Daily Procedures:
Regular Teachers
1. Starts ABI, login and select a class (if one does not come up automatically.)
2. Acknowledge adds or drops students BEFORE taking attendance.
3. To activate the attendance menu click on any student in the seating chart so a
red highlight is around the box.
4. Select “Take Attendance” on the class menu.
5. Click on student name that is absence until the desired absence reason appears
if known, if not select unverified.
Substitutes Teachers
1. Picks up the class roster from the Attendance Clerk
2. The Substitute Teachers then takes attendance on this form
3. The class roster is then returned (completed) to the Attendance Clerk.
Attendance Clerk
1. Attendance Clerk records the attendance reported on the class roster in the
attendance program.
2. Attendance Clerk prints “Missing ABI Attendance” report .
3. This will verify that all teachers have taken attendance. If they have not, the
Attendance Clerk will call and remind teachers to take attendance.
4. Attendance Clerk will rerun “Missing ABI Attendance to verify that attendance
has been taken.
5. Attendance Clerk then prints the “Daily Absence Lists”, making sure that the
Phone Log box is checked.
6. Attendance Clerk use report as the phone log used when verifying absences.
7. Verification information is recorded directly on the Absence List form. Notes are
attached to the form and filed by date.
8. Attendance Clerk updates the student’s attendance record with the correct absence
reason as recorded on the Absence List Form.
Weekly:
1. Attendance Clerk prints a weekly Class Attendance Summary Report and gives to
the teacher.

2. Teachers verify attendance recorded, making corrections if needed.
3. The teacher should then sign and date the Weekly Attendance and return to the
Attendance Clerk.
4. If a Substitute teacher was used during the week, the Class Roster should be
attached to the weekly attendance so the regular teacher can review the attendance
that was taken in his or hers absence.
5. Attendance Clerk will update student’s attendance record if needed and file in
date order.
Monthly:
1. Attendance Clerk double checks all absences and tardies to make sure they have
been verified.
2. Attendance Clerks print AERIES Attendance Audit Listing to correct any Audit
issues.
3. Attendance Clerk prints the following reports:
a. Attendance Audit Listing
b. Report of Gains & Losses
c. Monthly attendance summary by Student
d. Monthly Attendance Summary
4. District Office uses these reports to create District ADA Summary report
5. District ADA Summary report is used to complete the Report of Attendance for
Pupils Residing in the District.
6. District Office submits copies of P-1, P-2 and Annual Attendance to the County
Office of Education.

Attendance Reporting
For Independent Study
 A contract (Attachment A) signed by the teacher, counselor or Principal, student and
parent.
 Teacher assigns the student a Weekly Work Agreement (Attachment B) specifying
the assignment to be completed and assignment due date.
 Student turns in work completed by due date, specified in weekly work agreement, to
teacher.
 Teacher evaluates the work completed by student, records the date the assignment
was turned in and determines the percentage of work completed of entire assignment,
records credits earned and grades earned for each subject. Instructor turns in contract,
Weekly Work Agreement and student sample work to attendance person.
 Attendance person completes the Appointment and ADA Claim Worksheet
(Attachment C) taking the information recorded on the Weekly Work Agreement.
Column C is figured by taking column B and multiplying it with column A.
Attendance clerk reports ADA according to totals of the worksheet and submits a
Monthly Attendance report (Attachment D) to the district office.
 District reports ADA on J18/19 report to State Office.

HOME/HOSPITAL INSTRUCTION
The Home/Hospital Study Program is NOT Independent Study. Students undergoing
medical/psychological treatment that does not allow them to participate in their regular
school programs are entitled to receive home instruction from the district in which they
reside. The major purpose is to maintain the pupil’s education during a period of
temporary disability.
If the hospital is within the district the instruction process is remains the same. If the
hospital is within another district the student must be disenrolled and no ADA claimed
until the student returns to their home. While on Home/Hospital instruction the student
should be disenrolled from the regular classroom and be recorded in a separate
attendance register.
HOME/HOSPITAL INSTRUCTION PROCEDURES
1. Parent requests Home/Hospital Instruction by presenting documentation from the
attending physician (Attachment A) stating the medical reason and the length of time
a home teacher will be needed. The Home/Hospital Information Sheet (Attachment
B) is completed using this information.
2. The District has 10 days to begin provision of instruction. A district Home/Hospital
Study Program form (Attachment C) must be completed and signed by the parent, the
pupil if possible and the school Principal. The original form and the physician’s
request will be kept in school office file for 3 years. A copy of these documents must
be sent to the District Office Attendance Coordinator for placement in the
Home/Hospital file for audit purposes.
3. A teacher is assigned to meet with the student at the student’s home or In-District
hospital. The teacher shall record instruction hours on the Daily Attendance Record
form (Attachment D). This form must accompany the Report of overtime or Extra
Work form (Attachment E) turned in to the District Office Attendance Coordinator.
4. A positive attendance accounting system is used for Home/Hospital. The district
providing the instruction shall receive one day of apportionment for each clock hour
of instruction. The district shall not exceed the number of days of scheduled regular
instruction for any one week. Five hours of instruction equals five days of ADA. It
is permissible to teach in excess of one hour per day with each hour of instruction
counting as one day of attendance. For example, a student could receive 2 hours of
instruction on Monday and 3 hours on Wednesday totaling 5 hours of instruction.
Therefore 5 days of ADA could be claimed for that week.
5. There is no provision in law that specifically addresses instructional content in a
Home/Hospital setting. The general goal is the maintenance of a pupil’s former level
of performance while recovering from a temporary disability. The accessibility of the
student and the readiness of the student to achieve is determined by the advice of the
doctor and with the cooperation of the parents/guardian.

