For a more detailed understanding of office policies and agent responsibilities, you MUST review the Agent Manual that is posted online at www.westusarevelation.com (look under Training—A Forms). This Orientation does not cover all areas that you are responsible for as an agent. Interoffice tools and systems 1. Copier – Our copier can be used for faxing, scanning, copying, and printing. a. Faxing – There is no charge for faxing. Just enter the phone number with area code (you need a 1 if it is long distance). b. Scanning- You can also scan documents to your email or a client’s email. You can even enter a subject line or a message to go with the email. There is no charge for scanning. c. Copying and printing – You need your Agent ID (on list by copier) and the last 5 digits of your social security number. We include 100 free copies and/or prints per month. Above 100, the cost is .05 per side. To print, choose the Cannon copier (or the IR-ADV 6075). You will see a pop-up box where you enter your codes. Be sure to CLEAR OUT your code when you are finished. See Heather if you would like the office printer driver installed on your laptop. 2. Incoming faxes- We HIGHLY recommend that you obtain an efax. This will allow incoming faxes to come directly to your computer. There are several options out there. A couple of the services are free if you have really low volume. Metro Fax is a good option for low monthly fees. However, if you choose to use our office fax to receive faxes, our procedure is that during normal office hours, these faxes will be sent to your email. We don’t recommend using our fax number for the weekends as there is no one available to send them to you and they only come in electronically. 3. Conference Rooms – In order to use the conference rooms, we highly recommend that you schedule your time in advance. You can make your reservation through the front desk (or for the larger conference room through Heather). If you are more than 10 minutes late for your reservation and another person needs the room, we will cancel your reservation. However, if you need the conference room right away and there is no 2 4. 5. 6. 7. 8. 9. reservation, just check in with the front desk, tell them how long you need the room and it’s yours! Phone calls that come in to the office for you will be transferred to your cell phones. Please make sure you update the office (by sending an email to [email protected]) if your phone number changes or if you will be out of town. Office hours are 8:30-5:00 Monday through Friday. For a one-time charge of $25, you can purchase a key fob for after-hours access. If interested in a key fob, contact Jacqueline Church ([email protected]). Do not lend out your fob as this is part of our security system. Billing – We post bills on or around the 25th of the month. Payments are due by the 1st and late after the 5th. Late fees will be assessed if your payment is not received on time. You can pay via check, cash, or credit card (www.westusarevelation.com under Company Info). We EMAIL your bill to you. If you have a closing AFTER bills are posted and BEFORE you pay your bill, your bill will come out of your commission. If you want to avoid this, you should pay your bill before the 25th. We will enter your name and contact information on our Meet our Agents section of the website. It is your responsibility to email your photo and your bio to [email protected] so we can upload it to the website (please don’t try to upload your photo yourself as there are specific dimensions required). Keep in mind that a client who is looking for an agent on our website will always pick an agent that has a photo and bio over someone who doesn’t. Getting Paid – It is your responsibility to get all of your required paperwork in to your Skyslope file prior to closing. As long as all of your requirements are met AND reviewed, you will get paid quickly. When we process your commission, we send you an email announcing whether or not your check has been released. If it is not released, get your pending requirements in and email [email protected] to let the broker know you have done so. Then give us a couple of days to process it. Once reviewed and processed a message will be sent both to you and the front desk to release the check. The front desk will not release your check without this email sent. You can sign your check out at the front desk. If a personal check is given for rental commissions or retainer fees, your check will be held for at least 5 business days while we give time for the personal check to clear. Open House signs—We have a limited number of Open House signs available for agents to borrow. Signs can only be checked out by agents who are on the 70/30 Split program. Signs can be checked out through Heather on a first-come, first-served basis no earlier than Thursday morning at 8:30 a.m. and are due back to the office no later than the 3 following Tuesday at 5:00 p.m. If not returned on time, there will be a late charge of $5 per sign per day. Agents may borrow up to 6 signs at a time. 10. Safety—If you are going out to show homes with a client you are not entirely comfortable with, please bring them by the office and introduce them to the front desk staff. Be prepared to give the front desk a copy of the MLS printouts of the addresses you will be going to, an approximate time of return, and ask the