Minutes of the Last Meeting (14.01.2016)
Approved with no amendments.

Elections
Elections were currently running for both club and Sabbatical posts and nominations
needed to be submitted by midday on 19th February 2016. It was suggested that current
committees should try to ensure that their clubs were left in good hands. CL advised that
currently, Dance was the only club that had nominations for every committee post. She
then advised each club present what their current position with regards to nominations was.
She said that she would also email details to every club and if people wanted any
information or help they should see her in the SU office.
In order to qualify to vote club members needed to have attended 10 sessions and so
keeping accurate registers was very important. HF would be chasing for registers over the
next few weeks. Anyone who wanted to vote would also need an Involvement Card and CL
said that in the next few weeks she would be banning anyone who was still playing without
one. If cards were inaccurate because the holder was now playing a different sport they
could be easily updated online.
JS also reminded everyone that filling out team sheets was also very important and should
be done for every match.

Varsity
This was now just six weeks away and the launch event had taken place on the 27th
January 2016. Everyone was asked to get their players to commit to train before the event
as it was very unfair to pick players for Varsity if they had not been as committed to training
as others.
CL advised that there would be no third year preferences – it did not matter which year
people came from as long as they were good enough to play. Swimming was a new event
for Varsity 2016 and CL was hopeful that Bucks would do well.
Tickets were now on sale for £10.00 each, and the price was the same for players or
spectators. It was commented that when buying spectator tickets the website still asked for
team details – CL to talk to RB in SU Comms about this. The price of a ticket covered
CL
travel, food, a t-shirt and sweatbands from MIND, who were the partner charity for Varsity
this year. Teams that could not wear the sweatbands when competing could wear them
afterwards. MIND would have 20 to 30 people present on the day with collecting buckets.
It was asked if the fixtures had been finalised yet. CL advised that currently she had a
rough idea but there were still one or two to sort out. Referees were not yet finalised either.

AU Dinner
JS advised that nominations were now open for this event and this year there would be a
new award for ‘Most Improved Player’. The date of AU Dinner was the 20th April 2016.
Everyone was asked to nominate people from their team for the various awards,
particularly ‘Fresher of the Year’ and ‘Coach of the Year’. Nominations could be submitted
either on the website or on paper at the SU reception desk. The deadline for nominations
was Friday 18th March 2016, two days after Varsity. Teams were also asked if they could
nominate their individual Players of the Year as well.
Each team would get an allocation of tickets but this year they would be sold on a first
come, first served basis rather than being hand-picked by the club committee. Any not sold
after a certain time would then go on general release so it was important for people to get
their tickets early on.

Accreditation
Everyone was asked to continue trying to keep this up to date. HF had sent out a
spreadsheet to each club and this should be kept as up to date as possible. Any club that
wanted to be considered for Club of the Year had to have achieved Outstanding. Anyone
who needed any further help or guidance was asked to contact HF in the SU office.

First Aid
The next First Aid course available was being run on 12th February 2016 and could be
booked through the What’s On section of the SU webpages. The training was free if done
whilst people were still students at Bucks, but would be quite costly is done outside of the
University. The course took place from 10.00am to 4.00pm and accreditation lasted for
three years. JS advised that if anyone in their third year had accreditation that ran out
before the end of 2017 then this was an ideal opportunity to renew it for three years at no
cost.

Volley For Rag
This was taking place on the 23rd February 2016 and would be fancy dress. Single sex
teams of 6-8 players would be needed and entry for each team was only £10.00. Spectator
tickets were £1.00 and there would also be drinks promotions in the bar. Teams needed to
register with DL in the SU office by Friday 19th February. All money raised would be going
to RAG.

AGMs
JS reminded everyone that all clubs needed to hold an AGM for accreditation. It would be
best if they could be held between 19th February and 4th March to enable committee
election hustings to take place at the same time and before election week. An AGM needed
to be a meeting to present a summary of the club over the past year. CL and HF could
book rooms for clubs if needed.

Campaigns
There were a number of campaigns and volunteering opportunities coming up that needed
help and support. The Football Team had been to the Dog Rescue Centre in Stokenchurch
to walk the dogs and JS was soon running a bingo session at an old people’s home. It was
good to do such events as a team and counted towards accreditation. Mental Health
Awareness week run by Jenny Wade was coming up shortly which needed support. Also,
the Smile Campaign was taking place on Monday 22 nd February between 7.30am and
9.00am which involved handing out Fairtrade bananas and flapjacks to commuters and
counting the smiles gained. Everyone was asked to talk to the Sports or Volunteering
teams in the SU if interested.

Upcoming Events / Takeovers
The Rugby takeover on Wednesday 3rd February had taken £784 (before costs). Upcoming
events were as follows:





10th February - Pole Soc with a Burlesque theme. Dress to Impress.
17th February – Netball takeover with an Olympics theme.
20th February – Dance competition.
3rd March – Football takeover. Theme yet to be decided.
Any Other Business
Volunteering
So far clubs had logged almost half of the total of 3199 volunteering hours this academic
year, which was excellent. Everyone was reminded to log their hours, including those doing
admin for clubs or attending committees and to register them for their particular sport.
Chair Handover Meeting
This would be happening after Easter and would be a chance for outgoing and incoming
club committee members to meet, go through club matters and discuss a draft
development plan for their club. Attendance would be compulsory. Details to follow nearer
the time.
#buckssuMoreThanABar
Currently five teams were very close at the top of the competition to tweet the most and win
£50.00 for club funds. Everyone was asked to tweet as much as possible before midnight
on 4th February to help their team win.
Around the World
Everyone was reminded to keep logging their miles on the SU website until Sunday 20 th
March 2016.
