How to register an Oyster card online to redeem travel expenses through KUSU Volunteering: If you travel into uni by public transport you may already have a season ticket/pass. If this covers the journeys you will need to make for volunteering, then you can use this (since it will incur no additional cost to you) and should do so in order to save KUSU (who are a charity) or the organisation you’re volunteering with money! If it doesn’t cover the journeys you’ll need to make, you can claim the cost of these back either directly from the charity or (if they cannot cover these costs) from KUSU. See your volunteering Handbook for more details. Which you claim from depends on the agreement KUSU have with the organisation, ask your volunteer coordinator. For schools, this will always be KUSU. To claim back your money you need proof of your journey. Since bus tickets cost more than Oyster card travel, and our policy is for you to use the cheapest form of travel wherever possible, you need to give us a print-out of your journey/s from your Oyster card. In order to do this, you need to register online. You need to register your card before making journeys which you want to claim back- it can’t show journeys which took place before the card was registered. If you already have a season ticket or travelcard on your Oyster, you’ll have already done this. If you’ve only ever used your Oyster card for pay-as-you-go in the past, here’s how to do this: 1. Go to the TFL (Transport For London) website: http://www.tfl.gov.uk/ 2. Click on the ‘Oyster’ section 3. Click on the ‘free online account’ section next to the padlock symbol: 4. Enter the number you’ll find on the back of your Oyster card in the top right-hand corner 5. Complete the form 6. You’ll then have an account. You can now view details of your card, which will include your journeys once you’ve made some. 7. Once you’ve made some journeys, you will need to go to the TFL website and go to the Oyster section again (see point 3) in order to log in on the right hand side. You can then view your journeys. Copy and paste your journey history into a Word document, highlight the journeys you’ve made to volunteer, and then print it out. If you don’t have a printer you can use one in the library, or email it to your volunteer coordinator. 9. Arrange a time to come in and collect your expenses (you can do this without an appointment, but it’s better to get one since we may be in a meeting when you come in! You’ll definitely need an appointment if you’ve emailed us your journey history!). Remember that the Finance department is only open Monday-Friday, 10am-4pm. 10. Complete a pink form and claim your travel back from the Finance department. They will give you cash. 11. If you’re claiming travel for a one-off project, you should come in as soon as is convenient. You may need to wait for up to three days for your Oyster account to show the journey. If you’re volunteering regularly you don’t have to come in every week- many people save up their journey history for a month or half a term, but ensure you print out your journeys regularly, since your Oyster account can only hold a set number of journeys (this may be changing soon) and only keep records for eight weeks, and we can’t refund your travel costs for journeys which you don’t have a record of! Can’t use the online system? You can view your last 8 journeys at touch-screen ticket machines at stations if you want to check something, but can’t print these off. You can however get a print off of your last eight journeys from tube (not train or bus) station ticket offices.
