When you are finished reading this guide, please sign the last page stating that you have read and understand the expectations of being a member of Long Island Volleyball Club (LIVBC). This form must be signed by both a parent and the player before the player can participate in any club activity. I. Mission Statement Long Island Volleyball Club was formed in November of 2000 as a 501(c) 3 organization, by parents and coaches in order to bring a higher level of play to boys of Long Island. We offer teams for players aged twelve to eighteen who are serious about the sport of volleyball and wish to take their abilities to the next level. Our coaches provide training beyond the scholastic level and the tournaments we attend will give the athletes national exposure. II. Club Organization Boys Division: The boys division offers both travel and Local programs for boys 12-18. Travel Players practice 2-3 times per week; once on a weekend and once 2 times during the week. Local Players practice twice per week. The season for all teams starts mid-November to early December. The National teams’ season ends after Junior Nationals, which is held the first week of July. The season for Regional teams ends after East Coast Championships in Richmond, Virginia which is held on Memorial Day weekend. The Local team will start in December and end by the end of March. It is possible to have more than one National or Regional team in an age group. All tournaments are held on weekends…players do not need to miss any school. National Team: Players must attend all tournaments and the Junior National Championships. Two of the tournaments require plane travel. Junior Nationals this year will be held in Houston,Tx. Regional Team: Players must attend all tournaments, but Junior Nationals is optional. Two of the tournaments require plane travel…the rest are all drivable. Boys Local Team: The Boys Local program is designed for those players who are not yet ready to play on a travel team, or who are unable to commit to the travel team schedule. Approximately 2 to 3 Local Tournaments played on Long Island during the months of Jan, Feb &/or March. III. COACHES – TEAM SELECTION – PLAYING TIME Coaching Requirements LIVBC coaches are required to attain a CAP I certification from U.S. A. Volleyball within 2 years of working with LIVBC. The CAP series is an intense 3-day program taught by a cadre of the top college volleyball coaches in the nation. The program centers on individual skill development and team strategies. In order to maintain CAP certification, coaches must continue their volleyball education by taking and passing online workshops that deal with all different aspects of the game. In addition, LIVBC coaches meet during the season on a regular basis to discuss the implementation of the latest workshops and the progress of individual teams. 1 Team Selection Teams are selected by the coaches based on ability and attitude. The position that an athlete plays on his high school volleyball team may not be the position he is asked to play on an LIVBC team. The needs of the team always come first. We will field as many teams as we can in each age group provided we feel they can be competitive. IV. FINANCIAL & COMMITMENT REQUIREMENTS Tuition: Please see the tuition Addendum to this document which details tuition for the current season. What is covered: National & Regional Teams: Two (2) uniforms, warm-up suit (except for 14’s and under) and a volleyball for every player, gym space, coaches’ fees, liability insurance, equipment, operating expenses, tournament entry fees and overnight player lodging. Local Team – Two (2) jerseys and (1) pair of shorts, a volleyball for every player, gym space, coaches’ fees, liability insurance, equipment, operating expenses, tournament entry fees. What is not covered: Food and travel expenses for players to and from and during tournaments. Please note that whenever we travel, we try to stay at hotels where breakfast is included. GEVA Commitment Policy: Clubs are independent businesses and in an effort to balance the needs of what are best for players and their families with those of the clubs and its members, GEVA has adopted the following policies: GEVA will only sanction Boy’s tryouts on or after September 1st to allow for an equal playing field while not affecting the academic volleyball season. Junior clubs may hold their tryouts at any time during the Recruiting season, but if before the approved sanctioning dates they are not covered by USAV insurance nor are any commitments recognized as binding by GEVA. Offers for spots on a team will often be made during or following these tryouts. The GEVA policy in relation to offers and binding commitments, for the season, is as follows: 1. Clubs may make offers at any time based on any criteria of their choosing; but, offers must be made for a spot on a specific team. 2. Club Directors should not put undue pressure on families to make a commitment. Threats of not finding a place to play, excessive phone calls, disparaging other clubs, and promises of college scholarships are just a few examples of inappropriate pressure. 