Job Purpose
To provide an efficient level of administrative support to the
Curriculum for Excellence Business Area during
development of the new Advanced Higher qualification.

Specific duties of this post
Provide admin support across all Qualifications Business Areas
within the published service level agreements. This includes:
1. Ensuring that the post holder familiarises themselves
with any changes to admin procedures such as
Service Level Agreement, Admin Handbook and
regular checks of the Bulletin Board.
2. Providing front line telephone support for all internal
and external enquiries.
Working flexibly within all Qualifications Business Areas to provide
admin support when necessary
Monitor and maintain Qualifications e-mail in-boxes. This includes:
1. Acknowledgement of e-mails with regular progress
updates to sender
2. Forwarding any queries from external stakeholders to
relevant QM/QO within 24 hours of receipt of e-mail.
3. Ensuring all files are cleared after one month of
completion, including personal folders.
Assist in the preparation of various meetings and events, internal
and external. This includes:
1. Confirming dates and booking room/venue including
catering requirements.
2. Preparing and distributing all papers for meeting, i.e.
agenda items within an agreed timescale.
3. Take minutes/action notes at meetings i.e. team
meetings
4. Typing and distributing minutes/action notes within
one week of meeting
5. Attending meetings/events to provide admin support
Working with colleagues across teams to ensure fluency in
workflow.
Arrange travel and overnight accommodation requirements
including attendance and booking delegate places at
seminars/conferences etc.

Maintain electronic logs for contracts, financial transactions and
procurement activity including following appropriate procedures to
ensure payment.
Contribute towards the organisation's continuous improvement
initiatives and ensure personal compliance with documented
processes.
Contributing to the implementation of new areas of work/ projects
including the following:
1. Supporting in the amendment to existing procedures
to ensure effective communication of such changes
2. Supporting in the development of administrative and
or any associated systems

Qualifications, knowledge, skills and experience
As a minimum be educated to SCQF Level 4 or be able to
demonstrate direct relevant experience for this role
Be able to operate Microsoft Office packages at the appropriate
level for this role
Be able to operate specialist IT systems relevant to this role
