Navigating and Booking a Trip Enterprise Page 3 Confidential nuTravel Technology Solutions, LLC Introduction ENTERPRISE, is a web-based, self service corporate travel booking application enabling travelers and travel arrangers to create policy-compliant air, car, and hotel reservations. Navigating and Booking a Trip Enterprise Page 4 Confidential nuTravel Technology Solutions, LLC Login to ENTERPRISE 1. Access ENTERPRISE with the URL, enterprise.nutravel.com/login.aspx 2. Note: Your company may be provided a different URL than the one shown above if using a custom login page. 3. Enter the name of the company you are logging into in the “Company” text box. 4. Enter your user ID in the “Member ID” text box. 5. Enter your system password in the “Password” text box. 6. If the user would like the system to automatically insert the company name and member ID each time the ENTERPRISE site is opened using the same computer, click the “Remember Login” checkbox to insert a check. 7. Click the “Login” button. This will open a Welcome screen or take the user to Air Home, depending on how the company is set up. Note: If this is the first time the user has logged into the company, the user will be asked to supply a new password from the Password Change screen. The resources will provide up a Quick Reference Guide and Frequently Asked Questions regarding the online booking solution. Navigate After Login The Welcome Page is used to communicate company information and is optional through the custom text. Select the continue button at the top or bottom of the screen to continue. Navigating and Booking a Trip Enterprise Page 6 Confidential nuTravel Technology Solutions, LLC Note: The Welcome page capabilities are based on Custom Text Configuration (CTID 7) ENTERPRISE architecture is based on three navigational sections: Main Tool Bar – Access the Travel Menu, Profile Menu, Help Menu, Administration Menu, Purpose of Trip, Traveler Display and Log Out. Right Pane – When accessed as part of the home page this area will display My Messages, My Trips, and Bulletin Board. When accessed for trip planning there are options for Travel Preferences, Interactive Map, Company Communications, and Trip List. When searching for travel this area will populate with results for air, car, hotel, and rail availability. Left Pane – Used to input search criteria. When booking travel this area also turns into a shopping cart for travel options. NOTE: Select the help icon Navigating and Booking a Trip Enterprise on any screen to access the Help pages for that particular area. Page 7 Confidential nuTravel Technology Solutions, LLC Main Tool Bar The main menu toolbar is located at the top of the application screen and is used to navigate throughout the main areas of the application. This toolbar gives options to access Travel, Profile, Help, Administration, Purpose of Trip, Traveler, and Log Out. There are sub-menus found for Travel, Profile, Administration, and Help which utilize drop down menus. When selecting the down arrow, a sub-menu will display in a dropdown list to initiate an action relevant to its title. Travel The Travel menu enables the user to book and manage trips. Sub-menus for the Travel include: User Home – this will return the user to their home page. Start a New Trip – The starting point to book a new trip. Access a Trip – Access current or past trips. Access a Template - Access frequent trips previously saved as templates. Import a Trip - Import a trip into ENTERPRISE that was booked directly with a travel agent. Approve a Trip – Allows an authorized user to access a list of trips awaiting approval. Profile The Profile menu and its sub-topics provide access to the traveler’s profile information. Personal Information – Personal data such as name, address, and phone number. Travel Preferences – Preferred carriers, car, and hotel vendors. Membership Numbers – Membership & Loyalty numbers for air, car, and/or hotel. Display Options – Date and time format preference. Billing Information – Credit card information. Change Password – Ability to change the password. Travel Planners – Allows the selection of one or more travel planners. Trip Authorizers – Allows user to see who their travel authorizer is. Some users may also have access to select who their trip authorizer is. Navigating and Booking a Trip Enterprise Page 8 Confidential nuTravel Technology Solutions, LLC Administration The Administration menu and its sub-topics provide access to the administration options. Only those that are signed in as an administrator will be able to see these options. Policy Tree – Options for Policy Tree setup and maintenance. Policy Setup – Options for Policy Setups. Contracts – Options for Air, Car, and Hotel contract setup. Company Settings – Options for Company Settings. Profile Administration – Options for Profile Administration. Lookup Lists – Options for Custom Lookup Lists and default lists. Custom Look – Options for Custom Text and Files. Trip Authorization – Options for Trip Authorization Policy and Email Templates. Help The Help link menu provides useful information such as: Feedback – Allows user to perform e-mail transmissions to the administrator. The email address that it is sent to is set up in the administrator’s profile. ENTERPRISE Online Help – Provides extensive help information on all aspects of ENTERPRISE. The help topics change under ENTERPRISE Online help based on if using Administrator options or Travel/Profile options. Enable Context Help – Place holder for a future release. Debug – Allows the