In order to help facilitate this, we have prepared this guide with information you will need to know as you prepare your team for their experience on the field. Please read through this entire guide before you start preparing your team to minister in Guatemala. We also suggest that each Team Leader does a self-evaluation to make sure they meet the following qualifications: - Spiritual maturity, and a teachable, servant’s heart. - Experience in leadership. - Clear understanding of God's Sovereignty. - Ability to delegate tasks and responsibilities to others. - Communicate clearly, openly, and often with team. - Coordinate with the "sending" church: team schedule, orientation, training and post-trip meetings. - Assist in handling finances, logistics, etc. - Able to trouble-shoot problems and then solve. - Flexible and humble in all circumstances. - Sensitive to others, to their special needs, and able to meet those needs. - Wisdom in dealing with issues that may arise. - Cross-cultural understanding without offending. Embraces other cultures, encourages the team to do so as well. - Complete alignment with the mission and philosophy of Medical Missions Ministries. - Prayer Warrior! Scheduling a Trip We have about thirty teams a year that work with MMM in Guatemala. As you can imagine, scheduling is a big issue. Please direct all scheduling requests and issues to Brad Slaten. Brad can be reached at 770401-7595 or [email protected]. Please do not call or contact Hermann Alb in Guatemala regarding scheduling issues, as he will just direct you to Brad Slaten on these issues. Building &Training Your Team A full team consists of 24 people. This includes the team leaders. Due to limited housing, transportation, and translators, we are unable to accommodate teams larger than 24. If your desire is to bring more than 24 people, you must reserve both buildings with Brad Slaten for the same week. You will then be able to build a team of up to 48 people. One of the keys to having a great experience is having a well-prepared team. Medical Missions Ministries Team Leader Guide (Updated 10.13.2016) 2 Each church is responsible for training their team members in advance of the trip. If you do not have a training program for your short-term teams, we would suggest you contact Lori Allison at Perimeter Church [email protected], Pam Chafin at Seek and Serve Ministries at [email protected] or David Womack at [email protected] for assistance. In addition to normal cross-cultural ministry training, each of your team members needs to be prepared to share the gospel, as this will be the main work of the team members. Remember you will be sharing through a translator (or maybe two translators) and in a different culture than your home culture. Team Leader Data Sheet—Excel Go to the MMM website at www.mmm-guatemala.com (click on Downloads) and download the MMM Team Leader Data Sheet and complete it with name, address, phone number, email address, church, etc. for each team member. This information is required and must be emailed to Hermann Alb at [email protected] at least two weeks before your departure. If the information is not received, your reservation is considered incomplete. However, you will be able to make adjustments to the information once you arrive in Guatemala. Passports Make a copy of each person’s passport and driver’s license before you leave for Guatemala. When traveling in Guatemala, please keep the copies with you at all times, and keep the originals in the safe at the Ministry Center. If you are asked to drive a vehicle (see below), keep the originals with you. Airfare Each team is responsible for getting their own airline tickets. Depending on your church, your missions department may do that for you. Once you have your tickets purchased, please contact Dietrich Alb at [email protected] and let him know when you will arrive and on what airline so he can arrange to pick you up at the airport. Don’t worry if no one on your team knows Hermann or Dietrich, as you will be very easy to pick out of the crowd. Travel Insurance Perimeter Church requires their teams to purchase travel insurance in case of a medical emergency. We encourage you to do the same for your team. Customs at the Guatemala City Airport IMPORTANT: Talk with Ilse in Guatemala about the current status of bringing medicines into the country before you bring supplies. Once your team has picked up their luggage, go through the green “Nothing to Declare” line. Send your team members through first. If anyone on your team is stopped by Customs, and if you are bringing medical supplies with you, it is vital that you bring a letter in Spanish for the Customs officials. Once you go through Immigration and Customs in the airport just walk straight ahead out the only door with your luggage and Hermann or another team member will be there to pick you up. Taking Items to Guatemala that are for the Ministry Many times, the ministry will request for you to bring items such as batteries, vitamins, ink cartridges, etc. to Guatemala. If your team has the extra funds to do this, then great! Make sure you keep your receipt to show the customs in Guatemala if your luggage happens to be searched. Here is the general rule. Every person entering the country is allowed to bring in their personal items, plus up to $500 in items that are exempt from import taxes. Here is what you should do: 1. Make sure that those who are bringing items into the country have individual receipts that do not total more than $500. 