Call Forwarding Page 1 of 10 document1 Section 1: Overview of Buttons Page 2 of 10 document1 Section 2: Initial Setup for First Time Users: Prior to using your Cisco IP Phone for the first time, you must complete the following steps to initialize the phone and to secure access to it. Step 1: Set up your Voice Mail This step involves setting up your personal Voice Mail password and your greeting. You can complete this step at a later time; however it is recommended that you complete it as part of the initial set-up. Important: Prior to completing this step, think of a Voice Mail password that you will be able to remember easily. 1. Press the MESSAGES button. 2. Enter the default password of 134679#. 3. Important: Until you personalize your password, anyone can access your mailbox by using the default password. 4. To change your set-up options, press 4. Select Option 1 (Greetings) to record your personal greeting. Select Option 3 (Personal Settings) to change your Voice Mail password. Additional options and information regarding accessing Voice Mail, is reviewed in Section 8 of this User Guide. The CBU recommended greeting is: Thank you for calling CBU-Location name, you’ve reached <your name>, please leave a message and I will call you back as soon as possible. Thank you. Section 3: How to Use the Handset and Speakerphone You can place and answer calls with the handset, speakerphone, or a headset according to your job role. These sections describe their use and how to adjust the volume of the call. Using the Handset To place and answer calls with the handset, simply lift the handset. To change from handset to speakerphone, press the SPEAKER button and hang up the handset. Using the Speakerphone To place and answer calls using the speakerphone, press the SPEAKER button. To change from speakerphone to handset, lift the handset. 1. To increase or decrease the volume, press the (+) or (-) indicators on the volume bar. The volume buttons adjust the volume for the currently active voice receiver. Page 3 of 10 document1 2. To save the volume setting for future calls, press the Save soft key. Section 4: Customizing Phone Settings You can change various settings on your Cisco IP Phone 7965/7975 to ensure that the ringer volume, ring sound, and LCD contrast are set appropriately for you. Adjusting the Ringer Volume 1. Press the Volume key to hear a sample ring. 2. While the ring plays, press the (+) or (-) on the volume key to adjust the volume to the desired level. 3. To save the ring volume setting, press the SETTINGS the Save soft key. Select User Preferences Select Rings Press the Select soft key. Scroll through the list of ring types. Press the Play soft key to hear the selected ring type. Highlight the desired ring tone; press Select and then press the OK soft key. Press the Save soft key to save your selection and exit the Settings menu. Note: When selecting a ring tone, please be considerate of those who sit near you. Section 5: Managing Telephone Calls Placing a Call You can place a call with the Cisco IP Phone 7965/7975 in any of the following ways: Outgoing calls: Lift the handset and dial 9, then the number. Press a line button and dial 9, then the number. Press the NewCall soft key and dial 9, then the number. To use the speakerphone, press SPEAKER and dial 9, then the number. You can press 8, then key in the number. Press the Dial soft key to place a call before the number has been completely dialed, if a mistake has been made, press the « soft key to backspace. FOR EMERGENCY CALLS DIAL “9911” IMPORTANT NOTE: If 9911 is dialed accidentally, stay with dispatch personnel on the line to report that there is no emergency. Internal calls: For All Extensions: Dial the 4 digit extension. Answering a Call You can answer a call using the handset, or speakerphone. To use the handset, lift the handset. To use the speakerphone, press the Answer soft key or the SPEAKER button. Ending a Call If using the handset, hang up the handset. If using the headset, press the EndCall soft key. This method also works for all speaker modes. If using the speakerphone, press SPEAKER. Page 5 of 10 document1 Muting a Call While on a call, you can mute the handset, headset, or speakerphone, preventing the party you are speaking to from hearing what you or someone else in the room is saying. To mute a call, press MUTE (microphone with bar thru it). To disengage mute, press MUTE again. The Mute button does beep when pressed; the caller cannot hear this beep tone. Placing a Call on Hold While on a call, you can place the call on hold, so that the caller cannot hear you and you cannot hear the caller. You can answer other calls while a call. To place a call on hold, press the Hold soft key, the caller will hear the hold music or message. To return to the call, press the Resume soft key. If multiple calls are on hold, use the scroll key to select the desired call before you press Resume. If multiple calls on multiple lines are on hold, press the line button for the line to which you want to switch and use the scroll keys to select the desired call before you press Resume. When answering a call while on an existing call, simply press the line with the incoming call. The existing call is automatically placed on hold. You don’t need to press the Hold soft key to pick up another call. Transferring a Call To transfer a call to another phone: 1. Press the Trnsfer soft key. This places the call on hold. 2. Dial the number to which you want to transfer the call. When it rings on the other end, press Trnsfer again, or when the party answers, announce the call and then press Trnsfer. Then hang up the phone. 