administrator to access the debug file. This option is only available to Administrators. View Custom Text IDs – Allows the administrator to view custom text ID’s to use when creating custom text. This option is only available to Administrators. Contact Travel Agent – Allows user to generate e-mail transmissions to their travel agent. Online Tutorials – gives users access to online videos on how to book air, car, and hotel. Purpose of Trip The Purpose of Trip section is based on what the end user selects as their trip type if using alternate travel policy. If not using alternate travel policy the Purpose of Trip will be designated as the branch that the user is associated to. If the user has travel planner capabilities this will allow the travel planner to select other users. It will show who they selected when booking travel or updating profile information. Logout The logout area is used to logout of the online solution when the user is done. Right Pane The Right Pane can be used for many functions. It can be part of the home page, trip planning tabs, or for searching travel options. It provides information on expiring or expired credit cards, passports and system passwords. When applicable, this section will also provide notification on expiring unused tickets as well as trips pending your trip approval. Links and buttons to edit these fields or access ENTERPRISE Online Help are available. Edit Link Online Help Link It may also include messages about Client Policy content NOTE: The user may still access this information by clicking on Alerts on the menu bar throughout ENTERPRISE. NOTE: If no messages are applicable for the logged in session, the following message will display for the user: “You have no new messages”. The trips are displayed chronologically beginning with the earliest trip departure date. The user has the ability to view each trip by clicking on the view icon next to that trip or View all trips by clicking on the View all link. The status of each trip (Reserved, Purchased, etc.) is also provided. View Icon Trips may be shared to your Facebook profile or customized. NOTE: If the user does not have any pending trips, the message “You have no pending trips” will be displayed. Bulletin Board This section contains customized messages. The messages are controlled by your administrator. The data in each chart is pulled from the system and is based on usage and adoption. Only those features that apply to the company will show in chart form. Example; if using the TripSync feature, the Online vs. Offline Booking Adoption Report will show. The charts displayed when first logging in are for the policy of the logged in user. If alternate policy is selected, charts are updated to reflect the selected policy. Rail Shopping Activity Report If another user is selected, charts are updated to reflect the selected user and selected policy. It displays the adoption percentage by dividing the number of unique imported PNRs by the number of PNRs booked online through ENTERPRISE. Displays if the policy of the selected user does not have PNRSync enabled. It displays the number of online bookings made within ENTERPRISE. Displays if the policy of the selected user has the Booking Builder/SWABIZ feature enabled. It displays the number of PNRS booked through Booking Builder. Displays if the policy of the selected user has Profile Model configured. It displays the total number ENTERPRISE Profiler pushes to the GDS. Displays if the policy of the selected user has the Park N’ Fly enabled. It displays the number of Park N’ Fly shopping requests versus the number of Park N’ Fly bookings for the same time period. Displays if the policy of the selected user has the Internet Sites feature enabled. It displays the number of internet bookings made. Displays Air, Car, and Hotel shopping requests by segment type. Displays the unique number of users who have logged into ENTERPRISE. Multiple logins by a single traveler within a 24 hour period are counted one time. Displays only if the policy of the selected user has Rail attached via the super-switch policy. It will show the number of rail shopping requests. Page 15 Confidential nuTravel Technology Solutions, LLC Trip Planning Tabs The Trip Planning Tabs allow the user to update travel preferences for the current reservation, use the interactive map to populate from and to boxes, look at company communications, or search trip lists for current/past date reservations. Travel Preferences Travel Preferences may contain air, car, hotel, and rail preferences. This information is used when the system checks availability for travel. Options relevant to Travel Preferences are displayed in the right pane, beneath the Travel Preferences tab. Travel Preferences is also the default tab when the steps to create a new booking are initiated. Modifications or settings made to the Air, Car, Hotel, or Rail Travel Preference screen apply to the current reservation only. Settings will not be saved to the selected traveler’s profile. To ensure that changes are saved to the traveler’s profile, access the user’s profile and make the changes. Click on this icon to minimize or maximize that section. It can be found in the upper, left corner of each section/container on the page. In the screenshot above, the Air Travel Preferences are not displayed. To display them, the user would click on this icon. Click on this icon to access the Help pages. Navigating and Booking a Trip Enterprise Page 16 Confidential nuTravel Technology Solutions, LLC Trip Planning Tabs continued