Medrano) Type the username and password (If you forgot, contact the Website Admin – 09985419071) Click Click After login, Click Division BEIS and Select Enrollment data to encode or update enrollment data Be sure that School Year appeared before you will click Submit Note: Total will appear after submission Encode Data Encode Data Encode Data Encode Data Encode Data Encode Data Click After encoding the Updated Enrollment (Scroll Up to see the School Year if it is correct (Please avoid clicking back), then Click Submit Totals will appear after submission Click After encoding all the data, and School Year appeared (SY 2017-2018), then Click Submit Click Close To check if submitted, Click again Division BEIS, then select Enrollment Data (please avoid clicking Back) If you can see entries and Total, it means that you have successfully submitted for that School Year (please avoid clicking Back) You can update Enrollment anytime, just type the Male and Female, then Click Submit HOW TO ADD/UPDATE PERSONNEL INFORMATION Click Division BEIS, and select Personnel Data ADD/UPDATE PERSONNEL DATA PAGE Type the Lastname and click Search If you want to show picture and show service record, click the box HOW TO EDIT/UPDATE EMPLOYEE’S INFORMATION You can search the Last Name or scroll down and find the Name of an employee to be edited To edit employee, click the Last Name (if you cannot click, do not click Back, just Press Ctrl R or Press F5 to reload), select Edit Click Choose File to browse and upload a picture of Employee (jpg) Click Choose File to browse and upload Service record (in word or excel of Employee Click After Updating, click Add, then Click Close How to Check if Picture and Service Record are successfully Uploaded? Search the Employee Last Name, check the box Show Picture and Show Service Record Note: If you see DL in the column SR, it means that you have successfully uploaded the Service Record To display the picture, just place the mouse cursor to the Last Name and it will display the picture, to download the Service Record, just click DL (Please refrain from Clicking Back) How to Add New Personnel (Missing/Deleted Personnel) Note: Please refrain from clicking Back), just Click Division BEIS, then Select Personnel Data Click Click Add New Personnel Note: In the Add New Personnel, all are required especially Picture, Service Record and TIN. You cannot add employee with out TIN, for other entries that are not available, just Type New for (BP Number, etc), None for Subject (School Head). No Grade Level for School Heads. In the Service Record, you can Upload file in Excel or Word Format not exceeding 2MB file size. Do not include special characters like comma, apostrophe, etc.) Click Choose File to browse and upload a picture of Employee (jpg) Click Choose File to browse and upload Service record (in word or excel of Employee Encode Data Select If Year in the date will not appear, try to press CTRL R or F5, or change your browser or another computer For School Heads, No grade level taught and None in the Subject For ALS, no for District ALS Coordinator, only ALS Mobile Teachers are Yes Encode Data If data not Net Available, Type New Encode Data Click Add to save Click Close Click To check if it is added, just type the Last Name in the search box, then Click Search Successfully Added HOW TO DELETE PERSONNEL (MISTAKENLY ADDED) You can search the Last Name or scroll down and find the Name of an employee to be transferred to other school Click the Last Name and select Delete Click Yes to delete Permanently, or click No to no Delete Click Close To check if an employees is already deleted, type the Last Name in the search box, then Click Search NOT FOUND How to Transfer to other Division, Resign and Retire an Employee Click the Last Name, then select Trans Division, Retire and Resign You can search the Last Name or scroll down and find the Name of an employee to be transferred to other Division, Resigned or Retired Click Transfer to Transfer to other Division, or to a Secondary level, or Click Resign if Resign or Retire if Retired. Click Transfer to Transfer to other Division, or to a Secondary level, or Click Resign if Resign or Retire if Retired. Click Close Note: If an Employee is Transferred, Resigned and Retired, he/she will be removed from the list To check if an employee is already removed, type the Last Name in the search box, then Click Search NOT FOUND HOW TO TRANSFER AN EMPLOYEE TO OTHER SCHOOL You can search the Last Name or scroll down or find the Name of an employee to be transferred to other school Type the School ID where an employee will transfer, after encoding the school id, click outside the box to display the name of the school and to enable Yes button, then click Yes Click Close To check if an employee is already removed, type the Last Name in the search box, then Click Search NOT FOUND In the account of Sagpatan ES, Sarrat, it is confirmed that Medrano, Alfredo is already transferred How to Upload Reports Click Division BEIS, then Select Upload Reports Click Choose File, then browse the file to upload Browse and select a file to upload, then click Open Click Upload Click Click the Name of the report to download, if you want to delete, Click to delete If you have queries or problem regarding the Website/System, please call, text or chat the Planning Officer (09985419071) – ALFREDO MEDRANO
