Creating Users
Player and Coach Users
Player logins are created when the New User? option is used on the Registration page.
Coach Logins: Refer to Assigning User Names and Passwords in the Coach Maintenance section.
Other Users
To create users for non-players and team staff, including but not limited to, Treasurer, Age
Directors (Coordinators), Referee Assignor etc use the following instructions.
To create other logins, you need to be logged in using an Admin login.
Go to User Logins/password Administration (in the System Functions section of the Admin
Menu).
Select Add. Enter a Login and Password and select a Login Level. The Login Level identifies
which menu options the user will have access to. The ‘Admin’ Login level gives the user
everything, so it pays to use a more granular Login Level.
Player Maintenance
Searching for Players
To search for an individual player or a group of players go to the Admin menu and in the
Player/Team/Coach Administration section select Player Administration.
Enter the required search criteria and select the Post button.
Adding a Player
To add a player you need to register them. You have to create a new user and password for the
player/parent and register the player using that user and password. You will need to email the
player/parent their user name and password.

Editing a Player
To edit a player, first search for the player you wish to edit (see Searching for Players). In the
search results list locate the player you wish to edit and select Edit.
Change what you need to change and select Post.
If you decide that you don’t want to change anything select Admin at the top right of the screen.
Changing a Players Division
To change a player’s division first search for the player you wish to edit (see Searching for
Players). In the search results list locate the player you with to edit and select Edit.
Change the division by selecting from the available drop down list and select Post.
If you decide that you don’t want to change anything select Admin at the top right of the screen.
Assigning a Player to a Team
To assign a player to a team first they must be assigned to a division that has team created.
To search for an individual player or a group of players to manually assign to teams go to the
Admin menu and in the Player/Team/Coach Administration section select Player Team
Assignment.
Enter the required search criteria including the Division and select the Post button. Note:
Division is a mandatory search field on this screen.
To assign the player to a team, select the required team from the drop down list. If you wish to
edit the player you can also do that by selecting Edit.
Once you have done your team selections for the players displayed, select Post. Note: You can
select the team for multiple players on this screen before you select Post.
If you have done team selections but you want to do an Edit on a player first, it would pay to
Post your team selections first.
Processing a Cheque Payment for Registration Fees
To search for an individual player or a group of players to manually assign to teams go to the
Admin menu and in the Payment Functions and Reports section select Registration Payments.

Enter the appropriate search criteria and Post.
Change the Pay Stat (Payment Status) to Paid and enter the cheque number(s) into the notes
area and Post.
Processing a Cheque Payment for Special Event Fees including
FC Fees
To apply a cheque payment against a special event fee such as the FC Competitive Team Fee, go
to the Admin menu and in the Event Based Registration section select Event Payments
Maintenance.
Select a Form Name of ‘Competitive Team Fee’ (or the one for the special event), you can also
enter the players Last Name and Post.
Locate the correct record and update the Payment Status to ‘Paid’ and enter the cheque
number (and date paid) in the Notes and Post.
Note: If the player has not accessed the form for the special event fee then they will not be
returned by the search. The player needs to log in and select to pay the fee and select a
Payment Method of Cheque or they can pay by credit card.

Team Maintenance
Searching for a Team
To search for an individual team or a group of teams go to the Admin menu and in the
Player/Team/Coach Administration section select Team Administration.
Enter the required Division and Age Group and the teams in that Division/Age Group will be
displayed in the search results.
Adding a Team to a Division
To add a Team to a Division go to the Admin menu and in the Player/Team/Coach
Administration section select Team Administration.
Make sure the Registration Year is correct and select Add.
Enter all the required fields and select Post.
Editing a Team Setup
To edit a team setup, first search for the team you wish to edit (see Searching for a Team). In the
search results list locate the team you wish to edit and select Edit.
Change what you need to change and select Post.
If you decide that you don’t want to change anything select Admin at the top right of the screen.
Viewing the Players Assigned to a Team
If you want to view the players assigned to a Team, first search for the team you wish to view
(see Searching for a Team).
You can view the players assigned to a team in two ways:
1) In the team definition: Locate the team in the search results list and select Edit, scroll
down to the bottom and you will see the team list.
2) In excel: Locate the team in the search results and select Team List. This will open a
dialog box for you to select to ‘Open with’ or ‘Save File’. Select the method you want

then select OK. If you select to ‘Open with’ you may get a message ‘The file you are
trying to open…….’ You should be ok to select Yes.
Generate a Roster for a Team
If you want to generate a Roster for a Team, first search for the team you wish to view (see
Searching for a Team).
Locate the team in the search results list and select Edit.
Select Team Roster at the top right of the screen.
Assigning Staff to a Team
Perform the steps in Searching for a Team, locate the team in the search results and select Edit.
Scroll down the team details to the Team Staff, and select Add beside the role required. If you
are assigning a second (or more) Assistant Coach, use Alt Contact and enter a Title of ‘Asst.
Coach’. Make sure you Post to save your changes.