3. If the party refuses the call, press the End soft key, then press the Resume soft key to return to the caller. Page 6 of 10 document1 To transfer a call directly to Voice Mail To transfer a call directly to an individual’s voice mail: Press the Trnsfer soft key, then press the * (asterisk) button followed by the 4 digit extension, followed immediately by the Trnsfer soft key. To Redial the Last Number Dialed To redial the most recently dialed number, lift the handset and press the Redial soft key. Alternatively, you can simply press Redial to activate the speakerphone or headset. Section 6: Using the Directory The Cisco IP Phone 7965/7975 keeps a history of all calls you make and receive, including the caller ID, time, and date of the call similar to a cellular phone. You can use this information to redial a party. Viewing or Dialing Received, Missed, or Placed Calls 1. Press the DIRECTORIES button. 2. Use the scroll key to select the desired call history option: Missed Calls, Received Calls, Placed Calls, or Corporate Directory. 3. Press the Select soft key to display the appropriate selection. 4. If desired, click the Dial soft key to speed dial a number from the received or missed call list. NOTE: You might need to use the EditDial soft key to add digits to the front of the number. For example, if the call was from an outside, long-distance caller, you might need to add the digits "91" to the front of the number. e.g., if the call came from the 212 area code, it might be necessary to add an 9 and 1 to the front of the number. 5. Press the Exit soft key twice to exit the Directory menu. Section 7: Making Conference Calls Placing a Conference Call To turn a call into a conference call 1. During a call, press the Confrn soft key. This will automatically select a new line and place the other party on hold. 2. Place a call to another number. 3. When the call connects, press Confrn again to add this party to the conference call. To join a call to a Conference: 1. During a call between two parties a second call comes into one of the parties and they 2. 3. 4. 5. would like to join an ad hoc conference. Answer the second line, which will put the first call on hold. Press the More key twice and then press Select. Toggle to the call to the first line and press the More key; then press Join. All three parties are now in conference. Page 7 of 10 document1 Conference Call Tips To place a conference call on speakerphone, press SPEAKER. Press MUTE to mute the speakerphone. The conference parties cannot hear you but you can hear them. The phone only allows twelve parties in a conference call. When in a conference, placing your call on hold will NOT play hold music to the conference call participants. Section 8: Voice Mail Voice mail allows you to access messages left by callers when you are unavailable to take their call. Setting Up Voice Mail Please refer to Section 2 - Initial Set Up of this User Guide for complete instructions on setting up and configuring your Voice Mail. Other Set-up Options Option #1 = GREETINGS - Configure your personal greeting to suit your needs. Option #2 = MESSAGE SETTINGS - Use this to change how messages are handled and announced. Option #3 = PERSONAL SETTINGS – Use this to change password, recorded name or directory listing. Option #4 = TRANSFER SETTINGS – Use this menu to transfer callers when you are not available to answer your phone. i.e.; go directly to Voice Mail Accessing Voice Mail To access voice mail, press the MESSAGES button and follow the voice instructions. The red light on your phone handset illuminates and the LCD will display a message indicating a voice mail message is in your voice-mailbox. To check your voice messages from outside the office, you may dial the following number: (951) 343-3999, you will be prompted for your ID, enter your 4-digit extension followed by the ‘#’ key. Next you will be prompted for your password, enter the password which you created during your voice mail setup, followed by the ‘#’ key. Page 8 of 10 document1 Voice Mail Options Key Options The following options are available during message playback. Press 1 to hear new messages. Press 2 to send a message Press 3 to delete the message Press 4 to slow message playback Press 6 to increase message playback Press 7 to reverse message playback 3 seconds Press 8 to pause playback Press 9 to forward message playback 3 seconds These options are available after the message has been heard. Press: 1 Repeat 4 Reply 7 Skip back 2 Save 5 Forward 9 Properties 3 Delete 6 Mark new 0 More Options Section 9: Using Call Forwarding To forward all calls to another extension: Call Forwarding can be done by pressing the CFwdAll soft key (you will hear two beeps) and then dialing the number to which you wish to have the calls forwarded. To forward all calls to Voice Mail: Press CFwdAll, then press the Messages button to forward all calls to Voice Mail. To forward all calls to an outside line: Press CFwdAll, then dial the outside line (9+ the phone number) To turn-off Call Forwarding, press the CFwdAll soft key. Page 9 of 10 document1
