It allows you to simultaneously search for availability from specified carriers' web fares and from published and private fares in the Galileo system. Results are displayed on one screen, and Custom Fares also enables you to book each type of fare. You may access Custom Fares via a link in Custom Viewpoint, and fares are presented in an easy to understand format. Searching for fares is straightforward and less time consuming. This User Guide explains how to: Access Custom Fares Search for Availability, sorted by Price or Time Book a Fare Work with open Booking Files Display Web Booking Reports Work with Custom Fares Admin Custom Fares is fully compatible with Custom Check and Galileo Fee Manager. 4 User Guide, Version 6.0 Custom Fares – Release 4.0 Accessing Custom Fares Take the following steps to access Custom Fares. 1. Launch Viewpoint, and sign on to the Galileo system. 2. Click View on the menu bar, and select Custom Viewpoint. Screen display: Note: The Custom Viewpoint screen depicted above uses EMEA library scripts version 1.2. 3. Select the Custom Fares link to display the Custom Fares search screen. Screen response: User Guide, Version 6.0 5 Custom Fares – Release 4.0 Defining User Preferences You may set up defaults before working with Custom Fares. Once configured, they remain the defined settings until changed. Three tabs are available from this screen, and preferences may be defined on each. Search Results Display Web Fares Points to note: The Reset to Defaults button returns your defined user preferences to the install defaults. Defaults are stored in your workstation cookies. Search tab 6 User Guide, Version 6.0 Custom Fares – Release 4.0 You may specify default preferences for the following items. Item: Explanation: Default Dep Airport/City Departure airport/city Default Arr Airport/City Arrival airport/city Display Private Fare Options You may set private fare display options for your pseudo city code, specifying an account code and contract code if applicable, to be used at search time. Always check this box if you wish search results to include private fares. Show Fares to be checked by default Check the appropriate boxes to include the following fare types in the search: Published - Galileo 360° Fares Web - Web fares from specified internet sites Private - Galileo agency private fares and airline private fares Note: The Display Private Fare Options box and this box must be checked in order to display private fares. User Guide, Version 6.0 7 Custom Fares – Release 4.0 Results Display tab Display info icons where available You may choose whether or not to display the information icon in the Flight Match Results screen. The information icon displays the following information: Airline name Airport names Distance from city centre to airport Display results by Check the appropriate radio button to set the default to display results ordered by price or by time. Note: You may subsequently toggle between both displays on the Flight Match Results screen. 8 User Guide, Version 6.0 Custom Fares – Release 4.0 Web Fares tab The Web Fares tab allows you to specify your web fares preferences. Screen display: Continued on next page User Guide, Version 6.0 9 Custom Fares – Release 4.0 You may specify default preferences for the following items. Item: Explanation: Display Alternative Dates in Search Results Check this box to display flights on one day either side of the requested dates for both outbound and inbound journeys. Uncheck this box to return web fares for only the specified date. Note: For some carriers and routes where flights are daily, the amount of data returned may increase threefold if alternative dates are requested. This may result in increased response times for these searches. Display Alternative Airports in Search Results When searching using an airport code (such as CDG, Charles de Gaulle), web carriers may return flights from alternative airports (ORY, Paris) - check this box to display these alternative airports for web fares, or uncheck the box to return web fares for only the specified airport. Note: This option does not apply to searching using a city code, or airport that is also a city (such as GLA, Glasgow). In these cases flights may be returned from alternative airports whether the box is checked or not (EDI, Edinburgh, PIK Prestwick International), as they are all linked to the city of Glasgow. Use Defaults for Web Fare Booking Enter the default name and address details for web fare bookings. Note: Details may be entered in upper and lower case and ' @ - characters may be used if required. 