DESCRIPTION OF REQUIREMENTS
1.
Introduction
The United Nations Institute for Training and Research (UNITAR) is seeking a qualified company to work on the
Institute’s 2016 Results Report. Qualified companies are invited to send their proposals, in line with the specific
requirements stated below.
2. Context
The United Nations Institute for Training and Research is a training arm of the United Nations. The Institute
provides training and learning solutions to all United Nations member states, covering the broad areas of concern on
the United Nations agenda. Each year, UNITAR organizes close to 500 learning and learning-related events,
benefiting more than 50,000 individuals and organizations around the world.
UNITAR is planning to issue its Results Report showcasing the Institute’s achievements during 2016. The report will
be printed and distributed to current and future donors, partners and other stakeholders.
3. Objectives
The objectives of the report are two folds:

To position UNITAR as a reliable and capable partner in training and capacity development field on
the topics related to the UN agenda;

To seek new donors and partners to extend the donor/partner base
4. Scope of work
UNITAR expects the company to work on the following:

Design concept – provide proposals on design concept which demonstrates innovative, credible and
professional image of the Institute, in line with the UNITAR Branding Guidelines;

Infographics – create infographics using the statistical data provided by UNITAR;

Design – based on the approved design concept, design the whole document;

Layout – layout the text and images provided by UNITAR, and the infographics mentioned above;

Finalize the report, submit a print-ready file and the source file to UNITAR.
5. Design concept of the Report
The Institute expects the Report to be informative, innovative, visually appealing, readable and convincing. The
Report should demonstrate the broad scope of work of the Institute, its innovative approach to training and capacity
development activities, its relevance to the UN agenda and its member states, its efficiency in delivering activities, and
its impact on beneficiaries and partners. The Report must also show the human side of the work of the Institute, not
only by numbers and statistics, but also stories from beneficiaries, partners, donors and/or employees.
6. Expected contents of the Report
The 2016 Results Report will follow a similar format as the 2015 Results Report (which can be found on the website: )
The expected contents of the Report are:
 Introduction

2016 beneficiaries and events statistics (narrative and infographics)

Achievements in 6 thematic areas (narrative and infographics)

Several case studies for each thematic area (narrative and images)

Financial results (narrative, tables and charts)

Contact information
The expected number of pages is between 40 and 50, depending on the format of the Report, and the number and the
size of each infographic.
7. Timeline
The final 2016 Results Report is expected to be printed and delivered in July-August 2017. Below is the preliminary
timeline for the design and production work:

May: design concept proposed and approved, all contents provided by UNITAR

June: infographics developed, design, layout completed

July: draft version submitted, revisions and corrections, final printable file provided

July-August: print and delivery
8. Cost
UNITAR requests qualified companies and graphic designers to submit a total cost estimate for the work with a
breakdown for:
1. design (concept, design, design refinement);
2. production (layout, revisions);
3. preparation of print ready file.

9. How to submit a proposal
Interested and qualified companies and individual graphic designers are invited to submit a proposal comprising of the
following:
 Company information (organizational chart, year of establishment, list of key clients, example of past
work, strength, CV of each staff who will work on the project, etc.,)
 Examples of infographics
 Confirmation of possibility of having a face-to-face meeting in UNITAR office in Geneva, at least one
time once the project is started
 Proposal on the approach
 Proposal on the cost (total cost estimate with a breakdown – see 8. Cost above)

Proposal”. Incomplete proposals and proposals received after the deadline will not be considered.

EOI INSTRUCTIONS
1. Registering as a Vendor with the United Nations
Vendors interested in fulfilling the requirement described above must be registered at the
United Nations Global Marketplace (http://www.ungm.org) with the UN Secretariat in
order to be eligible to participate in any solicitation. Information on the registration
process can be found at http://www.un.org/Depts/ptd.
Prerequisites for Eligibility
In order to be eligible for UN registration, you must declare that:
A. Your company (as well as any parent, subsidiary or affiliate companies) is not
listed in, or associated with a company or individual listed in:
1. The Compendium of United Nations Security Council
(http://www.un.org/sc/committees/list_compend.shtml), or
Sanctions
Lists
2. The IIC Oil for Food List website or, if listed on either, this has been disclosed
to the United Nations Procurement Division in writing.
B. Your company (as well as any parent, subsidiary or affiliate companies) is not
currently removed or suspended by the United Nations or any other UN
Organizations (including the World Bank);
C. Your company (as well as any parent, subsidiary or affiliate companies) is not
under formal investigation, nor have been sanctioned within the preceding three
(3) years, by any national authority of a United Nations Member State for
engaging or having engaged in proscribed practices, including but not limited to:
corruption, fraud, coercion, collusion, obstruction, or any other unethical practice.
D. Your company has not declared bankruptcy, are not involved in bankruptcy or
receivership proceedings, and there is no judgment or pending legal action
against your company that could impair your company’s operations in the
foreseeable future;
E. Your company does not employ, or anticipate employing, any person(s) who is, or
has been a UN staff member within the last year, if said UN staff member has or
had prior professional dealings with the Vendor in his/her capacity as UN staff
member within the last three years of service with the UN, in accordance with UN

F. Your company undertakes not to engage in proscribed practices (including but not
limited to: corruption, fraud, coercion, collusion, obstruction, or any other
unethical practice), with the UN or any other party, and to conduct business in a
manner that averts any financial, operational, reputational or other undue risk to

For Registered Vendors: Vendors already registered at the United Nations Global

Vendors must complete the registration process prior to the closing date of the REOI.
Vendors who have not completed the UNGM registration process with the UN Secretariat
before the closing date of the REOI are not considered eligible to participate in
solicitations of the UN Secretariat. We strongly recommend all companies to register at
least at Level 1 under the UN Secretariat prior to participating in any solicitations.
IMPORTANT NOTICE: Any false, incomplete or defective vendor registration may
result in the rejection of the application or cancellation of an already existing
registration.