Interactive Map The Interactive map is located in the right pane and can be used to input destination information. Select the cities on the map to populate the From and To text boxes. The map will also display the pre-defined locations, if available. Company Communications This page can contain travel policy information that pertains to your company. It is an optional page and may not display for all companies. Trip List Trips saved as research, pending or archived trips are displayed in list format. Importing a trip into ENTERPRISE that has been booked directly with your travel agent can be achieved by using the Import a Trip feature. Simply enter the trip locator in the Import a Trip text box and select the Import trip button. Navigating and Booking a Trip Enterprise Import a Trip Page 17 Confidential nuTravel Technology Solutions, LLC Left Pane The Left Pane can is used to input search criteria as well as secondary navigation in the Profile and Administration areas of the application. It will also turn into a shopping cart for travel options. Left Pane Area Input Search Criteria The user has the ability to search for travel from the homepage. They can enter the search criteria for air, rail, car, and hotel. For more information on the search criteria or on how to book air, rail, car, or hotel, go to the Book a New Trip section in this document. The user has the option to display their Traveler Preferences on the same page as their search criteria. They can do this by clicking on the View my preferences link on the homepage (in the search criteria section). View My Preferences The page will now display the search criteria section as well as the Travel Preferences. The user then has the option to click on the Interactive Map, Company Communications, or Trip List tabs as well. NOTE: To return to the homepage, the user has to select on Travel from the main menu and select User Home. Navigating and Booking a Trip Enterprise Page 18 Confidential nuTravel Technology Solutions, LLC Shopping Cart The Shopping Cart area will provide a breakdown of each travel segments cost as well as the option to name the trip, save the trip in research, reserve the trip, or purchase. After reserve or purchase has been selected the CO2 Air Emissions for the trip will appear under the Estimated Trip total. The CO2 Air Emission is determined by routing, flight numbers, and class of service and equipment type. CO2 Air Emissions Sort Options The Sort Option area is used to sort the results. Select the arrow access the drop down box which will allow you to choose how to the options that are returned. to sort Legend The Legend area is used to help decipher what the result icons represent. In the example to the right the icons shown are for ticketless carrier and company preferred. Navigating and Booking a Trip Enterprise Page 19 Confidential nuTravel Technology Solutions, LLC Booking a Trip Create a Travel Reservation The steps below will instruct the user how to book a trip in ENTERPRISE: 1. Select the Travel option from the main tool bar.(if on the homepage, go to step 4) 2. Select Start a New Trip. 3. Select the Trip Purpose (may not be applicable to all users). 4. Select the trip type (Round Trip, One Way, or Multiple Cities). ENTERPRISE defaults to Round trip. 5. The air preferences set up in your profile are displayed and can be changed in the View My Preferences link on the air, hotel, car, or rail screen in right pane of the Home screen. The changes made to this area, affect this trip only, and are not saved to your profile. Note: To make changes that will be saved to your profile, you can click the Profile Link and make the changes there. When you click the View My Preferences link, your changes will be reflected in Air Travel Preferences and be applied to the trip you have initiated. Note: The preferred airlines are displayed as links underlined in gray dots under the View My Preferences link. To change the airline, click the link. A drop-down list of airlines will appear. Select an airline from the list. Navigating and Booking a Trip Enterprise Page 20 Confidential nuTravel Technology Solutions, LLC 6. Enter the departure and destination information (may be different depending on the trip type). From: Enter the city or airport code for the departure. Type the first three characters of a City or Airport code. A list of corresponding locations will be displayed in a drop-down list. Only one location can be selected. If the “Search by Location” link appears above this field, you can click it and select a pre-defined destination from the drop-down list as it appears. The system administrator sets up the custom locations specific to your company (headquarters, client offices, etc.) Click the “Search by Airport Link” to return to the text box. To: Enter the city or airport code for the return. Type the first three characters of a City or Airport code. A list of corresponding locations will be displayed in a drop-down list. Only one location can be selected. If the “Search by Location” link appears above this field, you can click it and select a pre-defined destination from the drop-down list as it appears. The system administrator sets up the custom locations specific to your company (headquarters, client offices, etc.) Click the “Search by Airport Link” to return to the text box. Departure date: Enter the departure date or click the calendar icon and select the date. Return date: Enter the return date or click the calendar icon and select the date. Time: Click the drop-down to select the