UKARA – New Player – User Guide
SECTION 1 – New Player Online Application Form Location
The general URL for the new Online Player Application form which will be given out
on the UKARA Site will be:http://www.ukaradatabase.co.uk/newplayer/index.asp
Players will arrive at the landing page and they will be able to select the site they
want to join from a drop down list before being taken to the Online Application Form.
Site Link
The Site can add a link to their own web site for new players which will take them to
a dedicated page for new players to join their site
The link will look like - http://www.ukaradatabase.co.uk/newplayer/index.asp?id=XXX
where XXX is the Site Lookup ID
You can find your Site Lookup ID by logging into the UKARA Site Admin System and
you will see the Site Lookup ID on the home page just under the Site Name & Prefix
Example:
Frank of Free Fire Zone who has a Site Lookup ID of 674 would give out the
following link to his new players:http://www.ukaradatabase.co.uk/newplayer/index.asp?id=674
or he could embed the link into text on his web site:Click Here to go to the Free Fire Zone Online Application Form
SECTION 2 – Completion of Application Form
It will always be best if the new player completes their own Application Form as they
know their personal data and will have probably done it hundreds of times in the
past.
They will also be better placed to check the accuracy of the data entered so there
should be less occurrences of spelling errors such as “hotmial.com” which gives rise
to bounced emails and players complaining they have not received the emails sent
out by UKARA.
However, anybody could complete the Application Form on their behalf so it would
be possible for a Site to complete the Application Form and to then validate the
player once all the registration criteria have been met.
Once the Application Form has been completed and validated, the data for the new
player will be stored in a separate table and a confirmation email will be sent to the
player and the site.

SECTION 3 – Site Administration System
When a site logs into the UKARA Administration System, they will now see a new
menu item called “View New Players”
When this new link is clicked on a list of new players will be displayed and it is
possible to filter the list by selecting the various options in the drop down menu.
It is possible to filter the list by the Status of the new player.

Eligible (E)
Transferred (T)
Archived (A)
Description
As soon as a player has completed and submitted the
Application Form, they will become a Provisional Player
As soon as a player has met all the eligibility criteria, then
they will become an Eligible Player
Once a Player has been transferred to the main player
table in the database, they will become a Transferred
Player
If it is known that the new player is not a current or valid
applicant, then their data can be archived
Updating Provisional Player Information
Clicking on a player in the list, will load the player’s details on a new page. The site
can edit the data that the player has entered if they have made a mistake or the
player changes home address, email address, etc. The site will be able to modify the
form and then press “Update Player Details” to save the changes.
As a Player meets the eligibility requirements and produces identification, then it will
also be possible to update their Eligibility Details.
Eligible Players
Once a Player has met all the eligibility requirements, 8 green ticks will be displayed
and it will be possible to transfer the player to the live player table in the main
UKARA database.
Transferring Players
When a player is eligible to be transferred, then the button at the bottom of the page
will be activated and pressing “Activate Eligible Player on Main Database” will
transfer the player’s data. A Site should be satisfied that the player has met the
eligibility criteria laid down by UKARA. Once a player has been transferred, then all
the data for that player will be frozen and it will not be possible to change any of the
information.
When a player has been transferred, then a link will be displayed at the top of the
page, allowing the site to view the player’s details in the main database table.

This system puts 100% of the responsibility on the game site to only register valid
players onto the UKARA database. It should make the process much more efficient,
accurate and timely but if you are unable to give this commitment please continue to
use the old paper system.
Archiving Players
If a player joins up and then doesn’t attend or only attends once or twice and it is
obvious that they are not going to come back, then you can archive the player by
unchecking the checkbox called Live / Archived just below the Player Identification
section. You can also archive the player where the player details are fictitious, spam,
Mickey Mouse, etc. If you get too many bogus players on your list, please report this
to UKARA Admin and it will be possible to add an additional level of authorisation –
such as clicking on a link in a confirmation email before a player is added.
Once a player becomes archived, the only way they can be viewed is to select “View
Archived Players (A)” on the View New Players screen. Archived players will no
longer be displayed on View Recently Added Players or View All Players. These two
pick list options have now been renamed “View Recently Added Live Players (30
days)” and “View All Live Players”.
Player Identification
Please select the two forms of identification that the played has shown you to
validate their identity. If they have shown you a form of identity that is not in the drop
down menu, you can write some explanation regarding the evidence shown in the
Identification Notes field. DO NOT use this field to enter any personal data such as
Passport Numbers, Credit Card details, etc.
System Emails
An email is sent to the new player and the game site when the Application Form has
been submitted. This email is entitled “UKARA Online Database – New Registration
Application”.
A second email is sent once the new player has become eligible and the game site
transfers them to the live system. This email is entitled “UKARA Online Database –
New Player”.
