correct where applicable in order
to develop an efficient and well-motivated team.



Finance




Monitor departmental spending and control within agreed set budgets
Purchase items/services per the purchase order policy.
Identify potential cost savings.
Prepare annual department budgets.
4.
Health and Safety

Perform Risk and COSHH Assessments for cleaning materials; ensure regular
training is carried out, keep up to date data sheets, records and complete
annual reviews of the Assessments. Provide instruction to staff in the safe use
of cleaning materials and equipment.
Liaise with the Head Porter on H&S, fire risk, security; ensuring staff are aware
of H&S policies and the reporting of hazards when they are identified.


Other Duties
Be the primary College contact for Housekeeping.
Liaise with the Conference & Accommodation Manager, Tutorial Offices for
planned tenancy changes during the year.
Use the Kx booking system as required.
Other duties as directed by the Second Bursar/Treasurer.

Essential Criteria
A Level standard or equivalent
NVQ Level 3 in Housekeeping, or
equivalent
A proven track record of successful team
management in a Housekeeping
environment.
Organisational skills and experience of
modern business practices.
Experience of handling a department
budget.
Exceptional communication skills - verbal,
listening and written.
Ability to identify problems and to develop
and implement solutions.
Knowledge of H&S regulations with
special reference to COSHH Regulations.
Computer skills to include Outlook e-mail,
MS Office.
Knowledge of ANUK requirements and
standards
Confident and willing to lead by example,
being hands on as required with ability to
promote positive attitudes within others.
Ability to communicate at all levels
(Fellows, Staff, Students and Guests).
Ability to liaise effectively with relevant
suppliers and contractors in relation to
housekeeping.
Able to work with a varied and demanding
workload.
To work extra hours as required.
Friendly attitude with a desire to provide

The work is divided approximately 90%
indoor and 10% outdoors.
There is potential for exposure to the
chemical hazards from cleaning
materials.
There is potential for moderate physical
strain (as normal for the job role) whilst
overseeing and carrying out
housekeeping work across the College
site.
A good standard of general fitness is
required due to the layout and design of
buildings, which requires significant
walking and climbing of stairs.