INDEPENDENT STUDY PROGRAM
ADULT EDUCATION PROGRAM
Students enrolled in Adult School Independent Study work only on the High School
Diploma meeting the same requirements as the other High School Diploma Students.
Students 18 years old and continuously enrolled are identified on the individual student
record and reported as such on the ADA claim worksheet that reports ADA attendance
weekly.
Procedures
1. Evaluate student with CASAS test and Basic Skills Math Test for appropriate level.
2. Complete an Independent Study contract for the traditional calendar district semester.
3. ADA claim work is reported by student and appointment for the assigned week with a
percent of work completed that and appropriate claim for that week
4. One (1) credit completed or one credit worth of work = 100%
5. One-half (1/2) credit completed or on-half worth of work = 50%
6. A student assignment and apportionment summary for each student is kept in his or
her file.
7. The student’s work is dated and filed in a separate folder.

For Instructors that are unable to log into ABI for attendance, the Attendance
Clerk prints the Weekly Attendance Report for each class for the instructor to
take attendance on. (Attachment A)
 Teacher records positive attendance per hour.
 Attendance Clerk receives Weekly Attendance Report and enters the hourly
attendance into AERIES.
Monthly
 Attendance Clerk prints the Attendance Audit listing. If any student is listed
on the Audit list, Attendance Clerk corrects the error. (Attachment B)
 Attendance Clerk prints the Hourly Attendance Report. (Attachment C & D)
 Prints the monthly Hourly Attendance Summary. (Attachment E) Attendance
clerks submits the following reports to the District Office for review:

 District Office reviews all reports for accuracy and uses the information to
prepare the district summary of attendance. The district submits P-1, P-2,
and Annual Attendance reports to the County Office of Education for their

For Independent Study
ATTENDANCE ACCOUNTING SYSTEM

 Access the Enrollment screen
INSTRUCTIONS
 Child remains officially enrolled in regular class while on short-term Independent
Study.
 Enroll the pupil in the program designated "Independent Study" by changing the
“Prog” Setting in the enrollment record. Enter both the beginning and exit dates
to match the dates reflected on the pupil’s Independent Study agreement. If you
don’t enter the exit date, the pupil will be reported indefinitely on Independent
Study. This enrollment record is required in addition to the normal enrollment to
separately identify Independent Study enrolled pupils per statutory requirements.
ADA SCREEN
 Access the ADA screen.
INSTRUCTIONS
 Use the signed/completed Independent Study agreement to record to the
attendance system those days the pupil is authorized to be on independent study.
This is based on the beginning and ending dates of the agreement.
 Record each day with a code "N= IS" non-apportioned independent study.
o Don’t record as unexcused or excused. The pupil is not absent but on
Independent Study.
o Must remain as a code "N" non-apportioned day until the supervising
independent study teacher evaluates the work assignment.
 The supervising Independent Study teacher must complete the ADA Credit
Record on the Students Work Assignment Record for each day of apportionment
credit given to the pupil based on the completed work assignment.
o If work completed is equivalent to at least the minimum day standards,
then full day apportionment may be credited.
 Site attendance personnel change "N" codes in attendance system to "Q = ISP"”
apportionment day to record apportionment credit only for those apportionment
days recorded by the supervising Independent Study teacher.
o Record only whole days. Fractions must be rounded down.
o Per week 100%=5 days, 80%=4 days, 60%=3 days, 40% = 2 days, 20% =
1 day
o Non Credited Apportionments days must remain as code "N".
 For students who are enrolled in Independent Study and also attend a class or
classes at the campus that they are enrolled in for less than the Minimum day
applicable to the student’s grade level (230 minutes in grades 1-3, 240 minutes in
grades 4-8, & 9-12) then the apportionment attendance can be the value of the
work completed through IS.
 If the student is not scheduled for at least the minimum day in IS or classroom,
ADA will be combined with the ADA received from the independent study-
supervising teacher. The school site will be responsible to send the biweekly
Period Attendance Report by Student to the supervising teacher who will then
combine the two attendance reports to determine the total ADA and record this on
the work assignment record in order to guarantee there would not be double
claiming of ADA. If the student is absence for a class or classes on any day, this
will result in the loss of ADA for that day. The new work assignment record with
the total ADA credit will be sent back to the schools attendance clerk, every two
weeks, so that it can be recorded for ADA purposes.

attendance personnel will print and submit to the district office the following

ENROLLMENT LOG
 A list of all pupils who have participated or are currently participating in
independent study, showing the credits attempted by and awarded to each pupil
according to the agreement and record of the pupil’s attendance must be
maintained on an “Excel Worksheet” at the school site.
 A copy of the site’s enrollment log must be sent to the district office with each
monthly reports.