2. Answer the questions accurately on the customs form (you will receive one while on the plane). Additional Offerings Your team will pay a daily fee to the translators who go out with you to the villages. Sometimes team members want to leave an extra offering with the translators or with the Ministry staff. Please do not do this. Support Raising Each team member is responsible for raising all of his or her support for the trip. We estimate that the cost per person will be $1,700 to $1,900. This amount will vary based on the cost of your airline ticket and where your team travels to in Guatemala. The breakdown of this amount is as follows: Airfare Ministry Charge Ground Expenses $750 - $1,000 (depending on when you go) $500 $300-$400 The ministry charge of $500 is a fixed expense that needs to be paid for each person on your team. This $500 goes towards supporting the assets of the ministry, including the salaries of our staff. It also covers maintenance and upkeep of the ministry center where you will be staying and the purchase and maintenance of the ministry vehicles. The ministry vehicles take a beating on the roads in Guatemala and with thirty plus teams coming in a given year, it is very expensive to keep them in safe and good condition for your team. Attached to this guide is a form for submitting the $500 per person ministry charge—for new churches in 2017 and for all churches beginning in 2018, please see below for changes to this policy. Medical Missions Ministries Team Leader Guide (Updated 10.13.2016) 4 This amount must be submitted 2 weeks prior to your team leaving for Guatemala. Other than the airfare, the ground expenses are a variable number. They will vary depending on how far you travel in the country (i.e. gas) and how many meals you eat out. Typical expenses included in this amount are gas, food purchased in Guatemala, translators, supplies, and a celebration dinner at the end of the trip for everyone, etc. (Remember, you are not only feeding your team, you are also feeding the staff and translators who are working with you.) If your team is tight on funds, pizza can be ordered and delivered to the ministry center for your team’s celebration dinner. With regards to any team money that is left over, under no circumstance should you leave any leftover team money in Guatemala. If your team has money left over from the trip and you want to donate it to the ministry you should bring it back with you to the U.S. and send it to Medical Missions Ministries, at: Medical Missions Ministries, 9500 Medlock Bridge Road, Duluth, GA 30097. 100% of the funds you send will be used exclusively for Medical Missions Ministries. Depending on your church, you may have other policies for that money, but please do not leave it in Guatemala for the ministry. This is very important for us to keep up with our accounting, to minimize the temptation of dependency, and for us to stay accountable to our supporters under the guidelines of the Evangelical Fellowship of Missions Agencies. Expenses to be Paid by Your Team While in Guatemala · Gas for vehicles · Meals for your team as well as the entire ministry staff in Guatemala, including the celebration dinner on the last night of your trip · Fees for translators, typically $20 per translator per day · Any ministry supplies needed during your stay in Guatemala · Offerings left for the local pastor who hosts our clinic at his church (typically 4 offerings of Q100 to Q300 each, approximately $12 to $30) Team Treasurer It is important to have a team treasurer who will keep up with all of the money and receipts and to give your church a final accounting at the end of the trip. We suggest that the team treasurer be someone different than the team leader, and that he/she bring a calculator along on the trip. Hermann will change your money into local currency as needed. A portion of your team money should be wired down directly to the bank in Guatemala. Typically 70% of your allotted spending money. MMM is no longer able to accept large amounts of American money on a weekly basis. Please contact Wendy at [email protected] for banking information to have the funds wired down in advance of your team’s arrival. Medical Missions Ministries Team Leader Guide (Updated 