Tryouts - Setup & Guide (Internal)
Tryout Management can be turned on for any club with the Org Right (TRY) There are other job
rights involved that can be turned on for additional features (see below).
The goal of Tryout Mgmt is to allow players to register for a Tryout Program. If players are
accepted or “pass” the tryout with the club, they are then marked as selected within Tryout
Management, and are permitted to register for Programs associated to the respective Pool &
Level of the Tryout Program. All other players are restricted from registering for those Programs.
STEP 1: Create Tryout Program (In Tryout Manager)





Navigate to PROGRAMS > Tryout Management
Click Add Tryout Program
Enter required Name
 It is recommended to add a description if you have more than one tryout program
Enter Start Date, & End Date
 All registration programs/events' start/end dates must fall within tryout Program
start/end dates
Click Save
NOTE: Make sure you are creating your tryout program in the correct
season and year.
STEP 2: Configure Settings


On the Tryout Management screen you will see all tryout programs listed (if more than
one). Click on the program that you would like to edit.
You will notice six check boxes with different options:
o “Allow Player Evaluations?” – checking this box will allow you to create and edit
customized evaluation forms
o “Player Evaluations Require Approval?” – Checking this box will open up the
option for admin approval of tryout evaluations.
o “Show Tryout Management Events on Public Calendar?” – Checking this box will
allow you to post your tryout events on the provided calendar link (edited further
on the calendar tab)
o “Allow Player Evaluations To Be Emailed?” – This will allow for admins to send
personal evaluation sheets to each individual player to track performance.
o “Allow Public Display of Tryout Participants?” – This option will allow you to post
a list of accepted players online
o “Show Registration Events on Public Calendar?” – Choosing this option will allow
you to create a calendar page that will link to your registration page.
STEP 3: Configure Pools


Click Add Pool to create a new grouping of players
 Examples would be to separate genders or age groups, however you can just
use one if need be.
Click Update
STEP 4: Configure Levels

Click Add Level to create different levels of play
 Rank is based on numeric value (“1” is lowest)
 Examples are:


Gold = Rank 3, Silver = Rank 2, Bronze = Rank 1
Click Save
NOTE: You may configure a single Level, such as “Selected”
STEP 5: Create associated tryout event (in Online Reg. Setup)




Navigate to Admin > Manage Registration > Online Reg Setup
Create a new event (non-Team program)
On the first screen (program setup Scroll down on the Program Setup screen, expand
Advanced Features
Select the Tryout Program you previously setup
NOTE: ONLY select the Tryout Program (leave Pool & Level blank)

Click Save or Save and Continue
STEP 6: Associate Tryout Program to Standard Club Program(s)








Navigate to Admin > Manage Registration > Online Reg Setup
Highlight the standard Program, click Edit
Scroll down on the Program Setup screen, expand Advanced Features
Select the Tryout Program you previously setup
Select the appropriate Pool(s)
Select the appropriate Level(s)
Click Save or Save and Continue
Repeat for all Programs where approved/selected players are needed
STEP 7: Confirm Programs are Configured Correctly




Navigate to Admin > Manage Registration > Tryout Management
Click on the Tryout Program Name
Click the Sessions tab
You should be able to see the Tryout Program AND standard Club Programs listed
Based on your selections from steps 6 & 7
At this point, players can register into the Tryout Program for consideration to be approved. Once
tryouts have taken place and players are approved, they must be marked as selected in Tryout
Mgmt.
STEP 8: Mark Players as Selected






Navigate to Admin > Manage Registration > Tryout Management
Click on the Tryout Program Name
Click the Participants tab
Click the Selected column header
Check boxes for the approved players
Click Update
At this point, players marked as approved can register for standard Club Programs associated to
the respective Tryout Pool & Level. All other players will encounter an error message.
