Welcome to the World of Secure Mobile Collaboration! Congratulations on choosing the BlacBerry Tasks™ app for your mobile device. BlackBerry Tasks now provides you with a secure, synchronized connection to your company Tasks account so you can create and manage your tasks while away from your desk and on the go. From the BlackBerry Launcher, your can also launch all your other permitted BlackBerry Dynamics apps that are installed and activated on your device. In concert with these other BlackBerry mobile applications and services for Android, BlackBerry Tasks leverages push notifications to remind you of task deadlines. Easy to use and navigate intuitively, stepwise instructions for all the app's features are included in this guide. No special training is necessary. If you've gota supported smartphone or tablet, you're ready to get started. It all begins with downloading the app and activating it on your device(s). Getting Started: App Installation and Setup You can install your app using an access key or the BlackBerry UEM Client. Using an Access Key As soon as your IT administrator adds you to the system, you'll receive an email message telling you to download the BlackBerry app from Google Play if you haven't done so already. Included in this email will be your registered corporate email account and the 15-digit access key you'll need to activate the app after it's installed. You can also generate an access key from your organization's self-service portal. If you do not know how to access your self-service portal, contact your administrator. Note: If allowed by your organization, you can activate BlackBerry Notes using Easy Activation. An Easy Activation key, when permitted, is supplied by another BlackBerry Dynamics app like BlackBerry Work if it is installed on your device. If available, you can activate BlackBerry Notes using the login password for the activation app. Contact your administrator to see if this is an available option. With your activation email or self-service information handy, here's what to do: 1. Make sure your Android device is fully charged and that it has a strong wireless connection. 2. On your Android device, click the link to the Google Play included in your invitation email or go directly to Google Play and enter a search for "BlackBerry Tasks," then download the BlackBerry Tasks app by tapping INSTALL. When you do, you'll be asked to accept the BlackBerry Tasks' device access requirements. 3. Tap Accept, and BlackBerry Tasks is automatically downloaded and installed on your device. 4. Once installation completes, tap OPEN, then enter your Email Address and your Access Key from your email invitation, and tap Go. 5. When secure communications have been established, set your application Password and confirm it, then click Go. 6. Enter your corporate email account Password and tap Next. 7. Finally, as indicated, tap the BlackBerry launcher to begin using the app. 4 Using the BlackBerry Launcher Using the BlackBerry UEM Client If you have installed the BlackBerry UEM Client on your device and your administrator has allowed the BlackBerry UEM Client to manage the activation of BlackBerry Dynamics apps, you do not have to use access keys to activate your app or any other BlackBerry Dynamics app that you want to install.1. 1. If the app was not automatically pushed to your device by your administrator, open your Work Apps app and install your app. If you do not see your app in your work apps catalog, contact your administrator to make the app available to you. 2. On your device, tap BlackBerry Tasks. 3. Click Allow to allow BlackBerry Tasks to send notifications. 4. Tap Set up using BlackBerry UEM Client. 5. Enter your password for the BlackBerry UEM Client. 6. Wait while the activation completes and then click I agree to accept the end user license agreement. Using the BlackBerry Launcher The Launcher allows you to quickly switch between the BlackBerry application currently open and any other BlackBerry Dynamics apps on your device, including Mail, Calendar, Contacts, Docs, Tasks, Notes, and Access. The Launcher also gives you access to Quick Create tools for email, contacts, and calendar events, along with access to your configurable BlackBerry application settings. Using the BlackBerry Launcher is easy: 1. To open the Launcher , tap it. 2. To move the Launcher, touch it, then slide it to place it anywhere on the screen. 3. To open any of the apps listed, tap one. 4. To open the Quick Create menu—Email, Event, Contact, Task, Note (when Notepad is available)— tap 5. To open your application Settings, tap . . 