departure/return time preferences. NOTE: The Interactive Map may be used to input travel from and to cities. More information on how to use the option can be found under the Right Pane > Trip Planning section. Select car and hotel if necessary for your trip. a) Car - Click the check box call Based on air search criteria if the car will be picked up and dropped off at the airport and on the dates and times based on the air criteria. If it will not be based on the air search criteria, the user will have to enter the search criteria for the car manually. b) Hotel – Click the Include hotel check box if you want to include a hotel with air and/or car. Include Hotel - Check this box if a hotel needs to be booked for trip. this Find hotel within xx miles - Click on the number to display a drop-down that allows you to change the number of miles for the system to search for your hotel. Search for hotel by Airport/Custom Location – allows the user to search for the hotel by the airport they’re flying into or by a custom location that’s been built by your administrator. Address – Allows the user to enter an address for the hotel needed. Airport Search by Location – this will display the custom locations (if any) set up by your administrator. Airport Search by Airport – This will enter the airport code from the air search. The code can be changed by the user. Hotel Name Contains - Enter the name (or the partial name) of the hotel. Check-In Date - Enter the date you need to check into the hotel. Check-Out Date - Enter the date you need to check out of the hotel. Navigating and Booking a Trip Enterprise Page 22 Confidential nuTravel Technology Solutions, LLC Book a New Trip continued 8. Select the way the search results will display on the page. Search by Price To request the air search results to be displayed by price. Search by Schedule View flight options in a list to manually select from. If you click the “Search by Schedule” radio button, flight options will be displayed that include sold out and non-participating GDS carriers prior to continuing with the booking. Itinerary Preference The user may have the ability to choose one of the following itinerary preferences. Suggested Itinerary – Will search and display an itinerary using the best options available with the company’s defined policies and preferred vendors. Custom Built Itinerary – Will return a display of each available travel type to be chosen manually to create an itinerary. 9. Verify or make any necessary changes to your travel preferences. a) If you started your trip by going to Travel, Start a new Trip, you travel preferences will be displayed in the right pane of the screen. Make any necessary changes and Save. Modifications made to any of the travel preferences will only apply to the current reservation. These settings will NOT be saved to the traveler’s profile. b) If you started a search from the search criteria on the homepage without going to Start a new Trip, your travel preferences may not display in the right pane. If this is the case, you can access your travel preferences by mousing over Profile on the main menu and selecting Travel preferences. Make any necessary changes and select the Save button (top, right corner). Modifications made to any of the travel preferences will only apply to the current reservation. These settings will NOT be saved to the traveler’s profile. Click the Return to Travel link to go back to your search criteria. 10. Click the Search button. The search icon will be displayed in the right pane while the system searches for availability. The search status is displayed in the Shopping Cart in the left pane. 11. View the Results (this example is based on Round Trip air). A. Left Pane – will highlight the part of the itinerary that is displayed on the right and will give the status of the process. Sort options – can display the travel results on the page depending on the sort option chosen. They can be modified by the user. Legend – will explain the icons used within the results. B. Right Pane – will display the itinerary choices available according to your company’s policy. Carrier Matrix – will display the results by airline. It will show how many options there are for that airline at that price. The user may click on the price or the number of results to be taken directly to those result options. Moving the arrows left and right will increase and decrease the time filter options in 15 minute increments. Select the air option that meets your travel needs by clicking on the Add to Cart button. The air itinerary will be reflected in the Shopping Cart in the left pane. Seat Map – this will display a seat map for each flight in the itinerary (one at a time). The user may click on an available seat to request it. Add flight to option builder – used to custom build an itinerary. More Details on how to use this in the Option Builder sub section. View Rules – will display the fare rules for the price listed. Option Builder The Option Builder section lets you control the options displayed on this screen. All options are offered by default, but you can use the option builder to display only options from a specific airline, only non-stop options, etc. To populate the Option Builder section, choose the desired outbound flight by clicking on Add flight to option builder link. Then choose the return flight by clicking on Add flight to option builder link. Your itinerary can be built segment by segment using the Option Builder. You can also choose to click on the Add to Cart tab and have the Created