Temporary measure for this season, must generate more players for next. – I sit on the WRFC management committee and provide the link to the senior club. Dealing with finance, membership, the ground, sponsorship etc – Player membership – we must try and increase this year – bring a friend. – Changes I want your support in introducing are; Coaches coordinator, Team Administrators and coordinated support to running the club house, by age groups – this will require you to engage with your parents and get them to volunteer. – Let’s use the enthusiasm surrounding the Rugby World Cup and enjoy the game. Coaches 15/16 season Confirmed list of coaches by age group was read out by vice Chair. Action / Update Stuart Legg confirmed that he would move to coach U11s. Chair asked for a volunteer to act as J&M Coaches Coordinator. Chair agreed to investigate coaching courses After note: The start point for all coaches is the IRB Rugby Ready course, the progression for coaching development is to Level 1 and then Level 2. New coaches need to complete this. A Rugby Ready course is being run Sat 12 Sep (0900-1200) at Westbury – there are 2 places. Cost £15 – which can be claimed back via the Club. This is the last local course before Feb 16. The next local course is at Melksham 28 Sep 7-10 pm – 4 places. Cost – as above. You need to register on the RFU website – follow link and book yourself on. These places will go quickly For those that have done Rugby Ready, the next local UKCC Level 1 – entry point for U7-U12 Mini coaches is at Trowbridge 7-8 May and 15 May 16 – a 3 day course (9-5pm). Cost £105 – claim back off Club. After note: Stuart Legg – Scrum Factory – 7 Sep, Nick Ilic and John Russell booked onto Rugby Ready – 12 Sep. 2 All – no volunteer yet ! See after note Niki Wagstaff confirmed the issue of coaches folders for 13 Sep. 3 Reg 15 – Age Grade Rugby changes Chair encouraged all to look at the RFU website for age based rules – there are changes. he will publish on Y&M notice board Chris Wildman – recommended that a check was done with Dorset & Wilts to confirm if we were to follow RFU changes. 4 5 Reg 15 – Appendix 6 – Age-Grade Rugby discipline Procedures – Guide will go on WRFC documents page for reference. U12 and below – Dealt with by age grade players coach; politely, firmly as the incident happens. Reiterate the core values. U13-U15 (U18) – dealt with by club disciplinary officer (Chair). Parents – polite word immediately follow up through me if required. Reg 21 - Safeguarding – Kerri Perkins is the Club Safeguarding Officer – currently on holiday – she will be at Folly Lane on 13 Sep 15 to check DBS and brief coaches and committee on safeguarding. All coaches Chair All CSO WRFC Core Values; Teamwork, Discipline, Sportsmanship, Respect and Enjoyment. All - we are an accredited Core Values Club (see plaque). Safeguarding – is everyone’s responsibility – welfare of the child is paramount. We all need to understand the clubs safeguarding policy, incident referral etc. (to be explained by Kerri Perkins - 13 Sep) All coaches (& club officials) as role models are required to attend a RFU Play it Safe course (will be organised centrally). Disclosure and Barring Service (DBS) ; should always be 1 DBS checked adult in charge of any group of children. RFU guidance 1:10 U8-U9, 1:8 U8, 1:6 U7. All CSO All Coaches to check for 13 Sep DBS valid for 3 yrs, have a 4 week window to apply for DBS 6 Train Safe – RFU requirement to conduct a centralised train safe first aid course – will aim to do this at a convenient date. 7 Coaches Training kit issue Chair Chair introduced Ken Williams, Club Kit Manager. He detailed what was in the coaching kit bags. A list of kit required for training would be made and costed . Lyons sponsorship bid to fund new coaching kit. Discussion over storage (container), general agreement that more tackle pads were required. Ken Williams to provide list/quote for Lyons kit sponsorship First aid kits – 1 per age group. [ Afternote; Coaches to check contents] All coaches After note: Alan Russell will identify potential kit sponsor in addition to Lyons. Alan Russell 3 8 RACS strip Nick Ilic demonstrated new RACS sponsored strip. Each age group has shirts numbered 1-20 (1-17 for players, 18-20 for coaches) Chair stated that RACS strip had a 2 year life Discussion on how best to administer strip; split opinion on issue on match days (safeguarding concern over lack of changing facilities for Minis), to issue with deposit. Chair took action to confirm policy. Update; Strip to be issue for season, for match days only, £30 deposit (cheque), coaches record who has what. Continue to train in normal club gear – available from Scholars After note: Chair, Dave Coleman, Nick Ilic volunteered to sort the RACS strip by age group – Wed 9 Sep. Thank you After note; Niki Wagstaff has created a RACS strip signing out form for coaches. 9 Communications Chair this is key to making Y&M work. He thanked Dave Thompson for volunteering to be the Y&M Webmaster, and for updating the WRFC website and coaches, fixtures areas. Dave Thompson Niki Wagstaff informed everyone of the new WRFC J&M Admin Facebook site. To comply with safeguarding policy, no photos of children to be uploaded. Sarah Coleman will be the site administrator. Sarah Coleman Chair highlighted to opportunity that the World Cup offered to recruit new players and coaches. Plan to engage with schools to be developed. Chair After note: Sun 27 Sep 15 will be a J&M PR day. RACS sponsors, will be present, along with local radio and press. Aim is to have a whole J&M player, coaches and admin staff photo in RACS strip. This will then be used in local media etc. 10 Team Coordinators Chair; U 15 have a team coordinator – I want coaches to arrange for this by age group over the next few weeks. A keen parent off the touchline is what is required. 11 Chair All coaches; Team coordinators/managers to be in post by end Sep 15. Clubhouse Admin Chair; this is a critical issue on both training and match days – away matches give us all a day off. Far more enjoyable if this key task is divided up equally across the age groups. A rota will be published alongside the fixture list; - 6 Sep 15 – Alan Russell and committee volunteers will do this 13 Sep 15 – U15 20 Sep 15 - U14 27 Sep 15- U12 Chair, this will need your support and will rely on Team 4 U15 U14 U12 Vice Chair Coordinators – Alan Russell will over see and support. 12 Fixtures Niki Wagstaff detailed the 2015 Fixture lists; U13 WestMinster Warrior fixtures would be confirmed over next 2 weeks. Niki Wagstaff Fixture lists will be in Coaching folders for 13 sep 15 Chair, stated that the Festival would be on 17 Apr 16. 13 AOB Coaching tops – what is the possibility of new or additional coaching tops for this season. Dave Coleman flagged up that coaches can attend VP days. Chair undertook to email coaches with VP dates. First VP day sat 12 Sep. Chair to scope. Chair After note: dates sent out by email 8 Sep 15. Could we get Rokoduguni up to the ground. Chair Chris Wildman raised the issue of the size and quantity of U13U15 match teas. There was an added cost. Alan Russell Warminster carnival – 24 Oct – Alan Russell to head a carnival committee, full support requested from coaches, parents and players.
