How to plan Tailgate Canning
Event: Tailgate Canning
Description: Its football season which means endless numbers of alumni, parents and students
tailgating before the big game. This is an opportunity to spread the word about Timmy Global Health
and fundraise by asking for donations. The event requires a little bit of planning, five hours on game
day, and all the Timmy student volunteers possible.
Timmy Chapter Success: Fall of 2013 was the first time the IU chapter held tailgate canning at football
games. There were five home games, but one was cancelled due to bad weather. From the four
games we raised $3,987.38. If you have any questions or concerns, please contact the IU Chapter at

Time to plan: 2 weeks to obtain necessary supplies (stickers, buckets, labels, etc.) before the first game.
However, the following games should only require asking for volunteers at a fundraising meeting or
through email.
Cost of fundraiser: $0-$100 (cost depends on number of stickers, buckets, etc.)
Timeline:
Two weeks before first game:
 Design and order stickers to hand out to individuals who donated. This will ensure that the later
shift volunteers won’t ask the same people who already donated. Our stickers simply stated “I
SUPPORT TIMMY GLOBAL HEALTH” around the Timmy hand (pictured below.)
 Purchase 6-10 buckets which will hold the donations throughout the day.
 Ask a general member to design a label to be put on the buckets. The labels can be simply
“Timmy Global Health” or even contain pictures from the yearly trip.
IU TIP: Hand out stickers to the individuals who donated, so other volunteers won’t ask the
same people.
One week before game:
 Find out when the game begins and plan to start four hours prior.
 Organize two-hour shifts and ask for volunteers to sign-up using a Google doc.
Three days prior:
 Send out an email reminding the volunteers of their shifts and any details including meeting spot
and weather for the day. We canned in all-weather except for thunderstorms.
 Print off maps of the tailgate area. Highlight a section for each group to circulate for the shift.
 Write and make copies of Timmy talking points for the volunteers who do not have experience
with Timmy or know how to approach potential donors. It should be a brief paragraph
explaining the important parts of the school’s chapter.
Game Day:



Gather all supplies and greet the volunteers with an exciting welcome.
Break-up into pairs or small groups to cover the desired areas and state a returning place and
time.
At the end of the shifts, record the total profits and report funds to the committee at the next
fundraising meeting.
Tips & Tricks:
1. Always have at least two individuals in a group, no one should be walking around by
themselves!
2. The best combo is two females or one male and one female, don’t allow two males to go
together—parents tend to think they are up to no good! 
