The main requirements specified for the On Road Venue are: Central location – parking for delegates Full time car parking for four TO vehicles 900m 3 lane + H/S three days a week (T;W;Th) for any of 6 out of twelve weeks – four vehicles to operate at same time Two classrooms with presentation equipment, close to each other and motorway (1 for five days of 6 weeks – 12 delegates) (1 for four days for 6 weeks – 12 delegates) Note: Assumption is that this is the same 6 weeks and these 6 weeks are same as the Mock Motorway 6 weeks. IT services Meeting areas and kitchen facilities Lunch and dining facilities – lunch cost not included We have included a site facilities table (see Table 1 over the page) which covers the sites’ individual attributes. All venues identified meet this with our Prime venue best serving HA Operational centres. Mock 900m (total) motorway with 3 lanes plus hard shoulder. Internet Access, Photocopying facilities P Secure parking for 4 traffic officer vehicles and parking for delegates/course personnel. Table 1: Site Facilities Table 1.1 CANCELLATIONS Without specific scenarios we are not able to fully address the issue of cancellations. In general terms we would expect that each venue would, with reasonable notice and on the understanding that any cancellation is in reality only a change of date rather than a decrease in work not put a penalty on any cancellation within the 12 week period. If as commercial organisations they lose potential revenue because of a cancellation we would expect that they will seek to recover the cost of that loss. Page 3 Live Environment Coaching – On-Road Venue Highways Agency Traffic Officer Training Framework 25 February 2011 3 PROJECT MONITORING & REPORTING 3 PROJECT MONITORING & REPORTING 3.1 Cost Control Financial Profiles will be produced on an accruals basis on start-up, and then updated to conform with the HA's monthly reporting cycle. Earned Value Analysis (EVA) will be used as appropriate for forecasting. Invoicing will be on a monthly basis. 3.2 Motivating Success Toolkit We will measure the success of this work package in terms of Product, Service, Right First Time, Cost and Time using the Motivating Success Toolkit (MST). The Framework Manager will discuss KPIs with the Project Sponsor at Progress Meetings and they will be formally assessed at each key milestone and on completion. We will use KPI reports resulting from these reviews along with our Review Strategy to analyse our performance and to underpin and drive continual improvement initiatives.