10 User Guide, Version 6.0 Custom Fares – Release 4.0 Searching for Availability Specify flight information on the Search screen. You must include: From/to cities Out and return dates Number of passengers Check the option for the appropriate fares search One way fares Enter the outbound date in the Out box and OW in the Return box for one way fares. Preferred airline Specify the code of the preferred airline when you wish to search for Galileo published and private fares or web carrier fares. Galileo published and private fares The preferred airline is displayed first on the Flight Match Results screen and sorted by price. It does not exclude results from other airlines, which are displayed following those of the preferred airline. Web carrier fares When you specify a preferred airline when searching for web carrier fares, Custom Fares will search for availability only from the specified airline. All other web carrier fares and Galileo published and private fares are automatically excluded. User Guide, Version 6.0 11 Custom Fares – Release 4.0 Searching for Children and Infants You are able to specify child and infant fares when making a search. When you specify a child or infant, the Search screen will expand and prompt you to enter the age of the child and infant. Refer to the following examples for 2 adults, 2 children and an infant. Note: Age is a mandatory item for children and infants. The Children Ages are in years, while the Infant Ages are in months. Select the Search button to begin the search. Screen response: 12 User Guide, Version 6.0 Custom Fares – Release 4.0 Note: A progress bar indicates how far the search has progressed, but some web sites may take longer than the bar indicates. Results are displayed when the application receives them, and the Flight Match Results screen will be refreshed with the updated fare order. Intermediate results may be viewed before all results are received. Searching for Multiple Passenger Types When selecting published fares or private fares, Custom Fares is limited to four passenger types. When selecting web fares, some web carriers may not process different passenger types, and only fares for adult passengers will be returned. User Guide, Version 6.0 13 Custom Fares – Release 4.0 Searching for Private Fares If you wish to search for Galileo Private Fares, the Display Private Fare Options box must first be checked in the User Preferences dialog box accessed by selecting the Prefs button described previously. Three boxes are displayed on the right-hand side of the search parameters, for the pseudo city code, account code and contract code. Search screen: Note: The pseudo city code is a mandatory item, but an account code and/or contract code are optional items depending on how your private fares are stored. The pseudo city code that the agent is logged into appears as a default, but may be amended if required. The visibility of fares will depend on how specific fares have been loaded. 14 User Guide, Version 6.0 Custom Fares – Release 4.0 Interpreting the Results Screen (Price View) When the search is completed, flight match results are displayed in price order, unless the Time option has been selected as default in the User Preferences dialog box. Sample response: Note: Published Fares are identified in red, Web Fares in blue and Private Fares in green. Galileo published and private fares These fare types display the following information. User Guide, Version 6.0 Carrier code Total price for outbound and (if requested) inbound flights including taxes Departure and arrival airports Range of departure times 15 Custom Fares – Release 4.0 Web fares These fare types display the following information. Total price for all flights including taxes, but excluding any credit card fee, discount or administration charges that may be applicable Carrier name Departure and arrival airports Range of departure times Results for the requested dates are shown in bold, so they can be easily distinguished from results for alternative dates Multiple fares: If a web fare carrier returns multiple fares, the results can be grouped together for easier reading. They are identified by a full blue bar with the carrier name and Prices from: text. Click the bar to expand the detail and display individual fares. The display method may be altered by using the Custom Fares Admin tool explained later in this User Guide. Check the appropriate radio buttons to identify the required Out and Return flights for the quoted fare and select the Booking Details button to make a reservation. Screen example: Note: You cannot select segments from different quoted fares and choose an outbound flight from one quoted fare and an inbound flight from a different quoted fare. User Guide, Version 6.0 19 Custom Fares – Release 4.0 Selecting a Web Fare from the Price View Web fares are selected in the same way as published fares. Click on the left-hand side of the required carrier, and then click to expand the details of the appropriate fare and display out and return flights. Check the appropriate radio buttons to identify the required Out and Return flights for the quoted fare and select the Booking Details button to make a reservation. Note: You cannot select segments from different quoted fares and choose an outbound flight from one quoted fare and an inbound flight from a different quoted fare. Screen example: Note: The total price shown includes taxes, but does not include the fee that may be associated with some credit cards. In addition, it may not include any booking fee or web carrier discount that may be applicable. 