Introduction to Risk
Management
Mission Statement
The mission of University Risk Management is to safeguard both the human
and physical assets of the University. To do this effectively, we provide
guidance and assistance for our faculty, staff, and students to identify and
manage risks associated with their activities, consistent with Cal Poly
Pomona's mission, vision, and learning-centered philosophy.
Vision
The Vision of University Risk Management is to continually improve
our service to the University community, to protect the University's
human, intellectual, physical, and financial assets and resources, and
to collaborate with faculty, staff, and students to help them meet their
goals while still protecting the University.
If an incident occurs on campus, and
there is property damage, notify
Campus Police by calling 9-1-1 from
a campus phone or (909)869-3070
from your cell phone, so that a Police
Report can be taken. Also notify Risk
Management by calling
(909) 869-4846.
Injury or Incident Policy
The OSLCC in collaboration with the
University Police will determine which of
the following policies will apply:
Advisor attendance is required if PUBLIC SAFETY staffing
is necessary.
In-and-out privileges during the event.
Attendees to a dance, party or other similar special event
must show a college I.D. or proof of age of 18 years or
older.
All Special Events are subject to the Guidelines on Police
Coverage for Special Events.

Special Events
When a club member or a member of the public has chosen to
participate in a club sponsored activity or event (on or off campus)
where there is a risk of injury, a release of liability form is required.
The “Release of Liability, Promise Not to Sue, Assumption of Risk
and Agreement to Pay Claims” form is available on the ASI website
at http://www.csupomona.edu/~rms/pdf/Activity%20Release.pdf
The Release must identify/describe the activity and provide event
date(s) and time(s). If there are special considerations or information
that the individual should be made aware of prior to deciding to be a
participant those risks should be identified in writing
Release of Liability
Club sponsored events are considered "independent activities" and
are not covered by any existing campus insurance policy. Unless
insurance is purchased by the club for a specified activity or event
there is no coverage.
On-Campus Events : Special Event insurance can be purchased for
on-campus events. When planning an event on campus first check
with the OSLCC for confirmation of the event.
If an event is considered to be “high risk” it will likely not be
approved.
If an event is open to attendance by the general public (non-Cal Poly
Pomona students) in most cases Special Event Insurance must be
purchased by the club.
When purchasing insurance coverage for an on-campus event please
refer to the Risk Management Website- “Special Event Insurance” at
http://www.csupomona.edu/~rms/special_event.htm for general
information, additional insured and coverage requirements.

liability for off-campus events sponsored by
student clubs/organizations.
Off-Campus events may NOT use “Cal Poly
Pomona” in its publicity of the event.
ASI Business Services reserves the right not to
reimburse costs for risky events

Off-Campus Insurance
Policy
For events held off campus, unless insurance is
purchased by the club for a particular activity or
event there is no coverage.
Off Campus Events : Special Event Insurance can be purchased for
off-campus events also. If a club hosts an event or activity at an offcampus site the location will likely request that you provide a
Certificate of Insurance as specified in a contract or agreement to
lease the site. The location may offer a special event insurance policy
you can purchase that meets their lease insurance requirements.
The first step in planning an event, project, field trip, and/or
activity is a comprehensive review of the risks involved. The
Risk Assessment Worksheet will assist in the identification of
potential hazards and risks, including:
Risk to Persons (Injury)
Financial Risks (Weather)
Risk to Property (Damage)
Reputation Risks (Image)

Once you identify the risks, you will then evaluate/rate the potential
for the harm to be realized. Risk Management will determine
approval.

Note: As with academic fieldtrips, students driving their own vehicles to
and from a club-related activity or event do so at their own expense and
their own liability.
As required by law… Drivers must have a valid driver's license and
proof of liability insurance in their possession for the minimum
amount prescribed by State Law; all persons in the vehicle must
wear safety belts and the vehicle must be in safe mechanical
condition.