10.13.2016) 5 For example, a team of 10 should plan to spend $3,000 - $4,000 for the week. Please bring large denomination bills that are new, clean and in good condition. A sample accounting spreadsheet is attached to use when exchanging money or storing funds in the safe. The current exchange rate is approximately Q7.25 = $1.00 (as of 04.01.2017). Hermann will keep track of the spreadsheet and go over it with the Team Treasurer at the end of the week. When you arrive in Guatemala, Hermann will have already incurred some pre-trip expenses on your behalf. Items such as groceries, parking fees at the airport, lunch on the first day, etc. will be detailed on a spreadsheet for you (sample Accounting Spreadsheet is attached. Team Accountants are strongly encouraged to review this sample before departing to Guatemala). Pharmacy One of the stations during each clinic is the pharmacy. You do not need to worry about training your team in this area as they will be trained “on the job” when they get to Guatemala. Packing Attached to this guide you will find a packing list for you to share with your team members. Just a few things to keep in mind regarding packing -- each person with a Delta Credit Card from American Express is allowed ONE checked bag weighing 50 lbs. and one carry-on bag. This is a NEW BAGGAGE POLICY FOR DELTA. If someone on your team is a Delta Medallion Member then you can get other reservations “linked” to theirs and are then allowed to check 2 bags, weighing 70 pounds each, per person, for up to 8 people. These arrangements should be made when making your reservations and cannot be done at check in at the airport. “Normal” passengers will have to pay $25 per checked bag (50 lb. limit) to Guatemala. We encourage you to save one checked spot per team member for medicines and supplies you may be asked to bring with you. Once you get to Guatemala you will leave your big checked bags at the ministry center, but each person will need to bring a small bag or backpack to take one or two days’ worth of clothes for any overnight trips you might take out of Guatemala City. Do not bring anything that would upset you if it was lost or ruined. Except for the one tourist day, you need to dress according to the culture in which you will be ministering. This means men should not wear shorts and women need to wear ankle-length dresses or skirts (see more details on the attached Packing List). Since all of the costs of the trip (including drinks and snacks) are covered by the money you raise, the only money team members need to bring is for the tourist day if they want to buy souvenirs or gifts for their supporters. $100 will go a long way in the market in Guatemala, so there is no need to bring a lot of personal money. Health Issues Immunizations – The only immunization we recommend for each team member is the Hepatitis A vaccine. Medical Missions Ministries Team Leader Guide (Updated 10.13.2016) 6 This will protect you from Hepatitis that could be contracted from food. This vaccination is a two shot process and the first shot needs to be taken at least one month prior to departure in order for it to be effective on the trip. The second shot is then taken six months later to complete the vaccination process. Malaria – While malaria does exist in some parts of Guatemala, it is not possible to contract malaria in the mountains or in Guatemala City. Ask Dietrich or Hermann’s assistant before your trip if your team will be in a malarias region. If so, medication must be started orally one week prior to departure and continued for four weeks after you get home. If you take the malaria medication, you will not be able to donate blood via the Red Cross for nine months. You should check with your health center or doctor regarding getting the Hepatitis A immunization and the malaria medication. You may hear you should also get the Hepatitis B vaccination and the Typhoid Fever vaccination. Neither is really necessary for a one-week stay in Guatemala. Water – Don’t drink the water. Please make sure your teammates understand this, as this is probably your only risk. Hermann will bring bottled water that is safe to drink. Also, remember that ice is frozen water so be careful. Food – From a cultural perspective you will be required to eat whatever food is served to you in the villages. They will be preparing their best for you to eat. Hermann will not let you eat anything that would be questionable. As a general rule, anything you eat either needs to be cooked or peeled. Medical Missions Ministries Team Leader Guide (Updated 10.13.2016) 7 Daily Leader Duties on the Field As the team leader you will be the coordinator for the responsibilities of your team. Each day you will travel somewhere in the vehicles. See that your team splits up with different people during the week and that they have the opportunity to ride with different Guatemalans