Lopez Boulevard corner Juan Luna, Tondo, Manila JOB DESCRIPTION Title: EVENTS and PROJECT ASSITANT Accountable to: Executive Director Purpose of position The Events and Project Assistant aims to provide support services to YF Staff as itimplements quality service to students to achieve a well balanced development both in academic and social aspect. EVENTS and PROJECT ASSISTANT will be responsible for the following: 1. To assist Student Coordinators in the event that they are not available, on leave or absent. Proper coordination with the Student Coor to the Project Assistant and vise versa is necessary. 2. To implement approved and regular events such as the following: a. General Assembly meeting b. Camp c. Etc 3. To propose and initiate an events that can contribute to the students development in coordination with the Student Coordinators 4. To handle conceptualization and implementation of the Livelihood and Income Generating project, develop new products, train and supervise qualified students in the said project. 5. To handle, archive, organize and upload all photos and videos of YF. 6. To coach students in case the Student Coordinator or SMT decides to give a student a coach 7. ADMINISTRATIVE FUNCTION a. Submit Weekly/monthly accomplishments and schedule of fieldwork to the Executive Director b. Prepare budget request c. Responsible in liquidating the cash advances made to finance department and updating the school request item of the student in the database. d. Liquidate all cash advances e. Keep a current and accurate budget tally. f. Preparing reports as required, based on extensive and accurate information gathering and analysis; g. Providing appropriate information to clients, professionals, colleagues and others in order to maximize good decision-making processes. h. Keeping factual and timely formal records through the use of computer based and other information systems. i. Coordinating and monitoring client’s contacts with professional/volunteers involve with the client. j. Provide counseling/therapeutic support to individual clients and their families when required. k. Communicating regularly with partners/network professionals/specialists regarding relevant client psycho-social and healthcare issues. l. Ensure encoding of Weekly report via the YF Weekly report on line. 8. RELATIONSHIP WITH OTHERS/COORDINATION FUNCTION a. Coordinate with the Student Center Manager i. Meeting rooms to use ii. Equipments to be used iii. Activities and schedules iv. Fill up necessary forms b. Coordinate with the Student Coordinator i. Progress of the students ii. Concerns of the students c. Communicating closely with the SMT to ensure ongoing evaluation and effective treatment d. Making a positive contribution to the development of a co-operative relationship with the supervisor and the student management team (SMT) e. Working collaboratively with other social work colleagues, professional advisors, managers and other employees of the organization. f. Developing and maintaining effective links with a range of other people and agencies in order to maximize services built on inter-agency collaboration. This will include links with appropriate peoples, community groups, professional agencies and other client groups that relate to the practice area. Seeking approval for funding of interventions on a case to case basis within defined parameters. Accepting and obeying all lawful and reasonable instructions given by supervisor and line managers, including delegations from Co-ordinators.
