South Burlington Farmers Market Policies and Procedures
GENERAL OPERATIONS AND FEES
1. The 2016 Market season begins June 5th and ends October 16th and will be held on every
Sunday from 10 AM to 2 PM. There will be a total of 20 Farmer Market days.
2. The fee for participating in 16 – 20 Market days is $300. 50% of the payment ($150) is due
by May 30th and the entire payment is due by July 1st.
3. For vendors who wish to participate in the Market but cannot commit to the entire
season, the following fee structures will apply:
a. The fee for 11 – 15 market days is $250, with $150 due by May 30th and the entire
payment due by July 1st.
b. The daily fee is $25 per Market day, and the payment is due at set-up.
4. All vendors who participate in the Market, regardless of frequency, are required to
comply with the Market procedures and policies. You must submit a 2016 Farmers Market
application even if you have previously been a vendor at the Market.
5. Vendor insurance certificates must be submitted with your initial payment by May 30 th.
Please do not submit your insurance certificate until you have been notified of acceptance
into the Market. Your current certificate / proof of liability insurance must list South
Burlington Farmers Market, 155 Dorset Street, South Burlington, VT 05403 as an
additionally insured location.
6. As part of the Vendor Application, you must sign and return the Liability Release Form
that has been included.
7. The Market is open from 10 AM until 2 PM. Vendors must be set-up and ready to sell by
9:45 AM, and must remain set-up for the entire Market duration. No selling will be
permitted on Market premises before or after Market hours.
8. The Market is a rain-or-shine event. All vendors who are accepted to participate in the
Market will be held to this expectation. Vendors will be permitted to break-down their

booth with permission of the Market Manager only in the cases of severe weather and
other extenuating circumstances.
9. Set-up begins at 8:45 AM. All vehicles must be moved from the market area by 9:45 AM.
10. Each vendor is required to have four (4) weights connected to their tent frame, or stakes
if the vendor is on grass, on every Market day. If you have questions about weights, please
contact the Market Manager.
11. Vendors who cannot attend a Market shall give notice no later than the Wednesday prior
to the Market day. If notice is not received by the end of the day on Wednesday, a $25
fee will be charged, which shall be paid before the start of the next Market that the
Vendor attends.
GUIDELINES FOR SELLING
12. Vendors shall sell only what they have listed on this applicant. If a vendor wishes to sell
an item not listed, the vendor must contact the Market Manager by the Wednesday
before the upcoming Market day.
13. Fresh produce vendors shall sell only what they have grown. Prepared foods vendors shall
sell only what they have produced themselves in an approved facility. Preference will be
given to prepared food vendors who are sourcing local and/or sustainable ingredients.
14. All vendors must have a sign clearly indicating their name and location (such as village,
town or city).
15. Vendors shall sell their products at reasonable market prices. Product dumping (selling
of product well below market value) and last hour sales (discounting products for the
final hour of selling) shall not be allowed.
16. Vendors will occupy only the space assigned to them. A vendor’s assigned space may
change from week to week. Only vendors who have demonstrated a need to park near
their booths may be given permission to park near their booths.

17. Each vendor will be responsible for the equipment and supplies for setting up their booth.
Booths and displays should be set up in a way that do not pose a hazard to Market
customers, volunteers and staff.
18. All vendors are responsible for leaving their space clean and trash-free at the end of each
Market. Vendor-generated trash must be taken by vendors and not deposited in public
trash receptacles at the Market.
19. The Market accepts EBT/DEBIT cards. Vendors may accept credit cards, but are strongly
encouraged to accept tokens for EBT/DEBIT. Vendors who accept tokens must display the
proper signage indicating such to patrons. Common Roots will provide proper signage and
send vendor payments in exchange for tokens within 7 days following each Market.
20. Common Roots reserves the right to limit vendor numbers in produce type, produce
growing methods, local products, and craft products, as well as to manage a waiting list
on a first-come, first-served basis.
COMPLIANCE
21. Smoking, drinking alcohol and the use of non-prescription and illegal drugs is prohibited
in and around the market.
22. Vendors shall comply with all rules and regulations of the State of Vermont and City of
South Burlington relating to the products they sell (including but not limited to State I.D.
Tax Number, sales tax, labeling, processing laws, scale calibration, and organic standards).
23. Vendors using scales must use legal-for-trade scales if selling by weight.
24. Unless otherwise stated, violations of Market policies will be handled in the following
manner:
a. First Violation: Verbal warning from Market Manager prior to the next Market.
b. Second Violation: Written warning from Market Manager prior to the next
Market.
c. Third Violation: Suspension from the Market for the remainder of season. Vendors
may also lose the privilege to sell at the Market in the future, as determined by

the Market Manager in conjunction with the Program Director and Board of
Common Roots.
25. All complaints regarding Market operations, staff, volunteers, customers or vendors must
be submitted in writing after the Market closes, unless the complaint relates to a
potentially hazardous or dangerous situation, which should be reported to the Market
Manager as soon as possible.
26. Complaints against another vendor must be accompanied by a $25 check. The Market
Manager will then conduct an investigation into the matter. If the complaint is found to
be valid, the $25 check will be returned to the vendor and appropriate action will be taken
against the vendor in violation of these policies and procedures. If a vendor’s complaint
is determined to be invalid, the $25 check will be deposited in the Market’s general funds
and a written explanation will be delivered to the vendor.
27. All other complaints will be addressed by the Market Manager and/or the Common Roots
Board. The Market Manager will deliver a written response to the vendor within 14 days
of receiving the complaint.
28. If accepted into the Market, this document will serve as the Vendor Contract.

insurance does not cover product liability for individual vendors or liability for personal damages
caused by your market display.