Itinerary added to the Shopping Cart. Navigating and Booking a Trip Enterprise Page 25 Confidential nuTravel Technology Solutions, LLC Note: Below is an example of the Air Matrix when individual flight options (city pair tabs) have been chosen. Each City Pair tab includes each flight option broken down by carrier and number of stops. This enhancement allows for the filtering of flights at the city pair level. When a fare is known at this level, it will be displayed in the Air Matrix (from lowest price) as it does in the Complete Options tab. Below is an example of the Option Builder segments and the price. You have the option to Clear the options or to add the air segments to your shopping cart by clicking on the Add to Cart tab. Navigating and Booking a Trip Enterprise Page 26 Confidential nuTravel Technology Solutions, LLC Seat Map Look at the legend to determine what seats are available to you. Click on the seat you want to reserve (if there are any available). Click the Save button. If there are more flights in this itinerary that you need to reserve seats for, click the arrow (left or right) to move to the other flight and reserve a seat. Flight Pass Options (Air Canada) ENTERPRISE will return all available Flight Pass options along with all other Fare options. Flight Pass options are returned with the Flight Pass icon (the Canadian Leaf). Flight Pass options are not combinable with other Air Canada options. When a user adds one or more Flight Pass options to the Option Builder, a message will appear stating: Air Canada Flight Pass options cannot be combined with another carriers or fares. If user ignores the warning and adds another fare option, a warning will be generated when the Add to Cart button is selected and user will not be allowed to proceed. User must Clear selections or Remove Flight from Option Builder and make alternate selection. Navigating and Booking a Trip Enterprise Page 27 Confidential nuTravel Technology Solutions, LLC SWABIZ (Southwest Airlines) SWABIZ results can be available in ENTERPRISE dependant on configuration in the company of the Super Switch Policy. “Click the Select button when Southwest is an option to book. Navigating and Booking a Trip Enterprise Page 28 Confidential nuTravel Technology Solutions, LLC A. The SWABIZ.com content will be offered in a tab, just as the leg by leg options. You may select the credit card that you would like the Southwest tickets to be purchased from this screen as well if allowed. B. Select flights, by clicking the radio button next the desired fare and click Continue to advance to the Air Itinerary and Pricing screen. Note: User may navigate between the SWABIZ tab at any point and return to the complete options or leg by leg options to compare flight choices. This can be done at any time prior to PURCHASE on the SWABIZ.com site. C. Click Continue to accept the fare rules and continue with the purchase. The Passenger Data and Payment screen will open with all available screen fields pre-populated by the booking site. If the passenger profile contained a valid Air or Web credit card with complete billing address this credit card information will be passed and hidden to the SWABIZ booking. If no credit card with complete billing address was available in passenger profile, the user will be required to provide this information at time of booking. D. Click Purchase to complete the SWABIZ booking. The SWABIZ confirmation page will display with ticketed air itinerary. E. User must click the Click here to complete your booking in ENTERPRISE button to continue. Note: If this step is skipped, the user will not be able to book corresponding car and/or hotel segments nor will the SWABIZ booking be integrated back into ENTERPRISE and documented as a ENTERPRISE trip. F. ENTERPRISE will display the following: “Your booking on SWABIZ.com was successful. You will receive your SWABIZ itinerary via email. Do not close the browser or your booking information will not be returned to ENTERPRISE. Click Continue to complete your itinerary.” G. Click Continue. H. All flight and time data has been returned to ENTERPRISE from SWABIZ for back- end processing. Warning: Do not navigate away from the ENTERPRISE booking until all steps are completed and you receive the Ticketed Travel screen or the SWABIZ booking will not be integrated into your trips or sent to agency for processing. DO NOT close the browser or your SWABIZ itinerary will not be returned to ENTERPRISE. Even though the air portion of the itinerary is purchased and ticketed directly on the SWABIZ site, this step is necessary to bring the booking into ENTERPRISE. SWABIZ will auto generate a confirmation email to the primary email address as listed in the ENTERPRISE Profile. SWABIZ bookings may not be saved as Trip Research or Trip Templates. They are not available for Copy Itinerary. Like other Southwest bookings, functions such as Seats, View Rules, Flight Status are not supported by the vendor and will be disabled on the ENTERPRISE site. Any modifications or cancellations to the SWABIZ itinerary must be handled directly with SWABIZ or via agency. The Ticket Number is passed from Southwest to SWABIZ to ENTERPRISE and is not always available at the time the ENTERPRISE booking is complete. This field may read Pending on the ENTERPRISE itinerary until the next display or refresh of itinerary. Select the car by clicking the Add to Cart button (if you included a car in your search). Your air and car itinerary will now be reflected in the Shopping Cart in the left pane. Modify