Coach Maintenance
Searching for Coach
To search for an individual coach or a group of coaches go to the Admin menu and in the
Player/Team/Coach Administration section select Coach Administration.
Enter the search parameters you wish to use and select Search.
If you wish to display a list of coaches in Excel you can use the Excel button.
Adding a Coach
To add a Coach go to the Admin menu and in the Player/Team/Coach Administration section
select Coach Administration.
Select Add.
Enter all the required fields and select Post.
NOTE: Team staff can also add themselves by going to the link on the website.
NEXT STEPs:
1) Once Coaches are added to the system either by an admin person of be the Coach
themselves via the web site they will need to be approved before they can be assigned
to a team. See Approving a Coach/Team Staff.
2) Give the Coach a username and Login if you did not enter one when you added the
Coach. See Assigning Usernames and Passwords.
3) Emailing the Coach their username and password, see Coach/Manager Login/Password
Reminder.
Approving a Coach/Team Staff
To search for any Coach the need to be approved, go to the Admin menu and in the
Player/Team/Coach Administration section select Coach Administration.
Select Coach Application radio button and select Search.
Locate the Coach to be approved and select Edit.

The Staff Contact Maintenance screen will be displayed. Select the Approve as Coach (After
Posting) tick box and Post.
Assigning Usernames and Passwords
When users (i.e. club staff or Team staff) are created they need to be given a user name and
password so they can access the system.
Bulk Assignment of User Names and Passwords for Coaches: The system has a tool you can use
to automatically generate usernames and passwords for all Coaches that don’t already have
them: Go to the Admin menu and in the System Functions section select Batch Create Coach
Logins/Passwords.
Individual Manual Assignment: Follow the steps for Editing a Coach and enter a Staff Login and
Staff Password and Post.

Editing a Coach
To edit a Coach, first search for the coach you wish to edit (see Searching for a Coach). In the
search results list locate the coach you wish to edit and select Edit.
Change what you need to change and select Post.

Coach/Manager Login/Password Reminder
If you have done assigned a username and password to one or more Coaches, you need to send
them their username and password.
Go to the Admin menu and in the Email Functions section select Coach/Manager
Login/Password Reminder. Enter the search criteria to find the Coaches to send the email to
and Post.

Enter the email details and Send. NOTE: you don’t need to include their username and password
in your email text as the system will do that automatically for you.
Viewing the Teams a Coach is assigned to
If you want to view the team(s) a coach is assigned to, first search for the team you wish to view
(see Searching for a Coach), and select Edit to view the coach details.
Select Show Teams.
Entering Criminal Record Check date
If you only have one to update follow the steps in Editing a Coach above and enter the PRC Date
(Police Record Check Date).
If you have multiple to enter use the steps in Find Team Staff without/with expired Criminal
Record Check below and you can enter them all in one go. Make sure you Post every now and
them not make sure you do not lose your work.
Find Team Staff without/with expired Criminal Record Check
If you want to get the list of team staff who do not have a PRC Date or whose is about to expire.
Go to the Admin menu and in the Player/Team/Coach Administration section select Coach
Criminal Record Check Processing.
If you want to find those without a date entered select Incomplete Only.
If you want to find those about to expire select your Expires criteria. Make sure all the Include
boxes are all ticked and Post.
The list will be returned, and you can send to Excel or scroll to the bottom of the list and send an
email.

Sending Emails to Players, Coaches etc
Sending an Email to a Player or Group of Players
To send an email to an individual player, go to the Admin menu and in the Email Functions
section select Player Group Email.
Enter the criteria you wish to use to select the players and select Post.
Enter the Email Subject, and Reply to email address (x 2). Enter the body of the email and
upload images if required, select Send.
Note: The list of the players that the email will be sent to is at the bottom of the screen.

To send an email to an individual coach, go to the Admin menu and in the Email Functions
section select Coach/Manager Group Email.
Enter the First and Last Name of the Coach and select Post.
Enter the Email Subject, and Reply to email address (x 2). Enter the body of the email and
upload images if required, select Send.
Note: The list of the coaches that the email will be sent to is at the bottom of the screen.
Sending an Email to a Group of Coaches
To send an email to an individual coach, go to the Admin menu and in the Email Functions
section select Coach/Manager Group Email.
Enter the criteria you wish to use to select the coaches and select Post.