3. Offers may be written or in a digital form or posted on a website as long as an unambiguous dated offer can be produced if questioned. Once an offer is made, it MUST be valid for at least 3 days (3+1 rule.) 4. Valid signings may take place at any time, but are only recognized as valid by GEVA after the completion of the third full day of offer period (i.e. a November 3rd offer needs to remain valid until Nov 7.) The offer may be signed prior to that date, but will not be considered binding by GEVA until Nov 7th. Acceptance of an offer must be in writing or via dated verifiable electronic means, with a signature from an adult parent or guardian. In addition, clubs must collect this signed GEVA Recruiting and Commitment Policy and keep them on file. 5. An acceptance of an offer is considered to be a binding GEVA commitment upon: a. Receipt by the offering Registered Active club of 1) a signed and dated offer letter, 2) a signed and dated GEVA Recruiting and Commitment Policy. b. Payment of any portion of the club season fees (not to include the tryout fee) c. The current date (for Boys) is on or after September 18th d. Rules 1 through 5 are satisfied. JUNIOR COMMITTEE WILL ASSESS PEN ALTIES FOR VIOLATING ANY OF THE ABOVE RULES. WITH UP TO A $500 SANCTION and POSSIBLE SUSPENSION. VIOLATIONS OF THE ABOVE CODE MUST BE FILED by the later of Dec 5 or 14 days after accepting an offer. 2 Please remember that once you have made a binding commitment to a club, you are committed to them for the season. They have reserved a spot on a team (possibly turning away another athlete) and you have committed to meeting your obligations per the club’s offer letter. Failure to meet a contractually obligated financial commitment to a club will mean that you can’t register to play for any USAV club the following season(s). Once you and your parents have made a binding commitment to play with a club, as described above, you are not allowed to attend tryouts at any other club. Refunds: There are NO REFUNDS unless a player sustains a season-ending injury and presents a doctor’s note to that effect. A season-ending injury is defined as any injury that prevents a player from playing any sport, including school sports, for the rest of the LIVBC club season. Refunds will be pro-rated minus a $75 administration fee. Additionally, there will be no individual/team refund if a team that is attending Junior Nationals reneges on their commitment to attend. Playing Time: Playing time is NOT guaranteed at tournaments. It is earned through the player’s effort, development and attendance at practice. The coach makes all decisions regarding playing time and team strategy. Please be supportive of his/her decisions. V. PLAYER RESPONSIBILITIES 1. Attendance at practice. Practice is where you will receive the most training and experience. Playing time at tournaments will be affected by your attendance and effort at practice. If you cannot attend practice, you must inform your coach and/or team parent. Once at practice you will be asked to help set up the nets and break them down at the end of practice. It is critically important that all equipment used at the schools we practice in is handled carefully and put away neatly and exactly as found. 2. Attendance at tournaments. You are expected to attend all tournaments. Do not make any plans to sightsee or visit friends and/or relatives during the tournament. Your coach will control your schedule during the tournament. Make sure that you do not leave the hotel or the tournament site unless your coach and/or team parent is told where you are going and who you are with. Please make sure that you bring both uniforms and your volleyball to all tournaments. Your uniform includes your warm-up suit! We must be notified immediately if you lose any part of your uniform. If you lose your volleyball, you can purchase another one from the club for $50. If you replace it on your own, boys must purchase a Molten 5000-NCAA. 3. Behavior at tournaments. You must remember that when you are in uniform you are representing LIVBC. We expect you to demonstrate responsibility, sportsmanship and respect to yourself, your team, your opponents, referees, parents and directors. The club has a zero-tolerance policy. Players caught drinking, using drugs, stealing or damaging any property at the hotel or tournament site will be removed from the team and sent home at their parent’s expense. The cost of damages will be the sole responsibility of the responsible player(s). Players are also not permitted to have fireworks or any weapons in their possession. The club reserves the right for a director to search any player’s luggage or hotel room during a tournament. Players must observe the club curfew…10:30pm in your room…lights out at 11:00pm. Players are NOT permitted to change rooms (including staying with a parent) without permission from a director. Players may NOT have persons of the opposite sex in their room at any time. All socializing must be done in the lobby or a public area in the hotel. 