6. To close the Launcher, tap it. Tapping one of your primary BlackBerry Work app components switches you to one of the following: l Email l Calendar l Contacts l Docs Optional apps designed to seamlessly integrate with BlackBerry Work for extra horsepower right out of the gate include: l BlackBerry Tasks l BlackBerry Notes l BlackBerry Connect for Chat/IM (requires installation—free download from Google Play) 5 Displaying and Managing Your Tasks l l BlackBerry Access Secure Browser (requires installation—free download from Google Play) Any GD-powered app installed on your device that subscribes to BlackBerry Enterprise Services (contact your BlackBerry Work administrator for details). In addition, a growing ecosystem of secure BlackBerry Dynamics apps designed to maximize your mobile productivity is available from BlackBerry and its certified partners in the BlackBerry Dynamics Marketplace. Contact your IT Department or enterprise mobility office to see if these apps are available to you. For now, from BlackBerry Tasks just tap any app on the Launcher to open it. You can switch back and forth between BlackBerry Work Email, Calendar, Contacts. Docs, BlackBerry Tasks, and BlackBerry Notes—even Connect (Chats), BlackBerry Access, and any of your other BlackBerry Dynamics apps (when installed)—by tapping the Launcher then tapping the respective app badge or icon. The Launcher button is always there when BlackBerry Tasks is in the foreground, but you can move it if it's in the way. Just touch and drag it. When the Launcher is open, the button is always returned to the lower left. Displaying and Managing Your Tasks When you open BlackBerry Tasks, a list of your active tasks is displayed. This list is re-synced with your Outlook account upon launch. It also re-syncs while you are using the app; the default is every 15 minutes. To change the re-sync interval, tap and and Sync Timeout in Sync Settings; re-sync intervals include 5, 15, 30, 60, and 120 minutes. You can also swipe down on the list to force a sync at any time. Syncing continues when you minimize the program but ceases when you close it. Go to Sync Settings to enable persistent syncing in the background, whether the program is running or not. To choose which of your tasks folders are to be synced, tap want synced. and Manage Synced Folders. Tap the folders that you Use the tabs above the list to change the view from Active tasks to tasks that are Overdue, Due Today, Due This Week, Completed, or Due Now. To toggle tabs between hidden and displayed, tap and Manage Tabs, then tap a tab to toggle it. Press and hold the icon next to a tab to drag the tab up or down in the list; this shifts the displayed tab in the tab bar (drag up to shift the tab to the left, drag down to shift the tab to the right). Tap tabs to their original order. You can filter the tasks by priority or by categories that you define, by tapping the and Restore Tabs to return the icon on the Tasks list screen. You can order the entries in the displayed list by using the BlackBerry Tasks drop-down menu date, start date, modification date, due date, priority, or title) and the ascending/descending You can search for a task in a task list using toolbar in the note. Access your settings from the Launcher page. This app supports Bluetooth keyboard navigation. Widget support displays your active tasks. Integration with BlackBerry Work's Calendar If you are in your BlackBerry Work Calendar, a task count is displayed for tasks-to-do (tasks due) and completed tasks for the current day in Day view (requires BB Work 2.6 or higher). Tap on a blue (tasks to do) or gray (completed) box to open BlackBerry Tasks and display the due or completed tasks for the given day. Tasks with no due date are not displayed in Calendar. Searching for a Task To search for a task, tap the icon and Search. Choose to search Title, Body, or All. Type a string contained in the title, or body, or both, of the task you are searching for. Tasks containing that string are displayed, subject to the filters currently in place. Tap X to clear the search field. Tap the Back button to exit the search window. To refine a search and create a custom filter, tap the More tab in the search window. A list of Saved Searches is displayed. To create an advanced search, tap . A Create Saved Search screen is displayed. Fill out the screen with a name for the search and the desired search criteria. Click to save the search. To edit a saved search, tap search in the Saved Search list to perform the search it specifies. Use the Manage Tabs item in the . Tap a menu to include saved searches in the Tab bar. You can also search for strings in a task's notes section by using the search icon in the rich-text toolbar. Creating or Editing a Task 1. Tap the Compose icon to create a new task or tap an existing task to edit it. 2. Enter an optional name for the task. Tap to clear the field. Tap to mark the task completed. 3. Set due date and reminder for the task: Tap next to Due date and reminder to set optional due date, reminder,and recurrence. Tap No due date next to the current setting. calendar icon to set a due date. Default is No Due Date. Tap 7 to clear the Managing Categories Tap No reminder next to the notification icon to choose a day and time of day for a reminder to be displayed on your device home screen. Default is No Reminder. When the reminder occurs, you are provided a ten-minute snooze option. Your administrator can block reminder notifications or specify whether a generic message or the task title will be displayed for the reminder. Customize your task notification sound by going to Settings in the Launcher (tap Sounds & Notifications. in the Launcher) and selecting Tap Does not repeat next to the recurrence icon to specify when the task repeats, by week and day, and for how long: forever, until a date, or for a number of occurrences. Default is Does Not Repeat. 