Planning for Match Day
1.
Checking the Draw
1.
A week or two before the rounds, check the draw for each age group to ensure all
teams are covered and there is no clash in locations and times. In the event there is
a clash the Competition Manager at the Central Coast Junior Rugby Union (CCJRU) is
to be notified as soon as possible.
2.
Once clarified the team managers are to be notified of any changes.
3.
The Communications Manager is to be notified so the Web Site, Facebook and email
distribution can be updated.

Timeline:
1 clear week out from game day.
4.
Notification of Game Day Management Duties
1.
Each junior home game day, a junior team will be responsible for the setup, day
management and pack down of the The Haven Oval.
2.
No later than the preceding Sunday, the nominated team manager will be notified
with a blank roster to be filled with names and returned by the Thursday. It will be
the responsibility of the team manager to ensure all duties are covered.
3.
In the event there are legitimate reasons that team cannot fulfill their obligation,
another team will be nominated, and the original nominated team will be placed
back to another day.
4.
In the event problems are anticipated, team managers are to notify well in advance
so assistance can be sort.

5.
Ground Condition Monitoring
1.
During the week preceding the game day, adverse weather may be experienced
causing doubt as to whether the game should proceed at The Haven Oval.
2.
Coaches and Managers should be encouraged to use the Gosford City Council SMS
Bounce Back Service (input) to ascertain if the both The Haven Oval and Terry Oval
are open for training.
3.
In the event Gosford declares “Grounds are open at club’s discretion”, and
inspection is to be made of both grounds prior to use.
4.
The outcome of that decision will be communicated to the Communications
Manager so the Web Site, Facebook and email distribution can be updated.

Contingency Planning for The Haven Wash Outs
1.
Leading into most weekends it will become apparent as to whether the likelihood of
either The Haven Oval will be closed due to the unsafe conditions. The draw should
then be checked to ascertain if there is opportunity to transfer the matches to
another ground. The most likely alternative is either Ettalong Oval or Woongarah
Oval due to both grounds having excellent drainage.
2.
At the earliest opportunity the CCJRU Competitions Manager is to be consulted to
try and transfer the matches.
Note: The once decision is made to cancel play on the Saturday morning, the games are
not allowed to be transferred to another Gosford City Council venue. The transfer must be
done prior to the day.
3.
Late Change Notification

Each week there may be changes to the draw due to wash- outs, forfeits.
The CCJRU will notify the nominated club person of the changes by email and phone
call. It is recommended the nominated person be aware to check emails and text
messages regularly from Thursday onwards.

Thursday to Saturday Morning.
Match Day Ground Set Up
1.
Unlock
The keys to unlock the facility are held by nominated persons in the club. Those people are
listed on the Key Register. On game day arrangements will be made for a key holder to be
present.
Location of Master Keys
Keys to access the Equipment Room, Flood Lights,
Dressing Sheds, Garbage Room, Switch Room and
Scrum Machine are kept in the key box as indicated
above the floodlight switch outside the Switch Room.

Timeline:
Unlocked 1hour & 15 minutes prior to commencement of first game.
2.
BBQ & Canteen
The first priority to set up the BBQ and Canteen so
they are ready to trade 30 minutes prior to
commencement of first game. BBQ is located in the
visitor’s dressing room
The BBQ is to be placed adjacent to the wall in
front of water tank, butting up to the end of the
wall with burner knobs on the tank side of the BBQ.
