Information Booklet for New & Existing Players Season 2016/17 INFORMATION BOOKLET FOR NEW AND EXISTING PLAYERS – SEASON 2016/17 Our “Club”, Your “Club” • Within this information pack you will find everything you need to know about who we are and how as a club we do things • The club was established in 2013 • During season 2015/16 the club had 24 teams through age groups U7 to U16 • We are now becoming one of the biggest providers of organised football within West Essex and we are expanding the number of teams every year BARKINGSIDE YOUTH F.C. 2 INFORMATION BOOKLET FOR NEW AND EXISTING PLAYERS – SEASON 2016/17 Club Structure and Committee • The club is currently run through an elected committee who meet on a regular basis with team managers. • The committee feel that it is important to meet with Team Managers regularly as it is a good time to reflect on what they and their player’s parents think we are doing well and also areas where we could improve as a club. • The club has a fully operational “Constitution” (Club Rules) which we adhere to, and all Team Managers have voting rights on any issues within the club. BARKINGSIDE YOUTH F.C. 6 INFORMATION BOOKLET FOR NEW AND EXISTING PLAYERS – SEASON 2016/17 Continued Aims for 2016/17 Season • Existing Teams will continue and small changes in players may occur but only with the agreement of the existing Team Manager and the club should we deem it in the player’s best interest with regards to continued development. • The club want to continue to ensure that all players needs are met, and that they continue to enjoy their football • The club continue to seek parents who wish to run a team. The club will provide support and contributions towards FA Coaching Courses. BARKINGSIDE YOUTH F.C. 7 INFORMATION BOOKLET FOR NEW AND EXISTING PLAYERS – SEASON 2016/17 How does the club work? • All teams will be submitted to play in the Echo JFL. • The Echo JFL organise a schedule of fixtures starting September and normally finishes in March (sometimes later). • Outside and also during these months, Team Managers are able to organise friendly matches against other clubs to ensure the boys keep playing as much football as possible (the cost of friendly matches are not covered in the clubs annual subscription). • All home games will take place at the Met Police Club, Chigwell and away games will undertake some travelling but not huge distances (all clubs play within a 25 mile radius of Romford Town Hall). BARKINGSIDE YOUTH F.C. 8 INFORMATION BOOKLET FOR NEW AND EXISTING PLAYERS – SEASON 2016/17 How does the subscription work? • Club Subscription will be fully payable by defined dates before the start of the season. • This covers the cost of providing organised football for the members through affiliation fees, pitch costs, equipment, match kit etc… The cost of representing Barkingside Youth Football Club encompasses two different elements, “Playing and Training”, the club subscription covers the playing fees. • We feel that one cannot take place without the other, so at a recent Extraordinary General Meeting (EGM) the members voted to change our rules to the following; BARKINGSIDE YOUTH F.C. 9 INFORMATION BOOKLET FOR NEW AND EXISTING PLAYERS – SEASON 2016/17 Important Changes to Club Constitution • Training is compulsory in order to participate in any BYFC st st team (1 Sept to 31 May) – Excluding 11v11 teams. • The club reserves the right to move any player to another team if they continue to miss training unless previously agreed due to long term injury or illness. • Training fees for the season will be determined at the club’s AGM and are not subject to change unless agreed at a club EGM or AGM. Any member failing to pay monthly training fees will have their playing rights withdrawn until rectified. BARKINGSIDE YOUTH F.C. 10 INFORMATION BOOKLET FOR NEW AND EXISTING PLAYERS – SEASON 2016/17 Training Fees 2016/17 st • Between 1st September and 31 May, annually, the following fees must be paid to our training provider. • £22.00 per month payable on the first week of each month (standing order payments can be set up and are preferred) • This payment covers the cost of Saturday morning sessions only (Main Training Day, but this may switch to midweek if the club deems necessary). • June, July and August training remains optional and is payable weekly upon attendance (Pay as you Play). Please be aware that without the knowledge of guaranteed attendance the organisation of training may differ from what is delivered during the compulsory months. Aims and objectives The aims and objectives of the club will be: To offer coaching and competitive and non competitive opportunities in football. To promote the sport of football. To ensure a duty of care to all members of the club. To provide all its services in a way that is fair to everyone. To ensure that all present and future members receive fair and equal treatment. 2. Membership fees Membership fees will be set annually and determined at the Annual General Meeting. Fees will be paid by one off annual subscription or by separate arrangement agreed by the committee. 4. Committee members may not serve in the same position for more than three years. 5. The Management Committee will be convened by the Secretary of the club and held no less than 10 times per year. The quorum required for business to be agreed at Management Committee meetings will be: 4 The Management Committee will be responsible for adopting new policy, codes of conduct and rules that affect the organisation of the club. The Management Committee will have powers to appoint sub-committees as necessary and appoint advisers to the Management Committee as necessary to fulfil its business. The Management Committee will be responsible for disciplinary hearings of members who infringe the club rules/regulations/constitution. The Management Committee will be responsible for taking any action of suspension or discipline following such hearings. 6. Finance All club monies will be banked in an account held in the name of the club. The Club Treasurer will be responsible for the finances of the club. The financial year of the club will end on: 30th June.. A statement of annual accounts will be presented by the Treasurer at the Annual General Meeting. All funds received will be deposited into the clubs bank account within 1 week of receipt. Any cheques drawn against club funds should hold the signatures of the Treasurer plus one other officer and will be supported by paper or email invoices. BARKINGSIDE YOUTH F.C. 21 Club Treasurer: 27 The Greens Close, Loughton, Essex IG10 1QE Club Secretary: 29 Hillfoot Road, Romford, Essex RM5 3LR All training kit paid for and provided by the club shall remain the property of the club and will be returned by any member leaving within 7 days of notification of departure. All match kit provided by the club will remain the property of the club until all annual subs are fully paid by the member. 7. Annual general meetings Notice of the Annual General Meeting (AGM) will be given by the Club Secretary. Not less than 14 clear days’ notice to be given to all members. The AGM will receive a report from officers of the Management Committee and a statement of the accounts. Nominations for officers of the Management Committee will be sent to the Secretary prior to the AGM. Elections of officers are to take place at the AGM. All members have the right to vote at the AGM. The quorum for AGMs will be 6. The Management Committee has the right to call Extraordinary General Meetings (EGMs) outside the AGM. Procedures for EGMs will be the same as for the AGM. 8. Discipline and appeals All complaints regarding the behaviour of members should be submitted in writing to the Secretary. The Management Committee will meet to hear complaints within 14 days of a complaint being lodged. The committee has the power to take appropriate disciplinary action including the termination of membership and no refund of any payment made. BARKINGSIDE YOUTH F.C. 22 Club Treasurer: 27 The Greens Close, Loughton, Essex IG10 1QE Club Secretary: 29 Hillfoot Road, Romford, Essex RM5 3LR The outcome of a disciplinary hearing should be notified in writing to the person who lodged the complaint and the member against whom the complaint was made within 5 days of the hearing. There will be the right of appeal to the Management Committee following disciplinary action being announced. The committee should consider the appeal within 14 days of the Secretary receiving the appeal. 9. Dissolution A resolution to dissolve the club can only be passed at an AGM or EGM through a majority vote of the membership. In the event of dissolution, any assets of the club that remain will become the property of all members and will be distributed evenly across the members. 10.Amendments to the constitution The constitution will only be changed through agreement by majority vote at an AGM or EGM.