Car – This will be open in the left pane above the Shopping Cart. This allows the user to make changes to the car request without having to start the trip over. Only location, dates and times may be modified here. Previously applied Car Travel Preferences cannot be altered (preferred vendors, car size, etc). If a hotel is included in your search, the hotel availability screen will appear in the right pane. Click on Request Room Rates to display the room descriptions and room rates. Hotel Information – Will display the hotel’s information (cancel policy, amenities, etc.). View Map – Will display a map of the city the hotel is in and the location of the hotel on that map. Rating – Will display an explanation of the crown rating system. Note: The “Based on air search criteria” checkbox will contain a check by default. If you click that box and remove the check, fields will appear to enter different hotel search criteria. The steps below will instruct the user how to book parking in ENTERPRISE: 1. The Parking Home screen is accessed when you click "Add Parking" in the Shopping Cart of a purchased itinerary. 2. After you have opened the itinerary, click the “Add Parking” link in the Shopping Cart. This will open the Parking Service – Add screen. The Parking Service Request – Add screen enables you to adjust parking dates and method of payment for parking. Click the “Search” button. This will open the Parking Options screen. 4. Once the request is processed, the itinerary is displayed with the parking segment added to the itinerary and the shopping cart. Note: Airport Parking is only updated in the ENTERPRISE Itinerary and not the GDS Itinerary. You can open an itinerary from the Trip List, which can be accessed from the main menu bar under Travel and Access a Trip. Select the view link next to the desired trip to access the shopping cart and modify buttons. Select the modify car or hotel button to add car/hotel reservations to your existing trip. Follow previous steps on how to book car and hotel to complete the process. Navigating and Booking a Trip Enterprise Page 37 Confidential nuTravel Technology Solutions, LLC Unused Tickets The Air Availability (Complete Options and Schedules); Saved Research; and Trip Itineraries (Selected or Reserved) will display new Exchange Ticket text and icon. These displays are not supported on Trips Submitted for Purchase; Purchased (Ticketed) or Archived Trips. Unused Ticket Alerts Unused Ticket Alerts may be found under the home page under My Messages as well as the main tool bar and in the left pane. These are used as methods of advising the user of unused ticket availability. All unused ticket data matching the ENTERPRISE Member ID will display appropriate Unused Ticket Alerts as indicated. The Heads-Up Alert as is clearly visible on the Air Home page centered directly above the radio buttons for Round Trip, One Way and Multiple Cities. A definitive link stating “You Have [X] Unused Ticket(s)”, coupled with a sub-screen of detailed hover text provides the user with available unused tickets on file. When clicking on the Unused Ticket alert above, the following list will display the unused ticket with the airline, expiration date and the value of the ticket. Apply Unused Ticket For all air options that are NOT Instant Purchase, Ticketless and/or Web and have an airline carrier for which Exchange Tickets exist (where the Unused Tickets have not been marked as Used and/or have not expired). ENTERPRISE will display the new Exchange Ticket text and icon. The Display does not apply to multi-carrier itineraries. The Exchange Ticket text will display the individual exchange ticket value for each ticket at the bottom of each applicable air option in the following format: “Available Exchange Tickets: <list of exchange amounts for each exchange possibility>”. The amounts shown in the display represent individual Exchange possibilities, separated by the pipe (“|”) delimiter. The Exchange icon will display on the right side of the option, in the Add to Cart column as well as in the Legend (left pane). This message will depend on the following statements in each scenario all being ‘true’: “Your exchange ticket information will be provided to the ticketing agency at purchase.” Exchange tickets apply to the itinerary The rule “Disable Exchange Information Display” is set to “NO” and attached to the active policy tree branch (or not attached at all – (default setup)) Reporting condition for when “Exchange Tickets Apply” is attached to the active policy tree branch The itinerary has not yet been purchased “Your exchange ticket information has been provided to the ticketing agency” Exchange tickets apply to the itinerary The rule “Disable Exchange Information Display” is set to “NO” and attached to the active policy tree branch (or not attached at all – (default setup)) Reporting condition for when “Exchange Tickets Apply” attached to the active policy tree branch The itinerary has been purchased “Your exchange ticket information will not be provided to the ticketing agency. An example of this might be a conference or a business trip. The template may be made available to anyone in the company, certain selected users, or it may remain private. Prior to creating a trip template, you must book a trip in ENTERPRISE. When the reservation is confirmed, the reserved itinerary is displayed. To create a trip template from scratch, first save one from a trip (see Creating a Trip Template, below). The example below shows a booked itinerary that will be saved to a template. Once you have reserved a flight, click the “Save as a Trip Template” link. This will open the Save as a Trip Template screen. See the example above. 