VENDOR EXHIBIT BOOTH RULES AND REGULATIONS

DEADLINE(S): Completed registration must be received no later than Tuesday, August 1, 2017*
*Late applications will be accepted based on space availability.
INDOOR SPACES: Booths are 8’ X 10’ and includes electricity, pipe & drape, Wi-Fi, table, 2 chairs, outdoor display,
meals and breaks for 2 people. (Spaces will be assigned on a first come, first serve registration)
OUTDOOR SPACES: A portion of the back parking lot will be designated for large static displays or equipment to be on
display. (If you have an inside booth you get an outside booth, if you get just an outside booth only its $200.)
SPACE FEE: Outside: $200 NO amenities but 2 meal tickets. INSIDE: $400 for the first space. $250 for every additional
space which includes all amenities, except additional meals. If your booth will require more than two meal tickets you
may purchase additional meal tickets for $30.00 per meal, per person, but must be purchased at least two weeks in
advance of the Conference. For your convenience and savings we will offer your business the option of registering each
person in the booth for the conference for $50.00 each which includes all the meals, breaks, evening catered banquet
and all access to General and Breakout sessions.
SET-UP:
Vendors will be able to setup on Monday, Aug. 14 after 2 pm. Tuesday, Aug. 15 from 8 - Noon.
Tear Down:
Start at noon Thurs, Aug. 17 and be done no later than 4 pm.
HOURS: Tues: noon - 9pm.
Weds: 8 - 5 Thursday: 8 - noon. New Vendor Hospitality night Tuesday Night.
Door prizes: Vendors are encouraged to bring door prizes for the drawing to be added to prizes provided by the
OEMA. The door prize drawings will begin on Thursday morning and will continue until conference closes later that day.
No Show Policy: All “no show” vendors will be billed for space reserved.
Meal and lunch speakers: Out of respect of the presentation of the meal and lunch speakers, you will not be able to
conduct vendor activity during those times. We are arranging to have refreshments served in the trade show area to
bring extra attention to the displays.
Thank you for considering our conference and we hope you will enjoy this annual event. For those of you that are new,
we sincerely hope that you will join us each year and will notify you as soon as dates and locations are determined for
next year’s conference. For our old friends, THANK YOU for your continued support and participation in the annual
OEMA Conference and Trade Show. Without your involvement, our conference would not be a success.

Vendor Hospitality Night
All new vendor hospitality night in the vendor hall Tuesday Night August 15, 2017
from 5pm-9pm. Light hors d' oeuvres will be served starting at 5:30 till they run
out. This time is for vendors to visit with conference attendees and be able to
speak to a big group. Door prizes can be given away. This is for us to show our
appreciation to our vendors that support us. Thank you guys for all you do!
