• How are you using technology or
how do you want to use
technology to help improve the
running of your Branch or Centre?
Why and how?
• To replace a number of older, separate
systems, which all required improvements
and maintenance
• Initially development started entirely in house
• In Summer 2015 planning, development and
project management of certain areas
outsourced to get development back on track
• System was demonstrated to a selection of
Branch and Centre Users last Friday and
their detailed feedback being taken into
account
When?
• Testing will involve selected Branch and Centre users in
March
• Phase 1 scheduled to go live in April
• A similar system to what Branches and Centres currently have
on their separate databases with a more intuitive, user friendly
interface and additional functionality around areas such as
events
• Better audit systems built into back end to allow office staff to
check and administrate Centres and coaches more efficiently
– saving money and time
• Inevitably there will be teething problems but we will aim to
provide comprehensive user guides and support
What next?
• Further phased developments released in
an well planned and well communicated
manner with testing from Branch and
Centre users beforehand
• Ultimately a system where every Member,
official, volunteer and coach can log in and
easily access their information, carry out
the tasks asked of them and take part in
Pony Club events
Phase 2
• Future developments to allow every coach
and member to have their own log ins and
have control over their own profile and
membership
• Online membership for Branches will be
delivered in 2016 – most of this
functionality is already built
• Further development and refinement of the
Events system
Phase 3 and beyond
• Coaches – linked to events, able to publicly list themselves,
improvement of CPD categorisation and recording to make
specialisms clear

Members – Able to see their entire Pony Club history,
including rally and competition history (including results and
what events they are eligible for/ qualified for)
• Events – more options within event set up, will also
automatically detect qualification and eligibility criteria for
Championships
• Volunteers – online profiles for them to list their skills and
where they wish to help
• Health and Safety – Risk Assessments, Accident reporting
and other forms available online and linked to events