2. Enter a name for the template in the “Template Name” text box. 3. If you want travelers to see the template when they log in, click the “Show this template on the travel home page” checkbox to insert a check. 4. Click the “Template Type” radio button to select the type of access you want for this template. Personal – The template is available to you as template creator only. Company – The template is available to everyone in the company. Policy Branch Specific – This is a type of company template that uses the rules and policies of another policy tree branch. This allows travelers on any policy tree branch to book a trip that complies with the rules of a specific branch without having to move the traveler to that policy tree branch. Shared – The template is available to users whose member IDs are entered in the box below the radio button. Separate the users by pressing ‘ENTER’ to put them on different lines. 5. If you want to specify travel preferences, different dates, times, or the locations, click the “Travel” item in the main menu bar, then select a purpose from “Access a Template.” This will open the Trip Templates screen. 7. Click the “Edit” link next to the template to open the Template Edit screen. 8. Fill out the fields on the Template Edit screen (see Template Edit Fields, below). 9. Click the “Save” button to save your changes. Field Description Template Name The name of the trip template. Show this template on the A check indicates that this template will be displayed on the travel home page travel home screens. Policy Branch Specific – The template is a company type template, but it abides by the rules of the policy branch on which it was created. Template Itinerary The entire preselected itinerary Clear Selections Click this link to clear all the fields on the screen so you can build a template from scratch. Air Travel Preferences Requested airline preferences Allow a maximum airfare of The maximum fare you will accept and the country in whose currency the fare is indicated. Accept connections A check indicates that you will accept flights with connections. Accept penalty fares A check indicates that you will accept flights with penalty fares. Search for low fares during A check indicates that the system is requested to search for template processing low fares when this template is used Perform contract fare search A check indicates that the system is requested to search for during trip template contract fares when this template is used. Air Segment This section will appear for each air segment in the template. Airline The name of the airline and the flight number. Cities The departure and destination cities. Depart Time The rime of the flight and radio buttons to indicate whether that time is for departure or arrival. Class The class of service for your reservation. Car Segment This section will appear for each car segment in the template. Car Company The name of the rental car company. Pick-Up The time you will pick up the car and the location. Drop-Off The time you will return the car and the location. Type of Car The type of car to be reserved (e.g., compact, luxury, economy). Hotel Segment Location The airport code for the location of the hotel. Hotel Name The name of the hotel property. Chain The chain the hotel belongs to, if applicable. Default maximum hotel rate The maximum hotel rate that you will accept. For no maximum rate, enter zero (0). Apply this country’s currency The country in whose currency the rate is indicated. Show only contract options A check indicates that the system is requested to return only contract hotels in availability. Property Number The property number of the Hotel. Navigating and Booking a Trip Enterprise Page 44 Confidential nuTravel Technology Solutions, LLC Booking with a Trip Template Use the following steps to book a trip from a trip template. 1. Click the “Travel” item in the main menu bar, and then select a purpose from “Access a Template.” This will open the Trip Templates screen. 2. Click the “Create Itinerary” link next to the template you want to use. This will open the Create Itinerary screen. 3. Enter a date in the “When do you want to leave?” text box, or click the calendar icon to select a date. 4. Enter the number of nights for the duration of your trip in the “How long do you want to stay?” text box. 5. Select a type from the “Preferred Passenger Type” drop-down list, if applicable. Each travel segment that contains a check in the “Reserve?” checkbox will be included in the new trip. 7. Click the “Search” button to submit your request. The result that is displayed is a Suggested Itinerary. Navigating and Booking a Trip Enterprise Page 46 Confidential nuTravel Technology Solutions, LLC Copy Trip The Copy Trip functionality will allow ENTERPRISE users to copy an existing itinerary for them or for another traveler. The functionality behind the Copy Itinerary process is similar to the existing Trip Templates function. Trips eligible to be copied are all Pending Trips (Reserved, Purchased, or Ticketed) that do not contain Web-Fares, Non-GDS hotels, Rail and/or Direct Connect segments. Trips in Trip Research and Archived Trips are not supported. From the Trip List, locate the trip to be copied and select the Copy link that follows the View and Cancel links. If the trip is not eligible to be copied, the Copy link will be disabled. Copy Itinerary link The Copy