3 All players must report to their work assignments on time. Failure to report on time can cost the team points in their next scheduled match. All players must remain at the tournament site until the team’s last work assignment is complete. 4. Attendance at clinics. It is a GEVA requirement that each team have a significant number of certified scorekeepers and R2 officials. LIVBC will schedule clinics to certify teams. If you are chosen by your coach to attend the clinic, you are required to go. 5. Website. The LIVBC website, www.livbc.com, is your main source of information. All players are required to go on the website every day to check for any new postings that could affect their team. It is very important that you check the website before you leave for practice to make sure there have not been any last minute cancellations. 6. Issues with your coach. If you have an issue with your coach regarding playing time, or any other team issue, please discuss it directly with your coach. Make sure you set up a time in advance so that this discussion will not interfere with practice time. If you are not satisfied with the results of your discussion, your parent may set up a meeting with the coach. Please note that both coaches and parents have the right to have a director present at any meeting. VI. PARENT RESPONSIBILITIES 1. Prompt Tuition Payments. You must pay your fees on time. Players will not be allowed to practice or participate in tournaments unless their fees are up to date. 2. Make sure your son/daughter arrives at practice on time. Coaches have set up practice plans that are easily disrupted if players do not arrive on time. 3. Be at team fan. We hope that you will cheer in a positive manner and recognize the accomplishments and efforts of every player on the team, not just your own son or daughter. Please do not criticize other parents, players, coaches or officials at practices or tournaments. 4. Support our zero-tolerance policy. Please make sure that your child understands that any unruly or unlawful behavior may result in his/her being dismissed from the club without a refund. In addition, you will be personally liable for any damages to person or property that results from your child’s behavior. 5. Do not make any plans during tournaments. When your son or daughter arrives at the hotel or the tournament site, they come under the jurisdiction of LIVBC. Please do not make any plans for them for the remainder of the weekend. Your coach will schedule a pre-tournament meeting at the hotel on Friday evening or Saturday morning depending upon your playing schedule. Many coaches also schedule a team dinner on Saturday evening. Your team parent will fill you in on all the details. 6. Attend any parent meetings that are held during the season. If a parent meeting is held during the club season, and you cannot attend, it is your responsibility to find out all the details of what was discussed. Lack of knowledge of issues discussed at these meetings or posted on the website will not be an excuse for non-compliance. 7. Check the website. Please make sure you check the website every day for the latest information on practices and travel tournament information. 8. Understand our “playing time” policy. Understand that playing time is not guaranteed for any player on a travel team. The needs of the team come first. Your coach is the final authority on playing time. If your child has an issue with the amount of time he/she is on the court, then please encourage him/her to speak directly to the coach. Make sure they set up a time either before or after practice to discuss their 4 concerns. If they are not satisfied with the discussion, feel free to contact the coach to set up a meeting. Both the coach and you as a parent, have the right to ask that a club director be present for the meeting. 