20 User Guide, Version 6.0 Custom Fares – Release 4.0 It is advisable to warn the customer at this point that a credit card fee may apply. User Guide, Version 6.0 21 Custom Fares – Release 4.0 Interpreting the Results Screen (Time View) Select [Time] to display results ordered by time if required. Note: Check the appropriate radio button on the Results Display tab in the User Preferences dialogue box to set the default to display results ordered by time if required. The following information is displayed: Carrier codes and flight numbers Departure and arrival airports Departure and arrival times User Guide, Version 6.0 Custom Fares – Release 4.0 Results for the requested dates are shown in bold, so they can be easily distinguished from results for alternative dates Selecting a Published, Private or Web Fare from the Time View Check the appropriate radio button to identify the required Outbound flight. The Outbound flight area is closed, and the display now shows the Inbound flight options, displayed in order of departure time. Screen example: Note: Only flights with the same carrier and city pair as the selected Outbound flight are valid Inbound flights. Non compatible Inbound flights are greyed out, to make it easier to select a matching Inbound flight. Check the appropriate radio button to identify the required valid Inbound flight. The Inbound flight area is closed, and the Booking Details button can be selected to make a reservation. The price shown at the bottom of the screen includes taxes. User Guide, Version 6.0 23 Custom Fares – Release 4.0 Note: Credit card fees and other fees may not be included for web fares. 24 User Guide, Version 6.0 Custom Fares – Release 4.0 Screen example: No compatible inbound flight If there is no compatible inbound flight, you have two alternatives: Scroll up, click to expand the Outbound flights area, and select different Outbound and then Inbound flight options. Select a greyed out Inbound flight. A message box will be displayed, warning that you have selected an incompatible flight. Screen response: Click OK to select the new Inbound flight. The Inbound flight area is closed, the Outbound flight area is reopened, and the display shows the Outbound flight options. The price shown at the bottom of the screen includes taxes. Credit card fees and other fees may not be included for web fares. 27 Custom Fares – Release 4.0 Booking a Published or Private Fare Take the following steps to book a published or private fare: 1. From the Price View or Time View screens, identify the required Outbound and Return flights and select the Booking Details button to make a reservation, displaying the Flight Detail and Booking screen. Complete the Booking Details with the passenger name, specify the plating carrier and select Book Fare. Screen response: Note: Any information and warnings generated by the booking are displayed at this point. 30 User Guide, Version 6.0 Custom Fares – Release 4.0 Viewing the Booking File in the Galileo System Custom Fares has added the booked segments to a Booking File, but has not ended the transaction. It is now possible to return to Viewpoint or Focalpoint and add further segments such as hotel and car, apply fees with Galileo Fee Manager, or use Custom Check to enforce quality standards. Press the Reset button under the Information and Warnings boxes, to the clear the screen. Switch to Focalpoint or Viewpoint to display the booking details and complete the Booking File with additional detail as required. Viewpoint: Focalpoint: User Guide, Version 6.0 31 Custom Fares – Release 4.0 Booking a Web Fare Take the following steps to book a web fare: 1. From the Price View or Time View screens, check the appropriate radio buttons to identify the required Out and Return flights, and select the Booking Details button to make a reservation. Screen response: 32 User Guide, Version 6.0 Custom Fares – Release 4.0 Points to note: If a different currency was specified during the installation of Custom Fares to that quoted by the carrier, an equivalent currency amount is displayed. Charges to the customer's credit card account will be specified in the currency of the carrier's website. The display details the breakdown of air fare and country taxes. Enter the passenger name and select the Book Fare button to display the Passenger Details, Contact Details, Payment Details and Billing Address screens. Screen response: Note: If Defaults for Web Fare Bookings have been setup in the User Preferences, then the Contact Details will be defaulted to those specified in the User Preferences. 