USER GUIDE – EKOFLEET PORTAL
1. Login
Page www.ekofleet.rs shows login page of EkoFleet portal. (Picture 1)
Picture 1.
User enters username and password (Picture 1). Depending on the way how parameters are entered,
validation directs to login with right credentials.
If there are wrong or nonexistent credentials, the warning is shown (Picture 2).

User can change password, if he forgot it. Ckick on link Forgotten password? Next form is shown
(Picture 3.)
Picture 3.
You need to enter valid username, registrated e-mail and new password. If all is set, message about
changing password is send to entered e-mail. It is possible to login with new credentials after that.
2. News
After successfully login, the page with top new is shown (Picture 4.)

In portal header is shown full username, user's status (active/inactive) and date of last transaction.
Page with news is Home page. In the left part, three top news filtered by date are shown and they
are updating every moment. Click on Details shows all text of the news. (Picture 5.)

In the right part there is a list of all news, where click on news title opens popup window with news
details.
3. Transactions
Page Transactions shows list of all transactions with details: date, card number that processes
transaction, vehicle registration, customer name, pump, items (list of items with amounts) and sum
of transaction. (Picture 6).

User can filter transactions by: customer name (dropdown list of customers), EKO pump (dropdown
list), date (datepicker) and card number (full or part of card number). (Picture 7.)

Click on Search , enables button Get Excel, so that file in Excel format with all entered filter
parameters is downloaded automatically.
4. Transactions analysis
Transactions analysis shows list of all transactions divided by items with details: date, card number
that processes transaction, vehicle registration, customer name, pump, items, item amount, unit
price and sum of transaction.(Picture 8.)
User can filter transactions analysis: customer name (dropdown list of customers), EKO pump
(dropdown list), date (datepicker), card number (full or part of card number) and items (list of items
and item groups – Fuels and Items other than fuel). Click on Search , enables button Get Excel, so
that file in Excel format with all entered filter parameters is downloaded automatically.

5. Bank statements
Bank statements can be filtered by specific date. The table contains informations about customer,
account number and payment. (Picture 9.).

6. Demands
Page Demands shows list of demands for issuing EkoFleet cards (Picture 10.)

The table shows informations about demands: date of demand submission, customer, demand status
(in preparation, card printing, processed), vehicle registration, card limit, period of limit validity
(daily, weekly, monthly) and level of service. Customer can see demands of all status and can filter
them by: customer name, date and demand status.
Click on Add demand opens popup window with fields that should be filled with informations about
new demand. (Picture 11.)

Expiry date is set on last day of the month, up to five years from card creating, but that can be
changed. After successfully demand adding, customer receives e-mail about creating demand for
EkoFleet card.
It is possible to edit and delete demands, but only if status is „in preparation“. When status is
different, editing or deleting are disabled (Picture 12.)

Click on Edit opens popup window with selected demand informations, where user can change
demand (Picture 13).
Click on Delete opens popup window with selected demand informations, where user can confirm
deleting demand (Picture 14).

7. Customers
Page Customers shows informations about logged customer. (Picture 15)

Details: SAP number, customer name, customer's PIB, contact phone number and contact e-mail. It is
possible to filter customers by: customer name, customer's PIB, contact number and contact e-mail.
Selecting customer in table and click Edit customer will open popup window that contains
informations about customer and allow to update those informations (Picture 16)

Show cards
Selecting customer in table and click Show cards will open popup window that contains informations
about customer's cards where user can manage them (Picture 17.)

Details: card number, card type (car, truck, machine), level of service, limit, period of limit validity
(daily, weekly, monthly) and card status (active, inactive).
Actions:



Click on Unblock , card status updates to „Active“ and competent person is informed by email with file for Prisma.
Click on Block , card status updates to „Inactive“ and competent person is informed by e-mail
with file for Prisma.
Click on Edit limit , opens popup window where user can enter data for limit changing, period
of limit validity changing and setting if this request is Urgent. This updates limit data and
inform competent person about Urgent action, if entered limit exceed allowed limit (Picture
18)
Picture 18.

Click on Reissue opens popup window with expired card details. If check Edit user can change
level of service or vehicle registration. Demand for card printing is automatically created and
e-mail is sent to competent person. (Picture 19)

Click Get Excel, to get file in Excel format with all customer cards parameters which is downloaded
automatically.
Accounts panel
Select customer from table and click Accounts panel opens popup window with informations about
customer accounts to login EkoFleet portal (Picture 20)

EKO admin can see all customer's accounts and can edit them. Every customer has account that can't
be deleted by EkoFleet portal and it has credentials:


username: SAP number
password: PIB
Add account is shown on picture 21.

Click on Edit, opens popup window for updating customer account's details. (Picture 22)

Click on Delete, opens popup window with customer account's details, then click on
that account from system (Picture 23)