9. Explain the value of the “2” team. Many players feel slighted when they are put on a “2” team. It is important to understand that if they are the 3rd outside hitter on the “1” team, they will never be on the court when the game is on the line. However, on the “2” team, they would probably be the first outside hitter and would definitely be on the court at set or match point. They need to experience this type of pressure to handle the big games and be able to move to the next level. Your encouragement and support will go a long way to helping them understand. VII. TRAVEL TOURNAMENT PROCEDURES 1. The Club will book a block of rooms. LIVBC will negotiate a rate for the club and will block a group of rooms for players and parents. The club will book all the rooms for the players. Players stay in a team room of 4 players per room. Players cannot change their room assignments without the prior approval of a director. All information about the hotel will be posted on the website, including the time you must arrive and the earliest you can depart at the end of the tournament. This is critically important…you cannot make plans to leave before the tournament is over. Parents can call and reserve a room from the LIVBC block and hold it with a credit card. Please make sure you call within the time frame posted on the website. After the cutoff date we cannot guarantee the same rate or that you can even get a room. If you find you need to cancel your room, please call your team parent BEFORE you cancel it…the club might need it for another parent. 2. The Club will NOT book plane tickets. You are responsible for booking plane tickets for you and your son/daughter. We will publish the flights the directors and coaches will be on. Players travelling alone, MUST be booked on one of these flights so we can make arrangements to get them to the hotel. 3. The Club will book rental cars. When we travel to a tournament by plane, if it is necessary to rent cars to transport players to and from the tournament site, there will be an additional fee that will be assessed when we ascertain how many rental cars are needed. Also, when attending a tournament that requires travel by plane, if a player is traveling without parents, the team parent must be notified immediately so arrangements can be made for directors and/or coaches to drive the player when he arrives in the tournament city. If parents are travelling with their child, we expect that you will rent a car for you and your child. Most parents reduce the cost by sharing with another family on the team. Do not plan to drive with a family from another team. One team could finish at 10am on Sunday and the other at might not finish till 5pm. 4. When we drive to a tournament. If you do not attend a driving tournament with your child, please make arrangements to have him drive with another family. It is expected that you will help with the gas and toll money for the family that is driving. It is imperative that you let your Team Parent know exactly how your child will be getting to the tournament. 5. No one leaves until our work obligations are finished. When you are eliminated from a tournament, the team normally has to work one more game. It is LIVBC policy that the entire team must stay until our work obligation is finished. 5 Addendum B – Boys Club Costs 2013-2014 Boys Regional Teams’ Tuition will be $2,500.00. Boys National Teams’ Tuition will be $2,925.00, which includes the Junior Nationals Fee of $425. Local Teams’ Tuition will be $950.00. Club tuition is payable by personal check, bank check or money order payable to LIVBC. Cash payments are accepted, but not preferred. We will be accepting credit cards in payment for tuition. We accept Visa, Master Card, & Discover. A deposit of $100 is due when a player accepts our offer to play for a specific team on LIVBC. If paying the tuition in full at registration, there will be a 3% discount. If choosing to pay in Installments: A deposit of $100 is due when a player accepts our offer to play for a specific team on LIVBC. The first payment is due when your son registers. Date TBA Second payment is due by Monday, December 16, 2013. Third payment is due by Monday, January 13, 2014. (See Chart Below) Families with two or more children in the club will receive a 5% discount per player. If full payment is made at registration, there will be an additional 3% discount per player. (See Chart Below) Boys Local Teams pay $950.00. A deposit of $100 is due when a player accepts our offer to play for a specific team on LIVBC. The first payment is due when your son registers. Date TBA Second payment is due by Monday, December 16, 2013. Third payment is due by Monday, January 13, 2014. (See Chart Below) If full payment is made at registration, parents will receive an additional 3% discount per player. There are no discounts for families with multiple children playing on the Local team. Payments must be mailed to Kathy Sturges at 8 Eton Road, Farmingville, NY 11738. Payment must be mailed early enough to arrive by the due date. If payment is not made by the due date, a $25 late fee will be charged. Registration location and times will be announced on the LIVBC website under Daily Updates. Please notify us immediately if you have a conflict when the registration dates are announced. We hold a Middle School tournament scheduled for Sunday in March 9, 2014. Location TBA. All families of all LIVBC players including the local team will be to donate $10 15 and work the concession stand the day of the tournament. All players are required to work at the tournament.
