MANAGING JOBS
Managing and tracking job postings is a key function for
t h e S t a f f i n g C o o r d i n a t o r.
 The Primary Staffing Coordinator can access these tasks from the jobs open
link on the dashboard OR Manage jobs link from the Main Menu. Manage
jobs provides the Primary Staffing Coordinator with more functionality.
 Staffing Coordinator Backup 1 can only access postings from Manage jobs
from the Main Menu.
 Staffing Coordinator Backup 2 can only access postings from the jobs open
link on the dashboard.

MANAGING APPLICATIONS

there are a variety of methods to use:
 From the Job Card click View applications in the left corner of the screen
(access for all Staffing Coordinators).
 From the Manage Jobs screen click the number listed in the ‘Applications’
column (access for Primary Staffing Coordinator and Staffing Coordinator
Backup 1).
 From the Manage Jobs screen, click the Applications (blue person) button
(access for Primary Staffing Coordinator and Staffing Coordinator Backup 1).
 From the Main Menu, click the Manage Applications link (access for Primary
Staffing Coordinator and Staffing Coordinator Backup 1).

BULK ACTIONS
The Bulk Action function makes it easy to perform an
action on multiple applicants at once, such as:
 Status updates
 Compiling documents
 Communication

 Bulk Move – Used to change the Application status of multiple applicants all at
once.
 Bulk Send – Used to send Application materials to another user as separate
attachments.
 Bulk Move and Send – Used to change the Application status of multiple
applicants all at once and send application materials to another user in a single
email.
 Bulk Compile and Send – Used to compile documents of selected applicants
into a single PDF.
 Bulk Communicate – Used for communicating with applicants.
 Bulk Reference Check – This provides the option used to select the appropriate
reference check form and modify the email that will be sent to the referee
accordingly.
 Bulk Assign – Used to Assign Applications to any user in the system for review.
This may be used when seeking feedback about an applicant from another user.

APPLICANT STATUS CHANGES
Application statuses can be changed individually or using
bulk actions. Refrain from using bulk actions for the
following statuses, as information specific to that
applicant must be captured on an individual basis:
 Interview 1 Completed: Interview date must be entered
 Interview 2 Completed: Interview date must be entered
 Hire Recommendation: Triggers the Offer Card and Hiring Recommendation
for applicant
Disposition codes have been refined to specify why a
candidate was not progressed through the process.
Some examples are :
 Does not meet basic qualifications
 Interview not selected: more qualified candidate selected - certifications
CONFIRM STATUS CHANGE
The Confirm status change screen may contain important
information, which will be denoted by the triangle symbol.
 Pay close attention to these as they may provide reminders about necessary
approvals that need to take place prior to proceeding.
 This screen will also provide the user
with a variety of options, including communicating with
applicants and users. These options
will differ based on the type of
Application status selected.
REFERENCES
If references are not required at the time of
application submission, Staffing Coordinators have the
option to request reference contact information from
applicants later in the process. This can be done via
an application status change.

INTERVIEW APPROVALS
F o r F a c u l t y, A c a d e m i c S t a f f a n d E x e c u t i v e M a n a g e m e n t
positions, the applicant pool and interview list must be
approved prior to scheduling and conducting interviews.
Approvals must be obtained by:
 Chairperson and Dean
 Compliance Panel (I3)
Note: Chairperson and Dean approvals must be obtained first through new
Faculty and Academic Staff Finalist Interview List Approval Form and
uploaded to the Documents tab of the Job Card.
CREATE EVENTS
T h e E v e n t f u n c t i o n i n t h e AT S i s u s e d t o s c h e d u l e p h o n e
screens and interviews for applicants.
 The event must first be created and internal users will be added to the event
at this time.
 Once the event is created, applicants will then be invited to attend.
 Only a Primary Staffing Coordinator and Staffing Coordinator Backup 1 have
the ability to create events for the job.
MANAGE EVENTS

following three tabs:
 Calendar tab displays a calendar with all scheduled events by day.
 Events tab displays scheduled events by event title.
 Timeslots tab displays the events, the timeslots associated with those
events and detailed information about each timeslot.
Note: The owner of the event is the only one that can manage the event.
There is only one owner for each event.
APPLICANT RESPONSE
Up until 48 hours prior to the event, the applicant can
choose to:
 Decline the invitation
 Withdraw from a timeslot
 Change the scheduled timeslot (if other available timeslots remain)
Once an applicant accepts or declines, their application
status will automatically change to ‘accepted by
a p p l i c a n t ’ o r ‘d e c l i n e d b y a p p l i c a n t ’ a n d a l l S t a f f i n g
Coordinators will receive email notifications.

When an applicant is ready for hire, the status of the
applicant must be changed to Hire recommendation.
This status will trigger the Offer Card, where the
hiring recommendation will be completed.

 Once the hiring recommendation has been completed, the Offer Card
can be routed for up to five levels of approval.
 Approvals are sequential.
 Once an approver approves the Offer Card it will be automatically routed to
the next assigned approver.
 The approver will be notified via email that they have an Offer Card to
approve.
 Once all department approvals are complete, the Offer Card will
route to the HR Analyst listed in the approver slot.
 The HR Analyst must always be the final approver for Support Staff postings.
 The initiator of the hiring recommendation will receive an email
notification if the Offer Card has been approved or declined.
 The offer can be made to the candidate either verbally or via the ATS.

HR Analyst you are ready. Change the status to Offer - Submit online to

Portal.

OFFERS – FAS & EXECUTIVE MANAGEMENT
 For Faculty & Academic Staff and Executive Management, the Hiring
Recommendation is utilized simply to record the final hire and to initiate a
chain of events to activate the Onboarding Portal. The offer is not made
through the ATS, but the hire is required to acknowledge they have
accepted the offer.
 The final, signed Offer Letter must be uploaded to the Offer Card for the
sole purpose of initiating the Onboarding Portal.

Faculty & Academic Staff Postings:

Friday, February 17*: A list of postings actively open and accepting applicants and an
information-collection spreadsheet sent to MAU HR Reps to coordinate posting transfers to
PageUp. *Postings opened in COMPASS after Feb. 17 will be monitored and transferred.

Friday, March 10: Completed spreadsheets returned to HR.

Friday, March 31: Noon deadline for units to submit final posting requests for COMPASS.

Wednesday, April 5: Last day for MSU HR to post in COMPASS.

Thursday, April 6 to Tuesday, April 25: Emergency postings only.
Support Staff Postings:

