Comment Card Central Follow-up Function
This function can be used to:
•Review recent comment cards submitted by your guests
•Open and Close cards that you are following up on for tracking purposes
•Assign cards to other users for follow-up
•Review organized cards that are open, closed, <80%, <90%, and >90%.
•Search by Key Words and date ranges to filter particular cards.
•Search by a particular Question to bring up all cards that have answered the
question filtered
•Search by Guest Name to filter all cards submitted by one guest

Comment Card Central Follow-up Function
Review recent comment cards submitted by
your guests by choosing Comment Card
Central from the main page of the portal.

The Search Tool will allow you to filter cards in several ways….
You can search by each
question that is asked on
your comment card, or by
Guest Name to find all
related submitted comment
cards.
You can use the Search Tool
for Key Words or to filter by
date range. “Show
Comments” will show all
guest typed comments as
well.
-You can search by key words
to view cards containing
comments with that word. For
example: Search “Pool” and
view all cards that the guest
completed mentioning the Pool.

The tabs will filter out the cards by its definition…
•All= all comment card submissions regardless of score.
•Alerts= all comment card submissions that would result in an email sent
due to the criteria sent by the property.
•Open= all submissions that have been marked as opened for follow-up
•My Open= all submissions that were opened for follow-up by you or
assigned to you by another user
•Closed= all submissions that were opened for follow-up, are resolved, and
now marked as closed
•<80%= all submissions below 80%
•<90%= all submissions below 90%
•>90%= all submissions above 90%

Reviewing and Following-up on a Submitted Comment Card…
Click on the “View” icon next
to the card you wish to review
Shows Status of
card…. Open or
Closed if
assigned by a
user.
If the guest scored below
criteria set by the property,
there will be an “alert” next to
their comment card.

Reviewing the comment card…
Use these arrows to go from one card to the next
without having to go back to the main page. Will
also show when comment card was submitted.
The selected card will display
everything this particular guest said
about their stay.
The top of the selected card will display the
guests name, reservation number, email address,
room number, and stay dates.

The Follow-up Process…
For each card you will see
a follow-up box with
several options available.
Drop-Down allows you to
assign this card to another
user(s) to handle the issue
for the guest.
**When selecting another user to assign the card to, you would check the box for “Email Assignee” so the
recipient will receive a notification. You can also CC several additional Portal users. Comments would also
be recommended so each user could see notes pertaining to the guest. Card should be marked “open” if
further action is required and click submit.**

The Follow-up Process…
This card is now marked as “open” and all comments
added have been logged for all users to see. This allows
each user to view all remarks, as well as all action that has
been taken on the issue.
Card could then be assigned to another
user if needed…

The Follow-up Process…
When the issue is resolved the card would need to
be closed. Use the drop-down to “unassign
this card “and mark closed, push submit. Will
mark as closed on Comment Card Central
when refreshed.

Additional Notes…
•Comment Card Reporting is available by email or on the portal.
•If you do not close a card, it will remain in Open status until you have successfully
closed it.
•You can switch between Open and Closed tabs to filter out the submissions for
follow-up.
•The “My Open” tab will only display cards that are opened by you.
•The “Open” tab will display any card in the open status regardless of who it is
assigned to or which user opened it.
•If you choose to “Email the Assignee” an automatic email with your notes and the
card will get sent to the user that was assigned.
•If you assign a card to another user but do not check the “Email Assignee” box, an
email will not be sent to that user.
•To refresh and see whether a card is in “Open” or “Closed” status, click on the All
tab.