as well. This is a great time to get to learn about the culture in Guatemala. You also need to rotate people through the different stations as well. At a typical clinic you will have one or two people working with children, one or two people working in the pharmacy and the rest working in counseling stations. Recently, we have added prayer walking, which involves taking a translator and the local pastor (or an elder) on a walk through the village to pray over the area your team is ministering in. Have two or three times during the day where people switch stations and make sure everyone, including the team leader, gets to work in all three stations during the week. If you have medical doctors on your team, give them the opportunity to share their faith in one of the counseling stations during this week. Non-Fraternization Policy It is very important for your team to remain focused on ministry during their week in Guatemala. In order to alleviate any distraction from this, romantic/flirtatious interaction with the opposite sex among team members and/or the team in Guatemala, including the translators, is not allowed during the week your team is in Guatemala. This is especially important among teams with teenagers, but includes all team members, both married and single. This kind of romantic and flirtatious interaction creates a distraction from ministry, both for the one participating in it, as well as for the rest of the team who observe this kind of behavior. We recommend that each team member, including those who are married and single, sign a covenant regarding their commitment to not engaging in these types of relationships; both in preparation for and during the trip (see Sample Team Member Covenant attached). We also recommend that you, as a team leader, go over this policy with your team in advance of your trip. Medical Missions Ministries Team Leader Guide (Updated 10.13.2016) 8 Roles and Responsibilities for Medical Clinics Each team member, including the team leader, will need to be in a rotation of working at all five stations during the medical clinics. The five stations are as follows: Pharmacy – working with the ministry staff to fill and hand out prescriptions to all people who have seen the doctor and have been to the counseling station. Counseling Station – sharing the gospel with patients, with the help of translator(s), after they have been treated by the doctor, praying for patients. Children’s Ministry – Doing various activities with the children such as games, coloring, etc., while their parents wait in line to see the doctor. Prayer Walking – Being available to pray over the village you will be ministering in. Eye Clinic - Assist Ilse in checking vision of patients. Translators One of the biggest surprises during the week will be the relationships that are formed with the translators. At the end of the trip you will need to pay each translator. Hermann has an Excel spreadsheet on his computer to calculate this amount (see sample attached). Please check with Hermann ahead of time to see if there are any specific needs or requests. -Adult multi-vitamins, Children’s chewable vitamins, Pre-natal vitamins, Ibuprofen, Acetaminophen, Large tubes of Antibiotic Crème or Hydrocortisone Crème. Please do not bring crayons, candies, or toys unless specifically requested by the MMM staff. Storage is overloaded on these items. We will let you know when we are running low. Cultural Guidelines You need to talk about these cultural guidelines with your team before you leave for Guatemala, and your team members need to be willing to submit to them. We recommend that all team members sign a covenant committing to these guidelines (see example attached). Remember, we are not talking about Biblical absolutes, but guidelines you need to follow to minister effectively in the Guatemalan culture. · · · · · · No Drinking Alcoholic Beverages No Smoking No Dancing (unless it is part of a worship service) Please do not play or sing secular music (even in English). We suggest that you ban handheld electronics and iPods from your trip, as they do not lend themselves to social interaction with other team members. Please watch your vocabulary and facial expressions (especially since facial expressions need no translation). If men have earrings, please remove them before the trip. Personal Guidelines Please go over these personal guidelines with your team before they leave for Guatemala. · · · · · · · Ask each team member to visit the website at www.mmm-guatemala.com. Each team member needs to come with a servant’s heart and be an active participant in the ministry. When something needs to be done (such as loading and unloading vehicles) everyone needs to be involved with all their heart. Each participant needs to be willing to submit to the team leader and if they have any problems, they need to be addressed with the leader. Please