4. Click the next to Priority and categories to set an optional priority and specify categories for the task. Priority - Tap the current setting and tap to choose a priority - High , Normal , Low . Default is Normal. To return from the Priority screen, tap a new setting or, for no change, tap the current setting. Category - Tap and type next to to create new categories. A color will be assigned to each by the app. Remove the task from a category by typing the on the category. 5. Add an optional note. The rich text toolbar above the keyboard allows you to set font size, style, color, and highlight, as well as other text formatting options. Managing Categories BlackBerry Tasks supports synchronization with your Outlook categories. New categories that you add in BlackBerry Tasks are automatically assigned a color and added to your Outlook Master Category list. Note: BlackBerry Notes and Tasks support categories, as do the components of Outlook. BlackBerry Work does not support categories. Changing the name of a category in BlackBerry Tasks will move all current notes in that category to the new category; items from other apps will remain in the old category. When you delete a category on your device or in Outlook, it is retained with the notes in it but removed from the Outlook master list. On your device, its color is changed and it is treated as a local category. To manage your categories from BlackBerry Tasks : 1. In the main Tasks window,tap the overflow icon and Manage Categories. Your Outlook Master Categories list is displayed, as well as any local categories on your device that are not on the master list. 2. Tap at any time to update the master category list. 3. Tap to add a category or tap a category to edit it. On the New or Edit Category page that opens: Type in a name for the category or edit its existing name using the keyboard that is displayed. Tap field. Change the color of the category by tapping on the desired new color. Tap Tap the to save or to exit. trash icon to delete the category if you are editing an existing category. 8 to clear the Changing Your App Settings Tap to leave the page without saving your changes. Tap to save your changes. Changing Your App Settings You can access your App settings from the Launchpad. Just tap at the bottom center of the Launchpad. You can access your Outlook Account Settings if instructed by your administrator to make a change to them. Your Tasks list is re-synced with your Outlook account upon launch. It also re-syncs while you are using the app; the default is every 15 minutes. To change the re-sync interval, tap Sync Timeout in Sync Settings; re-sync intervals include 5, 15, 30, 60, and 120 minutes. Syncing ceases when you close the app, but not when you minimize it. Tap Sync Settingsand the slider for Enable Persistent Sync Serviceto enable this service to continue syncing Tasks with the Microsoft Exchange server even when the app is dismissed from the running app grid, to keep tasks up-to-date and to prevent reminders from being missed. A sync status message will be added to the system tray to show current sync status. Tap Sounds & Notifications to turn notifications, reminder sound, pulse notification light, and vibrate on/off. Tap Swipe Actions to set left and right swipes on tasks to No action, Delete, Set due date, Set priority, Set start date, or Toggle complete state. Tap Change application password to change your Good Tasks password. Tap Upload logs to send device troubleshooting logs in the background to the BlackBerry support group. Tap Send Feedback to provide your app password and open an email compose screen in BlackBerry Tasks, addressed to the BlackBerry support group for the BlackBerry Tasks app. Enter your feedback as desired. You can elect to have app logs attached to the email for debug purposes. Generate a Diagnostics Report If enabled by your administrator, you can generate a diagnostics report for BlackBerry Tasks on your device and have it sent to BlackBerry support. 1. Tap at the bottom center of the Launchpad to display the Settings screen. 2. Under Support, tap Run Diagnostics. 3. Tap Run Diagnostics. 4. Tap Start Diagnostic. Do not exit the app while the diagnostics are running. Diagnostics will perform a series of tests on your device. The information gathered will provide insight to internal system operations and can be used to troubleshoot issues you may encounter. Collected information will be presented for you to review/forward to your support team by tapping Share logs. Using the Quick Create Tool When you're in a hurry, BlackBerry Tasks is there for you with a Quick Create tool in the Launcher. Just tap at the bottom-left of the BlackBerry Tasks Launcher, then select a shortcut to compose a new email, schedule a new event, 9 Using the Quick Create Tool add a new contact, or add a new task or note. 10