Itinerary tab will open. Note: If the logged in User has the right to Select Another Traveler, they will be prompted to do so at this time. The option to copy the trip for the original traveler is available by selecting the new Keep Current Traveler link. If the User does not have the right to Select Another Traveler, this step will be skipped and the copy process will default for the current traveler. Navigating and Booking a Trip Enterprise Page 48 Confidential nuTravel Technology Solutions, LLC Alternate Travel Policy within the copy trip process The next step in the copy process is to evaluate for Alternate Travel Policy (Trip Purpose). ENTERPRISE will compare the travel policy applied to the original itinerary with that of the selected traveler. Note: This step is only a consideration when multiple travel policies are applicable to your policy branch(s). If your ENTERPRISE setup does not include the Alternate Travel Policy function, you may skip this section and continue reading below (Copy Itinerary). If Alternate Travel Policy rules are applicable, the travel policy of the original trip will be compared against the default travel policy of the selected traveler. If the selected traveler is on the same travel policy as the original itinerary and does not have access to alternate travel policies, the copied trip will utilize the travel policy of the selected traveler and the original traveler (itinerary). The user is taken directly to the Copy Itinerary page. If the selected traveler is not on the same travel policy as the original itinerary and does not have access to alternate travel policies, the user will be prompted to continue using the selected traveler’s policy. Prompt text (Custom Text ID 110035): The selected traveler does not have access to the travel policy applied to the original itinerary. Click YES to apply the current travel policy of the selected traveler. Click NO to return to the original itinerary. If the user selects YES, the trip will be searched using the policy of the selected traveler and the user is taken to the first Copy Itinerary page. If the user selects NO, the prompt will close, the Copy Itinerary tab will close, and the user will be returned to the original itinerary. If the selected traveler is not on the same policy as the original itinerary and does have access to alternate travel policies, which include the policy of the original itinerary, the user, will be prompted to continue using the policy of the original itinerary. Once the user accepts an alternate policy, the Copy Itinerary tab will display. Once the selected traveler and applicable travel policy is determined, the Copy Itinerary tab will be auto populated with the original trips departure date, duration of trip, and the passenger type code from the selected travelers Profile (if applicable). Following this page is a recap of the original itinerary and editable fields where the user may either accept all defaults or make modifications to the copy request, such as the ability to exclude the car rental segment; adjust the hotel date; modify cabin class for air travel, etc. Click on Continue. Use the ‘Include’ checkbox to identify what part of the itinerary you would like to copy. There are two Editable car fields, class and car type. These fields are available based on the selected travelers Profile rights. Click on “Search.” Navigating and Booking a Trip Enterprise Page 50 Confidential nuTravel Technology Solutions, LLC Availability for air, car, and hotel is checked. An icon will be present if an exact match is found. AIR: The system checks availability of the same flights and the same carrier as the original itinerary. If this flight cannot be found, a flight with the next closest departure time will be selected. ENTERPRISE will sell the requested cabin and price itinerary as determined by the applied travel policy and user preferences in order to obtain the best available fare. CAR: The system checks availability for the same car company, car type (or type requested by the selected traveler), and transmission type of the original itinerary. If a match cannot be found for these field types, ENTERPRISE will select the next best option based on the selected traveler’s applied travel policy and user preferences. HOTEL: The system checks availability for the same hotel property code as the original itinerary. ENTERPRISE will attempt to match the room code to get the same nightly rate. If a match cannot be made on either the hotel chain code or booked room type, ENTERPRISE will select the next best room option based on the selected traveler’s applied travel policy and user preferences If the hotel from the copied itinerary is not available, ENTERPRISE will attempt to sell a room from an alternate hotel that best matches the user’s travel policy and default hotel travel preferences. This logic will not be matching for a hotel property nearest to the hotel of the original itinerary. When an exact match is found for the copied itinerary, an icon will be placed on the itinerary element. If an exact match was not found, a warning will be displayed instead of the matching icon. If an eligible itinerary is selected to copy and a parking segment is present, all itinerary items will copy except the parking. A copied itinerary will be displayed with the new title of Copied Itinerary, Not yet reserved. The user may make modifications, view alternate travel options, choose seat assignments, etc. from this screen. The trip is not confirmed until the user selects to Reserve or Purchase.