FC Process
The following steps should be followed in order to put people on FC teams and charge them the
FC Premium.
1. Create the FC Teams in the appropriate Division. Make sure you select the Select
Team? tick box. If this is not selected the FC Premium charge event will not be available
for the players to select and pay.
2. Copy the Competitive Team Fee event form and correct the dates.
3. Assign players to the FC teams
4. Use Player Group Email to email FC team players the link to the Competitive Team Fee
form. They must do the form even if they are paying the fee by cheque.
Schedule Maintenance
Searching for a Schedule Item
To search fro add any form of schedule event i.e. game or practice for any team:
On the Admin Menu. Select Schedule Administration in the Scheduling System section.
On the Schedules screen you can narrow down the search results by:








Division
Age Group: Field displays once a Division is selected.
Team Name: Field displays once a Division is selected.
Schedule Type: Options of: All, Practice or Game
Schedule Name: Options of: All, Indoor Practice, Indoor Game, Outdoor Practice,
Outdoor Game
Field: Select from the list
From Date Range
To Date Range
If you change the parameters from Schedule Type, Schedule Name and Field the schedule
results will automatically change. If you change the From Date Range or To Date Range you will
need to Post to get a new set of results.

If you wish to find an item for a previous season or year you will need to change the
Registration Year.
Creating a Schedule Item
To add any form of schedule event i.e. game or practice for any team:
On the Admin Menu. Select Schedule Administration in the Scheduling System section.
On the Schedules screen select the Division, Age Group and the Team Name that you wish to
add a scheduled event for. Once, these selections are made the Add button is available.
Once the Add button is selected the Schedule Detail Maintenance screen will be displayed.

The format of this screen is configured to change depending on the Schedule Type. Therefore,
once you select your Schedule Type the screen will redraw to show you the set of fields for that
Schedule Type.
Schedule Type: Game
Enter the game date and start time in Schedule Date and Schedule Time. Select the Schedule
Field from the available list. If the required field is not available and it is a field that BSA teams
would normally play at, add the field (see Field Maintenance section), once the field is added
refresh your screen to see if you can see the new field, if not go back and start the event again.
If it is not a field that we normally play on, i.e. this is an out-of-town tournament i.e. in Calgary
you can just use Schedule Field Override.
If the BSA team is the home team, select the Home Team, if they are the visiting team select
their name in the Visiting Team. The Home Team Override is for you to enter the name of the

other team if they are the home team, and the Visiting Team Override is for you to enter the
name of the other team if they are the visiting team.
If you want to have a comment displayed on the schedule you can enter it into Schedule Notes.
Once you have entered all the information select Post and the schedule item will be available on
the Team Page schedule.
Schedule Type: Practice
Enter the practice date and start time in Schedule Date and Schedule Time. The Practice From
To field is for you to enter your practice start and end time if you wish (as practices don’t have
definite lengths the same as games). Select the Schedule Field from the available list. If the
required field is not available and it is a field that BSA teams would normally play at, add the
field (see Field Maintenance section), once the field is added refresh your screen to see if you
can see the new field, if not go back and start the event again. If it is not a field that we normally

practice on, i.e. this is an out-of-town tournament i.e. in Calgary you can just use the Schedule

If people have already been looking at the schedules, it would be better to cancel an event
rather than change it, so that they know why they cannot see it anymore.
To cancel a scheduled item, change the Schedule Status to Cancelled. You can enter notes for
example ‘cancelled due to exams at gym’. Note: It is better to cancel an item than just delete it if
the season has already started, then people know why they can no longer see the item.

If people have not already been looking at the schedules, or you just created one accidentally,
use the Delete button.
Copying a Schedule Item
Sometimes it is faster to copy an existing item if most of the details are the same. This is
normally used in the situation where you have 2 teams sharing a gym for a practice.
Locate the original schedule event and Edit.
Select the copy button. A duplicate event will be created.
In the example of a gym being shared, change the Field to the other half (A or B) and change the
home team and Post.
Note: If the original event did not have A or B you should change the original event field first. So
that both teams know that they are sharing a gym.

Sometimes it is faster or easier to input the schedule details into a spreadsheet and then upload
the spreadsheet. i.e. for a club run league or a tournament.
Use the supplied spreadsheet to create the file. If the column headings are incorrect the upload
will not work.

