User Guide Introduction Navigation Navigation through the UCAS Application Management System is through a series of menu forms. The Main Menu When the application is started the Head of Year is presented with the main menu, Error! Reference source not found., it is from here that the users navigates, by use of a mouse, through the system, choosing either the forms button or the reports button to navigate to these sub-menus or quit the application. Figure 1 The Main Menu The Forms Menu The Forms menu offers the user a choice of forms to view, Figure 2 The Forms Menu, these are: Application Form Courses Form Deadlines Form Offers Form Personal Statements Personal Tutor Form Students Form Universities Form The selection is made by clicking, with a mouse, the desired choice. This menu shows all of the forms available to the user. Figure 2 The Forms Menu The Reports Menu The Reports menu offers the user a choice of reports to view and then print, Figure 3 The Reports Menu, These are: Application Report Courses Report Deadlines Report Personal Statements Personal Statements NOT Made Personal Tutors Report Universities Report Printing a report is done via either the keyboard combination of ctrl + P or from the Office icon on the top left of the screen, see Figure 4 The Print Command. Figure 3 The Reports Menu Figure 4 The Print Command Form Record Navigation Navigation on the forms is done via the forms footer navigation bar, Figure 5 Form Record Navigation Bar. Figure 5 Form Record Navigation Bar This navigation bar has all of the controls for record navigation: First Record, moves the form view to the first record in the table Previous Record, moves the form view to the previous record in the table Next Record, moves the form view to the next record in the table Last Record, moves the form view to the last record in the table Delete Record, deletes the currently viewed record from the database Add New Record, creates a new record at the end of the table Close Form, closes the form The record navigation is common to all of the forms to provide a consistent user interface. Forms This is where all of the data entry into the system happens and is the primary user interface. It is reached by choosing forms from the main menu; see Figure 1 The Main Menu. It is from here that the user makes selection choices for the activities that they wish to carry out. Application Form This form is where the details of applications made are stored. It comprises of a number of field and drop down selection boxes, see Figure 6 The Application Form. The user enters an Application ID, the Application Date, details and notes for an application and then chooses from the drop box the course that they wish to apply for, see Figure 7 The Application Form Course ID Drop Down Box. The next selection is the Deadline ID, see Figure 8 The Applications Form Deadline ID drop Down Box; and, finally the Student ID, see Figure 9 The Application Form Student ID Drop Down Box.
