READING, REPLYING,

Favorites – Folders that you use the most. You can add folders to Favorites.
Inbox and folders – Folders copied from your Webmail and Groupwise accounts.
Navigation box – Go to Mail, Calendar, Contacts or Tasks.
Mail List – Can be sorted, filtered, and searched. You can turn Conversation View on and off
Reading Pane – Can be located on the right, bottom, or turned off
.

Reading Email

Click on the email you want to read, or double click to open in a new tab/window.
The message appears in the reading pane. The reading pane can be moved (under View menu)
After reading the message you can Reply, Reply All, Forward, or
Delete – note that delete is over the message list, not inside the message itself as the others are.

View
View offers two settings:
1. Group by Conversations
2. Reading Pane
It is recommended you turn the Conversion View off by
clicking on the check mark next to Use
Conversations. Conversations will ‘thread’ your
email, listing replies to an email below it.
The Reading Pane, or preview pane may be moved to
the Bottom or turned Off.
If you receive email with sensitive information you may
want to turn the reading pane off as incoming mail
is automatically displayed in the reading pane.

Filter Message List
Filter:
You can filter your email list to show only the items you wish to see.
Category
You can place any email, task or meeting into a category and then
filter for different categories.
Flagged
You can flag any email to make it High Importance.
Any item that is flagged will be added to your Tasks list.
High Importance
You can filter your message list to only show items that have been
marked as highly important.
Attachments
You can filter your message list to only show items that have
attachments.
Clear your filter by clicking on the funnel with the
red X Icon.
Save filters to your Favorites by clicking on the
new folder
icon and naming the filter.
Now the filter can just be clicked on. To clear
click on Outlook at the top of the page.
Attachments
1. You will know an email has an attachment by the little paper clip
in the upper right hand
corner of the email in your message list
2. Open the email and the attachment appears in the body of the email.
3. You can click on the name of the attachment and it will open in the appropriate Office utility, or you
can click on the [Open in Browser] and it will open in a new browser window.
4. You can also right click on the attachment and a File Download window will pop up offering the
choice of Open, Save or Cancel.

Reply, Reply All and Forward an email
To reply, reply all or forward an email:
1. Select the message in the message list or open the message.
2. To reply to the sender: On the toolbar, click Reply or in the reading pane
click on the single purple arrow
3. To reply to the sender and all other recipients: On the toolbar, click Reply
All or in the reading pane click on the double purple arrow
4. To Forward an email: On the toolbar, click Forward or in the reading pane
click on the blue arrow
In all reply cases, a new message will appear addressed to the sender or the
sender and all other recipients of the original message.
When forwarding you must type in the email address of the recipient.
When you're ready to send your reply, click Send on the toolbar or press
ALT+S.

Saving/Filing Email
1. In the message list, drag the message to the folder you want to file it in
2. Create new folders as needed, and put them in the Favorites list if you use them all the time

Delete Email
To delete an email you can:
The message appears in the reading pane. The reading pane can be moved (under View menu)
1. Right click on the email in the message list and select
Delete
2. Or you can highlight the email by clicking on it and then clicking on
in the message list
toolbar.
3. Or you can drag and drop the email into the Deleted Items folder.

Recover deleted e-mail
You can recover any e-mail you have deleted by opening the Delete Items Folder
1. Click on the item to be recovered and drag and drop in the destination folder.
2. Or right click on the email and choose Move to Folder or Copy to Folder and select the folder in
which you want it stored.

Empty Deleted Items
Since you have a finite amount of space in your account and it will cease to function if you exceed
your quota, you may wish to empty your deleted folder occasionally.
1. Right click on the Deleted Folder and choose Empty Deleted Items
2. To undo this action choose Recover Deleted Items

Recover or Purge Deleted Items
When you right click on the Deleted Folder and choose Recover Deleted Items after Empty Deleted Items
a Recover Deleted Items window will pop up with the list of items that have been emptied from your
Deleted folder.

Recover Deleted Items:
1. Click on the Items you want to
either recover. (Hold shift key to
select multiple items)
Click on the
envelope with
the backwards arrow to recover
items. You will be prompted to
choose a folder or create a new
folder.
Purge Deleted Items.
2. To permanently purge deleted
items click on the
symbol.
This will permanently remove
these items from your account
and will no longer be
recoverable.

Folder Options
Right Click on
or any folder to see the options.
1. Open – the folder is opened when you click on it.
2. Add/Remove from Favorites.
3. Create New Folder.
4. Empty Folder.
Practice:
• Right click on Inbox.
• Click on Create New Folder and name it.
• Right click on your new folder and Add to Favorites
The folder has moved up to your Favorites area.
• Right click on the new folder and Remove from Favorites
The folder has moved back down to your Inbox.
• Right click on the folder and Delete
The folder and all its contents are moved to the
Deleted Items folder.

Category
You can place any message, task or meeting into a category;
1. Click on the small rectangle
on the right of the email.
2. Check the Category you want to apply to the email message.

Manage Categories
You can create new categories and delete unwanted categories by opening the categories menu (rightclick the category bar in the list view, or click the category icon on an email) and selecting Manage
Categories.
You can Create New Category…
1. Give your new category a name.
2. Select a color for you new category.
You can Change Category Color…
1. Click on an existing Category and click Change Category Color…
2. Select a color for you new category and click OK

Flagging Items
You can Flag messages, tasks or meetings.
1. Click on an email, task or meeting.
2. Click on the little flag on the upper right corner.
3. The item is now flagged
and can be filtered for.
Note: Flagged items will show up in your Task list.

Practice:
• Send yourself some email, and reply to it.
• Send your neighbor some email.
• Categorize one of the emails.
• Flag one of the emails, then open Tasks and confirm that it is
listed there

To Blind Copy double click on the CC (or go to Options, Settings, Mail and check the Always show

The easiest way to create a rule for email is to right click on the email.
Practice:

choose Create Rule…
The sender’s address and

automatically filled in.

Type in the message you want to atomically send when you receive an email.

Settings: E-Mail Signature
Create an E-Mail signature:
1. Type in the signature you want to attach to any email you send. You can choose
fonts and size.
2. Click Save (Do not save signatures in the training accounts)