On the Admin Menu. Select News Maintenance in the News Administration section.
Add a Home Page News Item
On the Newz Maintenance (not a spelling mistake) screen select the Add button.
Enter a Title, Posted Date and Full Text and select Post.
Note: If you enter a Posted Date in the future the item will not display until that date.
Edit a Home Page News Item
On the Newz Maintenance (not a spelling mistake) screen select the Edit button for the news
item you need to change.

To add additional email addresses
Go to www.techsys.tv and click on Web Mail Admin (left side).

There is a second mail account:

When adding other accounts set them up like the info account as the admin account has domain
level admin (can add other accounts).
Options for mailbox setup:



Real Mailbox: The info account is setup as a real mailbox. All mail will be kept here for
up to 1 year is using web mail only.
Pop: Pop the mailbox to an email client like Outlook. Within Outlook, you can specify to
delete the copy on the server after downloading to outlook or not to delete the copy on
the server.
Redirect: The final way to setup email is to have the email redirected to their personal
email account (most clubs use this method).
Pop settings
The pop settings are:

> pass: (what ever was setup for this account)

> pop3 server: mail.millsoft.ca
>
> smtp server: (depends on ISP - use same smtp settings as the user has on

The Transaction Reports selection criteria screen will be displayed.
The easiest way to find a transaction is to tick the tick box beside Transaction Type, check the
Date selection will work for you and then select Submit Search.

Investigate a Transaction
To investigate a transaction you will first need to know what the order number is. For
Registration Payments, the Order Number is displayed on the Player Payments screen
(accessed from the Registration Payments menu option) as the Ref (i.e. 96 in the example
below).

To locate the transaction in Moneris do the steps to View Transactions.
You may need to use the Reg date on the Player Payments screen to locate the transaction.
Generate a Partial or Full Refund
Partial and full Refunds can be processed on transactions where Moneris has already processed
the transaction.
If the transaction has not yet been processed, then the only option is to void the transaction.
If you need to generate a Partial or Full Refund in Moneris you will first need to locate the
Order Number.
Once you know the order number locate the transaction in Moneris. Confirm that you have the
correct transaction by checking:
1. The original charge amount on the Player Payments screen matches the amount for
that ref/order number
2. The Credit Card number in Moneris matches the credit card number for the Player
Payment – select Edit on the right of the Player Payment, select View Receipt.

Scroll down to view the credit card details. Locate the first and last 4 digits of the credit.
They should match those on the Moneris transaction.
Once you are sure you have the correct transaction.
Processed Transactions - Refund
If the transaction has already been processed there will be a Refund tick box for the transaction.
Select the Refund tick box.
If you want to do a full refund leave the amount as it. If you want to do a partial refund (i.e. they
are being charged a withdrawal admin fee) then change the amount to the amount to be
refunded. Once you have done all the refunds on that screen, select Process Grouped
Transactions.
Note: Doing a refund in Moneris will not update the payment status or anything else in the BSA
system, you will need to go into the system and change the status to Refund Issued manually.

Not Yet Processes Transaction – Void
If the transaction has not yet been processed there will be a Void tick box for the transaction.
You cannot do a partial refund on these transactions – so if you need to just do a partial refund,
you will need to wait for the next day to do it.
To void the transaction select the Void tick box for the transaction and select Process
Grouped Transactions.
Note: Doing a void in Moneris will not update the payment status or anything else in the BSA
system, you will need to go into the system and change the status to Refund Issued manually.
Recovering from a Credit Card Processing Issue
Call for Authorization Error or other Declined Error
If a credit card payment generates a ‘call for authorization’ error message to the user, get them
to check that they entered the correct card number and expiry date.
Go on the Moneris web site and generate the transation report, you should be able to see the
declined transactions.
Select the transaction Order Number.

You can call Moneris to check the reason for the message.
If the reason is an invalid card number, you will need to call the person to get them to enter the
correct number. Before they select to Finish the registration, you will need to change the status
on the Player Payments screen from Communications Error to Credit Card Error. If you do not
change the status they will get a ‘Credit card transaction has already been created’ error.
Other Communications Error
If a credit card payment generates a ‘Communications error’ Payment Status, go on the
Moneris web site and generate the transaction report, check if there is a matching transaction in
Moneris – there might not be. If there is no matching transaction in Moneris, change the
Payment Status to ‘Credit Card Error’ and select Reg on the right side of the Player
Payment. Scroll down to the payment details. The credit card number should still be there,
select Finish to reprocess the transaction.
If this does not work call BSA support.