pray and fast about your trip to Guatemala. Pray that God would do a wonderful work in your heart during the trip and that you will return a changed person. Keep a journal of your trip. Start your journal during the training and preparation process and make sure you journal every day during the trip. NO ONE MAY LEAVE THE COMPOUND ALONE- walks, jogs, etc. must be done in groups and with a Guatemalan.. Medical Missions Ministries Team Leader Guide (Updated 10.13.2016) 10 Guidelines for Sleep and Rest This is particularly important for teams bringing teenagers, or children. Please insure that you have a reasonable “lights out” policy in place so that everyone gets the rest they need to function at their full capacity for ministry. We recommend “lights out” by 11:00 pm. Medical Missions now offers 2 buildings for teams to stay. Team members MUST STAY IN THEIR ASSIGNED BUILDINGS BETWEEN THE HOURS OF 10:00PM AND 5:30AM. Team leaders should make room assignments, based on their assigned building, prior to their arrival and email them to Cristina at [email protected] Rooming assignments will be posted on the bedroom doors when you arrive. Sleeping options are as follows: The Ministry Center has 5 bedrooms, each with an attached bathroom. Each room will sleep 4-6 persons on bunk beds. The Conference Center has 4 bedrooms, each with an attached bathroom. Each room will sleep 6 persons on bunk beds. There is also a “master bedroom” that sleeps 2 with a private bath. It is wise to have a mix of adults & children in rooms together. Each bathroom is equipped with 1 hairdryer. Extra Excursions We are adding another OPTIONAL venue on Market Day. For those who want to, Hermann can arrange for you to visit Mana De Vida. Mana De Vida is an inner-city school in Escuintla for at-risk children. It was started and maintained by Vida Real Church and individual supporters. Following the school visit your team will have lunch and go shopping in Antigua as usual. Zip line tours and volcano tours are also available for an extra charge. Medical Missions Ministries Team Leader Guide (Updated 10.13.2016) 11 Sample Team Member Covenant (Can be adjusted as needed for your individual team) I, , fully commit to the following responsibilities and guidelines in preparation for and during the Guatemala mission trip: 1) I will attend all training/preparation meetings. 2) I will pray regularly for the Guatemala mission trip of which I will be a part. 3) I will see my responsibility on the trip as a servant/leader where I will carry myself in a godly manner, setting an example by my actions, attitudes and words showing respect for the leadership and all other team members. 4) I understand and fully submit to the Non-Fraternization Policy which states that I will not allow myself to be involved in any romantic or flirtatious interaction with team members of the opposite sex or with the ministry staff and/or translators while in Guatemala. 5) I understand and fully submit to the Cultural Guidelines for the trip. 6) I understand and fully submit to the Personal Guidelines for the trip. 7) I understand, because of the huge nature of this responsibility, that there may be times when I need to sacrifice my own pleasure to accomplish the ministry work that needs to be done. 8) I understand that I am responsible to pay the full amount of support needed for the trip either by financial support raised or on my own. 9) I will adhere to the reasonable and conservative dress code for this trip, which will show my respect for the Guatemalan culture. 10) I will submit to the direction of the team leader both during training and on the field. Team Journalist Please assign one or two team members as the team journalist. Have this person keep a record of your trip and write an article about it. At the end of the trip have the person email this article and any other information about the trip to Brad Slaten at [email protected] for posting on the website. A daily BLOG can also be written on the computer at the ministry center. Team Photographer Please assign one team member as the team photographer. They can take digital photos and digital videos of the trip. E-mail your best photos to Brad Slaten for posting on the Medical Missions Ministries website. Ongoing Financial Support of the Ministry On your last day in Guatemala, please let your team members know that our ministry relies on individual gifts to support the ministry. 40% of our total budget is over and above the $500 ministry center fee that is raised from each team member. If God has blessed you, please prayerfully consider becoming a regular contributor to our ministry. Furthermore, if your church is not a regular monthly contributor to our ministry and your team has been blessed by your time in Guatemala, we are relying on you to talk to your church’s Missions Committee about becoming a regular contributor.