34 User Guide, Version 6.0 Custom Fares – Release 4.0 3. Complete the relevant details. Completed screen example: User Guide, Version 6.0 35 Custom Fares – Release 4.0 Note: If the billing address is the same as the address on the Passenger Details screen, check the Same as delivery address box and the required fields are populated automatically. These screens may be updated at any time, outside the control of Custom Fares. Continued on next page 36 User Guide, Version 6.0 Custom Fares – Release 4.0 4. Click Submit Booking to process the reservation. A screen summarising flight details, passenger contact details, price breakdown and fare rules is displayed. Note: The total price displayed is the amount that will be debited from the credit card. User Guide, Version 6.0 37 Custom Fares – Release 4.0 5. Check the box to accept the terms and conditions and select the Buy It button to finish the booking. Never click the Buy It button twice, even if there is a pause before the Booking Confirmation is displayed. Points to note: As the Custom Fares user you must accept the terms and conditions of the web fare on behalf of the passenger. The traveller should be referred to the Carrier’s website if they wish to view these terms and conditions before acceptance. Credit card details are validated at this time. If any information has been entered incorrectly, an error message is displayed prompting you to make an amendment. The signature strip number is only mandatory for certain credit cards. Once an agent has completed a web fare booking, all amendments and cancellations will need to be made directly with the web carrier, rather than through Galileo. Booking confirmation After a few moments a dialogue box will appear stating ‘Press OK to see booking confirmation’. Points to note: 38 There may be a delay before the dialogue box is displayed. Do not use the keyboard or mouse during this time. User Guide, Version 6.0 Custom Fares – Release 4.0 The final price, the carrier’s confirmation details, the carrier’s booking reference are shown on the Booking confirmation screen. Continued on next page User Guide, Version 6.0 39 Custom Fares – Release 4.0 Booking Confirmation screen response: Points to note: The airline name, airline reference, booking date and lead passenger name are displayed at this point. E-mail confirmation from the web supplier will be sent to the e-mail address given in the contact details at the time of booking. This may be the agent’s email account or the traveller’s. Custom Fares has added the booked segments to a Booking File, but has not ended the transaction. It is now possible to return to Focalpoint or Viewpoint and add further segments such as Hotel and Car, apply fees with Galileo Fee Manager, or use Custom Check to enforce quality standards. 6. Press the Reset button under the Information box, to the clear the screen. Switch to Focalpoint or Viewpoint to display the booking details and complete the Booking File with additional detail as required. 40 User Guide, Version 6.0 Custom Fares – Release 4.0 Viewpoint The Booking File is automatically displayed in Viewpoint, and flight details are shown. Fare details are stored in the Custom Stored Fares field. Screen display: Note: Mandatory and optional Booking File fields may be added, and the Booking File ended in the usual way. User Guide, Version 6.0 41 Custom Fares – Release 4.0 Focalpoint In Focalpoint, flight details are shown as OPEN segments, and confirmation and fare details are shown as document itinerary remarks. Points to note: 42 Mandatory and optional Booking File fields may be added, and the Booking File ended in the usual way For full specification of web fare segments, refer to Web Fare Open Segment Specification later in this document. User Guide, Version 6.0 Custom Fares – Release 4.0 Working with Open Booking Files Custom Fares can either create a new Booking File and add in flight segments as described previously, or add segments to an existing open Booking File. The ability to add Custom Fares segments to an open Booking File means that Custom Fares bookings can be added to an existing hotel booking, for example, and allows Galileo Client Profiles to be used with Custom Fares. Note: When using Galileo Client Profiles and Custom Fares together, it is essential to pull the BAR or PAR into a Booking File first, and then add Custom Fares segments. Open a Booking File in Viewpoint, and add required details. Screen example: Access Custom Fares and perform a search for availability, as described in the previous sections, selecting an Outbound and Return flight. Custom Fares will display a warning box, as you are adding Custom Fares flight segments into an existing open Booking File. Click OK to add the segment to the open Booking File, or Cancel to abandon the booking. Complete the booking as described in the previous sections. Web fares Credit card details in the Booking File are transferred to the Web Booking page. This includes the type of card, the card number and the expiry date. The card holder name is not included because it is not in the FOP entry. Points to note: User Guide, Version 6.0 This is only applicable to credit cards supported by low cost carriers. For the Custom Fares booking to hand-off correctly to the PNR, the passenger details must match that of the current open Booking File. 45 Custom Fares – Release 4.0 Displaying Web Booking Reports A booking report for Web Fares may be obtained by selecting the Custom Fares Web Booking Reports link in Custom Viewpoint. Screen response: Note: Enter your username and password. Screen response: The report details a list of all web fare bookings made using Custom Fares. You may search for web fare bookings by the date the booking was made, and bookings are listed chronologically. 