MINI GRANT & PROJECT AGREEMENT
MEMORANDUM OF UNDERSTANDING
This serves as a contractual agreement between (FUNDER) and the below signed grantee, in providing each other
resources in coordinating the agreed upon service-learning project. This shall reflect, when signed, a Memorandum of
Understanding (MOU) being in effect until the completion and evaluation of the named project.
The representing parties will adopt the agreements in this MOU, as defined below. It is noted that both consenting parties
may make changes (in consultation with the other party) to this MOU and, in such case, an addendum to this agreement
shall be written and signed.
(FUNDER)’s ROLE
(FUNDER) agrees to:
• Provide the grantee with a (insert grant amount here) grant to be used for supplies outlined within the project expense
list.
• Provide program, media, and government relations support and resources as needed and requested;
• Provide the grantee with any requested tools & resources as well as free materials, such as project planning guides,
document templates, etc.;
• Promote the grantee in its media outreach and provide media and public relations assistance, including: press release
templates, project recruitment through our website, PSA templates, and other additional media templates to assist in
promotion of the project;
GRANTEE’S ROLE
In return, the grantee agrees to:
• Provide (FUNDER) with accurate contact information of the school acting as the fiscal agent for project funds.

To provide (FUNDER) with progress updates including the date and time in which a staff member can come out to the
project for a site visit, take photos, and document project. List project date/time/location here:

To provide AC DHS OBH with a minimum of five 5 pictures documenting the project planning and implementation
phase.
To complete a final report. The final report form is provided by (FUNDER), and will guide the grantee through this

MOU FAQs
What Is Required of the Applicants After a Grant Is Awarded?
When a grant is awarded, the primary applicant representing the team is required to sign the Grant Agreement.
The Grant Agreement requires the grant team to provide financial accounting (with receipts) of all monies
spent. Unused funds are to be returned to (FUNDER). A final report is required. Forms provided by (FUNDER)
will guide the grant team through this process. The final report and financial accounting are due at designated
date.
When Are the Funds Issued to the Grant Recipients?
As soon as (FUNDER) receives the signed contract, the process to issue a check begins. This takes
approximately 2 to 3 weeks. All checks will be made out to the fiscal agent. The grant team will be able to
access these funds through the fiscal agent’s account.
Who Owns the Resources Purchased Through a (FUNDER) Mini Grant?
All items purchased through a grant are the property of the school district for use by the applicant(s) to
implement the grant program. On occasion, grant winners have been reassigned or have left the school district
or program and the use of the resources acquired through a grant has become an issue. In this case, the
applicant(s), administrator and, if necessary, (FUNDER) grant coordinator should discuss the best and most
appropriate place to use the resources. However, in all cases, the resources of the project are not the personal
property of the applicant(s).
What Happens If I Do Not Complete the Terms of My Grant Agreement?
If the funded grant project is not carried out, the applicants will be required to return the original grant funding.
If the final report and financial accounting are not submitted in the designated time frame, the applicants will
not be eligible for future grants until those obligations are met.
