Central Freight Lines has established corporate Policies & Procedures that must be
followed for Time Clock and Payroll information.
This document/presentation provides an overview of how to utilize existing tools for
communication between the terminals and corporate Payroll.

When hiring new employees or transferring current employees to new positions the
terminals should communicate the information as soon as possible to the Payroll
department in Waco to avoid delays in getting pay checks for employees and to properly
have labor distributed to the appropriate department.
When notified of new hires or position changes, Payroll enters the data into the Kronos
Timekeeper System. This information is downloaded to the time clocks along with
calculated total hours.
Payroll has a form that has been in use at Central for several years - F-514. This form is
now available as an e-mail form on the corporate mainframe TAO Mail System.

To access the F-514 form, first log on to CICS and from the Main Menu, tab to the
EMAIL option, type X and press <Enter>.

In the TAO Mail System there are options for creating mail messages, reading the mail,
etc. The 4th option available is B - Bulletin Boards.
Select this option by typing B in the option field and pressing <Enter>

Bulletin Boards have been established for many departments and allow standard
communication formats for many of the forms used at Central.
To select the Payroll Forms, tab to that line on the screen, type L and press <Enter>.

Above are the currently defined Pay Rules & Policies / Class Codes that have been
established for the Kronos TimeKeeper System.
The Pay Rules & Policies / Class Codes control overtime eligibility, lunch deduction
rules, and rounding time within the schedules. These have been set up for three groups of
employees: those eligible for overtime for all hours over 40 per week; those eligible for
for overtime for all hours over 8 per day (California only); and those eligible for overtime
for hours over 50 per week.
These pay rules will be discussed over the next few pages in detail.

For those employees eligible for overtime over 40 hours per week, Class Code 01 is an
option.
This Class Code will round the punches to the start and end times if the punch is within
10 minutes of the scheduled hours for the employee.
If the employee punches in within 10 minutes before his/her scheduled starting time, the
Kronos TimeKeeper system will round forward to the scheduled start time.
If the employee punches out within 10 minutes after the scheduled end time, the system
will round back to the scheduled time.
If the in or out punches are more than 10 minutes before or after scheduled times, then
actual punch time is used to calculate hours worked.
Lunch will round to 1 hour unless more than 1 hour has elapsed between the clock out
and clock in. If the punch time is more than 1 hour, punch time is used to calculate
lunch. If the punch time is less than 1 hour, the system will automatically round up to 1
hour for lunch.

Another option for those eligible for overtime over 40 hours per week is Class Code 03.
This Class Code will round the punches to the start and end times if the punch is within
10 minutes of the scheduled hours for the employee.
If the employee punches in within 10 minutes before his/her scheduled starting time, the
Kronos TimeKeeper system will round forward to the scheduled start time.
If the employee punches out within 10 minutes after the scheduled end time, the system

The employee does not punch for lunch with this Class Code. One hour is automatically
deducted from total time for lunch.

Another option for overtime eligible over 40 hours per week is Class Code 06.
This Class Code will round the punches to the start and end times if the punch is within
10 minutes of the scheduled hours for the employee.

Class Code 14 is typically used for temporary outside employees.
All time calculations are from the minute punched in to the minute punched out.
No lunch deductions will be made for this Class Code unless punched.

option. These Class Codes (Over 8 hrs/day) apply to California only.
This Class Code will round the punches to the start and end times if the punch is within
10 minutes of the scheduled hours for the employee.
If the employee punches in within 10 minutes before his/her scheduled starting time, the
Kronos TimeKeeper system will round forward to the scheduled start time.
If the employee punches out within 10 minutes after the scheduled end time, the system
will round back to the scheduled time.
If the in or out punches are more than 10 minutes before or after scheduled times, then
actual punch time is used to calculate hours worked.
Lunch will round to 1 hour unless more than 1 hour has elapsed between the clock out
and clock in. If the punch time is more than 1 hour, punch time is used to calculate
lunch. If the punch time is less than 1 hour, the system will automatically round up to 1
hour for lunch.

Class Code 21 is the same as 20 except that lunch is 1/2 hour instead of 1 hour. These
Class Codes (Over 8 hrs/day) apply to California only.
This Class Code will round the punches to the start and end times if the punch is within
10 minutes of the scheduled hours for the employee.
If the employee punches in within 10 minutes before his/her scheduled starting time, the
Kronos TimeKeeper system will round forward to the scheduled start time.
If the employee punches out within 10 minutes after the scheduled end time, the system

If the in or out punches are more than 10 minutes before or after scheduled times, then
actual punch time is used to calculate hours worked.

for California employees.

This Class Code will round the punches to the start and end times if the punch is within

If the employee punches out within 10 minutes after the scheduled end time, the system
will round back to the scheduled time.

Lunch will round to 1 hour unless more than 1 hour has elapsed between the clock out
and clock in. If the punch time is more than 1 hour, punch time is used to calculate

hour for lunch.

When an employee scans their badge time is automatically logged to the default
department set up in Kronos. When moving to another department, the employee should
press the appropriate F key and scan their card for time to automatically be logged to new
department.
Example:
We have a Driver / Loader that begins work at 6:00 am on the Inbound Dock. Scanning
the employee badge will clock him or her in for department 40010.
This employee then is ready to begin his/her route at 9:00 am. That employee would
press F4 on the clock and scan the their badge. This takes the employee out of Inbound
Dock and begins tracking time under P & D.
If on returning to the terminal the driver goes to outbound dock, they should press F6 and
scan their badge.
Finally, when leaving for the day, scan the badge to get off the clock.
Remember - The more accurate the employee punches are, the less maintenance
must be done following each shift.