46 User Guide, Version 6.0 Custom Fares – Release 4.0 Example screen response: Note: Select More Info to display specific information for each booking. You may display the following information: Web booking reference Final price of the web fare Flight details including the date and time Passenger and contact details Select the Print button at the bottom of the screen to print the detail or select the Download button and specify a file name with an .html or .htm extension. The file can then be viewed in any browser. . Screen example: 48 User Guide, Version 6.0 Custom Fares – Release 4.0 Working with Custom Fares Admin You may add or change the grouping display for each web fare carrier by selecting the Custom Fares Admin link in Custom Viewpoint. You may change the defaults by: Displaying prices on the initial results header by lowest, highest or average Hiding flight details from the search results Screen example: Continued on next page User Guide, Version 6.0 49 Custom Fares – Release 4.0 Points to note: Custom Fares Admin may list carriers that are no longer supported in Custom Fares You may view results from a carrier even though it may not be listed in Custom Fares Admin. Adding New Web Fare Carriers to the Custom Fares Admin Tool Only web carriers that have been officially deployed by Galileo may be added to the Custom Fares Admin Tool. Local markets should advise customers when new content is available. Take the following steps to add a new web carrier. 1. Select the Add button. Grouping tab 50 User Guide, Version 6.0 Custom Fares – Release 4.0 Screen description: Item: Explanation: Airline name Carrier name Note: Enter using lower case and no spaces. Display Check the box if you wish to show the results of the carrier. If left blank, the results of any search are hidden from the results screen. Group Check the box so that search results are grouped together for easier reading. Price Type Select Lowest, Average or Highest from the drop-down menu. The selection determines where the group of fares is displayed in relation to other fare type results, such as published fares or private fares. Currency tab User Guide, Version 6.0 51 Custom Fares – Release 4.0 Country tab 2. Click on the Currency and Country tabs to specify the appropriate currency and country details. When you have completed the detail, select OK. Currency information Currency information is passed to Open Jaw for the purpose of retrieving or converting fares in the desired currency. This must be set in the same currency as the point of sale for your pseudo city. If the settings are different, Galileo published and private fares may be displayed in one currency, and web fares in another. This will affect the sorting of results on the By Price screen. Currency information Country information is passed to Open Jaw for the purpose of marking items for reporting purposes by country. New web fare carrier example The following example shows a new web fare carrier newcarrier and Price Type AVERAGE. Completed example: 52 User Guide, Version 6.0 Custom Fares – Release 4.0 Editing a Web Fare Carrier Grouping Detail You may edit the web fare carrier grouping detail. Select Change on the appropriate carrier line, and amend the screen as required. Example screen response: Note: If you amend the name of the web fare carrier on this screen, a new carrier type will be created. Removing the Grouping To remove the grouping of the carrier’s fare results in the results screen, select Remove on the appropriate carrier line. You will be required to confirm the removal. Screen response: User Guide, Version 6.0 53 Custom Fares – Release 4.0 Results Screen example The Price Type for EasyJet shows fares displayed from Lowest to Highest: Note: You must close Custom Fares and then re-open for changes to take effect. 54 User Guide, Version 6.0 Custom Fares – Release 4.0 Frequently Asked Questions When making a web booking, the following screen was displayed, what does it mean? The web supplier pages have a 15 minute timeout. If you take longer than 15 minutes to enter data on any of the web pages that appear in the booking process, the session will time out. To start the booking process again, scroll up to the top of the screen and click the Search button. I have made a web fare booking, but the handoff failed, what do I do? It is possible for a web fare booking to be made, but the handoff fail for some reason (a network or ISP outage, an error or “system down” originating from the web supplier, the Custom Fares software itself, Focalpoint or Viewpoint could result in such a failure). In this case all the flight details should be noted down in case a Galileo booking record needs to be manually created. Firstly, you must ascertain whether the failure happened before the booking completed with the web supplier, or after the booking completed. It is not possible for Custom Fares to know where or when the failure occurred. If an email is received from the web supplier confirming the booking, then create a Galileo booking record manually, using the flight details noted above. The format of the entries that need to be created is described on page 28. If no email