What is WebEx?
WebEx is an online tool to meet virtually with colleagues to:
 Deliver interactive presentations
 Host teleconferences
 Share, annotate, and change documents online
You will need:
 A computer with an Internet connection
 A telephone (with speakerphone if multiple people are
listening)
The following pages will lead you through how to log onto a session
and some handy tips on how to use the WebEx functions during the
session.
How to join a Session

You will be invited to participate in a session.

You will receive this link https://walescenter.webex.com to the WebEx
website and also a password for the session.

Please make a note of these details as you will need them to join the
session on the day.

We would suggest if you are joining a session for the first time we
do recommend you start the process at least 30 minutes before the
session start time.
Please note: you may be asked to pre-register to join some sessions.
You will receive a different link for these type of sessions.
WebEx Website
On the day of the session click on the link for WebEx.
You will be directed to a screen similar to this.
Please click
on the title of
the session
you wish to
join.
Once you have clicked on the session title you will
then have to register your details to join the session.
Enter here your
name
email address
and the session
password.
The next screen
will prompt you to
download ActiveX.
This is the
programme that
supports WebEx.
At this stage you may be asked
to allow this programme to run,
please select run.
Please note this stage could take some time especially if you have never
used WebEx before.
We would suggest attendees to start this process at least 30 minutes
before the start time of the session.
You will still be able to use your PC while this software is downloading.
Once the programme has been installed
successfully the following screen will appear.
(The is an example only).
(1) When
prompted
select ‘I will
dial in’ and
replace ‘+44
20’ with ‘020’.
(2) You will be
asked to dial in
your access
code.
(3)Then enter
your Attendee ID.
Dial in details can also
be found by clicking
the info tab or the
audio tab.
If you have
dialled
In correctly
your name will
appear here.
During the session we encourage you to use some of
the WebEx tools to interact with the session.
You can ask a question
during the session by
“raising your hand” simply by
clicking on the hand symbol.
When you have finished
asking your question click on
the same symbol to clear.
You maybe on mute when you
join the session. You can mute
yourself and unmute yourself by clicking on
the mic symbol, when on mute
a red mic will appear next next
to your name.
If you disagree with the presenter
you can click this icon. Please
remember to remove the icon by
clicking on the symbol.
If you agree with the presenter you can
click on this icon. Once you have
agreed please remember to remove the
icon by clicking on the symbol.
You can also interact with
the session by using the
chat screen.
To use the chat screen
please follow these steps:
(1) Select the recipient you
would like to send a
message to.
(2) Type your message
in the text box
Your message
will appear here
(3) Click send
When it’s time to leave the
session, hang up your
phone, Click X at the top
of the screen and answer
YES to the pop-up box.
When you have
left the session
this pop-box will
appear.
Please
complete the
small
questionnaire
and click submit.