front desk to get a copy of the client’s driver’s license. This will be our signal to check up on you and make sure you are OK. If you get into a problem situation or sense you may be in danger while out with clients or at an open house, call the front desk and ask for the “Red Folder.” The front desk will get your location and call 911 for you. 11. Pre-listings—We encourage our agents to ask sellers to keep new listings exclusive to our office for a few days before going live on MLS (this agreement MUST be written into the listing contract under Additional Terms). If you would like to advertise a pre-listing, simply email the information (address, list price, property details, your contact information, and when it will be going on MLS) to [email protected] and Heather can send out a blast email for you. Opportunities to Help Build your Business 1. Rental leads-We send out many rental leads via email/text on a daily basis. If you are interested in working rental leads and would like to be included on our rental agents list, contact Mindy Shields ([email protected]). There is a $10 monthly fee for participation in this program. 2. Floor Time-This is a GREAT way to start building your business!!! You can sign up to work floor time through the front desk. You are required to take the Working Leads with Boomtown class (offered once a month) and your 3 new agent required classes before you can work floor time. 3. Seller Advantage Program- A division of agents specifically geared towards methods of prospecting for sellers and acquiring listings with specialized tools and systems to do so. For more information contact Danielle Fazio ([email protected] or 480-241-7177) 4. Lead Gen Center- The Lead Gen Center is a separate, one of a kind, facility. It is set up with stand up, private cubicles, where agents can go and make prospecting calls. Agents are supplied headsets and scripts in order to create an environment conducive to making great calls. There is also a training room at the Lead Gen Center where agents can hone their skills in prospecting calls. For more information, contact [email protected] . 4 Tools and Systems Crucial to Your Business 1. Paperwork – We want you to be comfortable with two aspects of our paperwork: KNOWING the paperwork and WORKING the paperwork during transactions. Let’s start with KNOWING the paperwork: a. In Arizona, Realtors have a HUGE responsibility and privilege in handling paperwork for our clients. We don’t require the use of a lawyer during a transaction. This places an enormous burden on Realtors. You must KNOW your paperwork and strive to ever improve in how to protect your clients with this paperwork. Here are some of the steps you must take to KNOW the paperwork: Read the paperwork. Just reading the various contracts and addendums several times will help you to get comfortable with the different forms. Take Paperwork 101 – All agents, new and experienced, need to take this class. We go over paperwork requirements specific to our office. This class is offered twice a month. You will receive weekly emails announcing upcoming classes. If you are a newer agent (less than 6 months in the business), you are REQUIRED to take our Agent Launch class. This is an 8-week “boot camp” that will get you up and running in the business. In the class you will receive assignments to prepare you to work with the systems and paperwork required of a Realtor. This class has been approved for 24 hours of CE credit if you complete all the sessions (3 hours credit per session). Here are some of the topics covered in the series: - Representing Buyers, Sellers, and Renters - Contract Writing - Managing the Inspection Period - Mortgage and Escrow 101 - 9 Ways to Lose Your License - Applying Fair Housing Laws READ the broker newsletter. This is sent out via email once per quarter. We often address paperwork issues in this medium. Attend the Quarterly Broker Panel Breakfasts. Now let’s talk about WORKING the paperwork for your transactions. Accessing paperwork – Your AAR forms for listings and contracts are obtained through Zipforms. Your Office forms are located online at www.westusarevelation.com. We call these A Forms. Electronic Signatures – We highly recommend utilizing electronic signatures in your business. This is a huge time saver and incorporates 5 well into our paperless systems. We offer electronic signatures at a discounted rate for an upgraded service and unlimited envelopes for $10 monthly. Please contact [email protected] to sign up. Take our Sky Slope class. Sky Slope is where you manage your transaction paperwork. The process for paperwork is as follows: Start your file in Sky Slope. Upload your initial paperwork within 5 calendar days of contract date (in the case of a listing, we go by the date the ER is signed NOT the date the listing goes active on MLS). Add paperwork throughout the transaction as you get it. Look for contract requirements from Broker Review. Keep in mind that you will get late fines if your contract paperwork is later than 5 days after contract acceptance or if you turn in your earnest money receipt late (no matter if you are on the buyer or seller side). It is your responsibility as an independent contractor to keep current and up to date with regards to how to run your business and market trends. We highly recommend regular attendance of continuing education.
