The Criteria window assists you in finding the purchase order you want to know more about. You enter any known criteria and click Refresh to display a list of purchase orders matching that criteria on the PO List tab. You can then locate the purchase order number, select it, and access any of the other tabs to review more detailed information. You can also use the Criteria window to determine the number of purchase orders placed for a specific vendor or product through specific date ranges. Note that there are a number of enterable fields as well as selection fields. The more criteria you enter and select, the fewer purchase orders will display; however, you must be careful not to enter too many ranges or you may end up with no purchase orders displayed. To clear all the fields on this window and start over, click Clear Fields. A lookup is available for you to search for existing purchase order numbers. If you know the purchase order number you would like to view and need to see all of the back orders that have been closed or may still be open, you may click the lookup button and enter the purchase order number in the ‘PO#’ box and select ‘All’ under the ---PO Stage--- area. When you press ENTER, the purchase orders will be displayed. You also have the option of viewing by vendor number. Use this window to view the purchase orders that fit the criteria entered on the Criteria tab. You use the Criteria window when you do not know the purchase order number you want to inquire on. After you enter the desired information on the Criteria window, click Refresh to access and populate the PO List window. Once you have the list of purchase orders that fit the criteria, scroll through the list and select the purchase order you want to examine. While the other tabs in this inquiry might provide more specific information about the purchase order, be sure not to discount the vast amount of information you can obtain on this window by scrolling to the right to view all the columns. When you find the purchase order, double-click the line to load that purchase order number in the PO # field in the banner. With the purchase order number in the banner, you can access any of the tabs in this inquiry to view information about the purchase order. This window displays the information on the purchase order header in PO Entry Transactions. The Header window contains all the necessary customer information from the AP Setup Vendors record. The information on the Header window must be set up and entered correctly for the purchase order to be processed properly. On this window you have the option to view additional information by clicking Additional Info. When you click Additional Info, a window displays the ship to and bill to locations on the purchase order. If the purchase order is a Direct Order (DO), the Order Entry customer’s phone number and ship to location display. The Line Detail window displays the line items for the purchase order you selected on the PO List tab or entered in the PO # field in the banner. This option is available if the line item you selected is tied to an order or warehouse transfer The Ties window displays all the tie information for the selected line. You can view the order number or transfer number that the purchase order is tied to, as well as the exact line number the order is tied to. Click View Ties to view the OE Order Inquiry screen or WT inquiry screen. This window will display detailed information about the sales order or warehouse transfer that was/is tied to this purchase order. Extended The Extended window displays additional information about the line item. You see information about the quantities of the line item ordered, received, and costed. You also see dimensions of the product. Nonstock This option is available if the product you selected is a nonstock product. The Nonstock window displays information about the nonstock product, such as the description, cost, and size. The information displayed here is the same information you enter on the Nonstock window in PO Entry Transactions. Ties This option is available if the line item you selected is tied to an order, warehouse transfer, or fabrication order. The Ties window displays all the tie information for this line’s purchase order. You can view the order, transfer, or fabrication order the purchase order is tied to, as well as the exact line number the order is tied to. The tie information that displays is the same information you enter on the Tie window in PO Entry Transactions. Click View Ties to view the OE Order Inquiry window. This window will display detailed information about the sales order that was tied to this purchase order. Serial/Lot This option is available if the product you selected is a serial or lot product. The Serial/Lot window displays the serial or lot numbers for this product, as they were assigned in PO Entry Receipt of Inventory. Line History The Line History information is most beneficial for purchase orders with back ordered line items. You can display one line item from an order at a time. The history for that line displays and indicates the number of back orders or releases created due to the line and the status of each back order or release. At a quick glance, you can tell the status of the product ordered and whether it has been received or costed. Limited information from the purchase order header and line display. The Totals window displays information about the purchase order’s discounts, add-ons, add-on capitalization flag setting, totals, and important dates. This window allows you to view the history for the purchase order number and suffix entered in the banner. This is a comprehensive review of the purchase order, including stage, costing, shipping, and payment information.