arrives, then call the web supplier to double-check no booking has been made, and then make another booking through Custom Fares. Continued on next page User Guide, Version 6.0 55 Custom Fares – Release 4.0 If I don’t end transact once a Booking File has been created in Galileo, has the web fare been booked? Yes, the web fare booking is made on the Web Carriers website. Once an agent has completed the Web Fare booking the web fare has been booked and all amendments and cancellations will need to be made directly with the web carrier rather than through Galileo. The booking is not automatically end transacted to enable agents to complete the booking in Galileo (add a hotel/car) and use other Galileo value-add tools such as Custom Check and Galileo Fee Manager. Why do some of the Web Carrier codes not appear in the booking when viewed in Galileo? This could mean that your Viewpoint Tables have not been updated. To update Viewpoint Tables follow these 3 steps: In Viewpoint click on the ‘Web’ button on the top toolbar. Select ‘Utilities’ in the miscellaneous menu on the left hand side. On the screen click on the ‘Click here to refresh your tables’ If I make multiple Web Fare bookings in Custom Fares for the same PNR, how do they appear in the DI Lines? When an agent makes multiple bookings, the DI entries will be generated in the order that the bookings are made. It is recommended that the bookings are made in chronological order to avoid any re-ordering. The Published and Private fares are displaying in the wrong currency? Some agents use Service Bureau to work in a PCC whose default currency may be different to the default currency of the PCC the GTID being used is initialised to. Published and Private fares in the Low Fare Shopping Tool and Custom Fares may be displayed in either of these currencies, depending on the settings of the PCCs. Call the Galileo Service Desk to switch the currency used by Low Fare Shopping Tool and Custom Fares from the default for one PCC to the default of the other, as required. The Web fares are displaying in the wrong currency? Use the currency tab in the Custom Fares Admin Tool to change the currency of the web fares display. Why do I get the error response NO VALID FARE FOR INPUT CRITERIA when I try to book a published fare? This is a problem with Galileo 360° Fares, and not a problem with Custom Fares. It indicates a mismatch between the booking code and the fare database. 56 User Guide, Version 6.0 Custom Fares – Release 4.0 If I have an existing Booking File with a credit card as form of payment, will that be sent across to the web booking? The credit card type, expiration date and credit card number is sent across to the web booking. The passenger name does not get passed across because it is not entered as part of the FOP. Note: The signature strip number is only mandatory for certain credit cards. Do I need to remove previous versions of Custom Fares if I wish to install Custom Fares release 4.0? No. Installation of release 4.0 does not require removal of any older version. Why do I sometimes see a difference in the web fare amount in Custom Fares (blue data) and the same fare shown on the carriers' web site? Custom Fares attempts to find the exact fare which may include fees, taxes and discounts that are not initially shown on the carrier's web site. If you search further on the carrier's web site you will see these hidden charges. Why do I sometimes see a difference in the web fare amount quoted at the time of search, and the final price displayed on the confirmation screen at the time of booking the flight? The carrier's web site may have altered the price slightly and may not have updated the database in "real time mode". Some airlines update their fares every day, but data on the web site may be up to 24 hours old. The site will always state that prices may not be exact, but at the time of booking the exact fare is calculated. The exact fare including any credit card fees is then shown on the Custom Fares booking screen, before the final amount is deducted from the credit card. The booking file will contain an open segment per segment booked, a name entry per passenger and a number of free text remarks. Enter TKPDAD to trigger MIR delivery. It is possible for a Web Fare booking to be made, but the creation of the open segments fail for some reason (a network or ISP outage, an error or “system down” originating from the web supplier or the Custom Fares software itself could result in such a failure). In this case, the open segments and DI remarks can be manually created according to the specification below. Entries in the booking file so that the data is stored in the record in a free text remark which 3rd party systems can then use. Although fields in the remarks are normally fixed length, the system will not enforce this limitation but will adhere to current practice by which all fields are separated by a delimiter, therefore allowing for variable length fields if required. The fields delimiter for remarks will be the dash “-“ character (Unicode 0x002D). This means that character will not be available to use inside the remarks data.
