Conferencing Types - Overview
AccessLine SmartConference allows an account holder to create two
types of conferences:
Scheduled
 Takes place at a designated time
 Accommodates up to 100 callers
 Lasts up to 8 hours
 Up to 30 may be created per account
Always-On
 May be initiated at any time
 Accommodates up to 25 callers
 Lasts up to 4 hours
 Up to 3 may be created per account
Creating a Conference
All conferences are created by the account holder, via their web interface.
Scheduled Conferencing Parameters
Creating a Scheduled Conference
Twelve parameters are configured for a Scheduled Conference. The
basic parameters are the conference Date, Start Time and Time Zone.
The other parameters are:
Duration
 Up to 8 hours
Number of Speakers
 Up to 25 callers may speak
 Includes the Host and Guest Speakers
Number of Listeners
 Maximum of (100 – Number of Speakers)
Description
 Text used to identify the conference
Scheduled Conferencing Parameters
Three access codes are configured per conference. Each code must be 410 digits in length and must be unique.
Host Code
 Code used by the conference Host
to join the call.
Guest Speaker Code
 Code used by a conference guest
who is allowed to speak during the call.
Guest Listener Code
 Code used by a conference guest who
should only listen during the call.
Scheduled Conferencing Parameters
Guest Communication
 Choose whether or not guests may speak
to each other before the host joins
Host leaves?
 Choose what happens if the host leaves
the call
- Allow the conference to continue for the
scheduled duration
- End the conference
- End the conference after 5 minutes
- Place callers on hold until Host returns
- 5 minutes after the Host leaves, place
callers on hold until he/she returns

Editing a Scheduled Conference
A Scheduled Conference may be modified or deleted at any time.
1. Log on to the SmartConference web account.
2. Locate the conference to be edited from the list of Scheduled
Conferences.
3. Click the associated Modify or Delete button.
Joining a Scheduled Conference
Joining a Scheduled Conference
To join a Scheduled Conference, take the following steps:
1. Dial the SmartConference number hosting the call up to 10 minutes
before the scheduled Start Time.
2. Enter a valid Host, Guest Speaker or Guest Listener code when
prompted.
A participant is added to a conference as soon as they enter a valid code.
A beep is played to notify other callers that a new participant has joined
the conference.

The participant who joins a Scheduled Conference as the Host has access
to the Host controls.

 Hear the amount of time remaining and the number of
participants on the call
Touch #1
 Increase the conference length by 15 minutes
 May be used multiple times during a conference
Touch #2
 Add another Speaker line
 May be used multiple times, until 16 speakers have joined
End Notification

The conference Host is notified when a Scheduled Conference is about to
end. A prompt is played for the Host five minutes before the end time.
The Host may increase the conference duration by using the Host
controls (#1) or by modifying the conference via the web. If the Host
does not increase the duration, the conference is immediately terminated
at the end time.
Always-On Conferencing

Only 4 parameters are set for an Always-On Conference. The
configuration rules are the same as for Scheduled Conferencing.

An Always-On Conference may be modified or deleted at any time.
1. Log on to the SmartConference web account.

Conferences.

Joining an Always-On Conference

Once created, an Always-On Conference may be initiated at any time.
1. Dial the SmartConference number hosting the call.
2. Enter a valid Host or Guest Code when prompted.
Participants are directed to the correct conference based on the code they
provide.
Joining an Always-On Conference
Always-On Guests may not communicate with each other until the Host
joins the conference. They hear hold music until the Host arrives.
Guests may remain on hold for up to 10 minutes. If the Host does not
join the conference within 10 minutes of the first caller, all callers are
dropped.

A smaller set of Host Controls is available to the Host of an Always-On
Conference.

The conference length and number of participants may not be altered for
an Always-On Conference. The system defaults of 4 hours and 25
participants may not be adjusted.

The conference Host is notified when a Always-On Conference is about
to end. A prompt is played for the Host five minutes before the end time.
It is not possible to extend the duration of an Always-On Conference. If
the call needs to continue, all participants must hang up and dial into the
conference again.
