How to proceed with your application

Research – read through this information and consult the university websites.

Consider carefully all the ramifications of a period of study abroad – personal,
academic and financial. You may want to discuss these matters with your family.

Find out what modules you will be missing if you are doing a term abroad by referring
to this link: http://www.sussex.ac.uk/schoolsandservices/schools/courses.

Make an appointment with your Study Abroad Departmental Representative(s) (see
list included) to discuss the modules you will be studying at the partner university
Information can be found on the exchange university website.

Fill out an Application Pack. This is available from the Sussex Abroad office or online
on the Sussex Abroad webpage. The Application pack consists of an application
form, a Statement form, a Reference form and a Proposed Modules for Study Abroad
form. The reference is to be obtained by your Academic Advisor. Please hand the
completed Application pack to Ester Aventin (Sussex Abroad office, Friston 103)
Study Abroad
Students who are not studying a Language or American Studies degree, but who would like
to incorporate a period of study abroad into their Sussex course, may apply to spend a term
(if allowed by your department) or a year, as an exchange student at a partner university.
Students with a sufficiently high level in the relevant foreign language may be able to apply
for places in France, Germany, Italy, Spain or South/Central America. These places are
reserved for language degree students, but there are usually a few remaining. You will be
required to take a test to determine your foreign language level before your application to
study in the language can be approved.
There are three study abroad models:
1.Study Abroad Term: Incorporated within the three year degree, this forms an integral part
of your course. The following subject areas CANNOT apply to study for a term: Psychology,
Life Sciences, Law and Business, Engineering.
2.Study Abroad Term or Year within the Integrated Masters Course (Science degrees):
Incorporated within the four year MChem / MPhysics / MMaths course, students study
abroad for a year. The modules you study while at a partner university do replace the
modules you would have taken at Sussex during that same year. You will follow a full course
load at the host university and you will bring your official transcript back to Sussex. As a
period of study abroad will contribute to your overall final award, all students wishing to take
part will need to meet the minimum academic requirements.
3.Study Abroad Year: the student can opt to take the Study Abroad Year, extending
the 3 year degree to a 4 year degree course.
The modules taken at the university abroad are in addition to those taken at Sussex, and
there is a degree of flexibility with the academic programme that students take whilst at the
partner university. You will follow a full course load at the host university and you will bring
your official transcript back to Sussex.
Finances
Please note that you will be responsible for your own return air fare, insurance, rent and
other living expenses.
Fees
Fees will remain the same for all Sussex students studying abroad for a term, and must be
paid in the usual way. Students undertaking a full year abroad in the third year of a four year
degree programme will pay a reduced tuition fee for the year abroad.
The Student Loan – Overseas Rate
For 2014/15 the non means tested student loan is £4,290 (currently £3564)
(all students get this part)
the means tested student loan is £2,310
(some students get this part)
Total loan is £6,600
You may be eligible for a means-tested loan of £116 per week for any extra weeks of study
In addition, the Government gives a means tested grant to cover airfare (less £303) and
medical insurance.
Students who receive a maintenance grant and/or bursary/Chancellor’s scholarship will
continue to receive this on top of their student loan.
You will receive a proportion of your loan at the higher rate for the duration of your study
abroad.
All Sussex students studying abroad are required to purchase the Sussex Group Insurance
Policy. This policy covers medical expenses, personal belongings including lap-top cover,
cancellation, personal liability and overseas legal expenses.
Applying
Once you have decided on your preferred universities, please download an Application Pack
from our web pages or collect a pack from the Sussex Abroad office and when this is
completed return it to the Sussex Abroad office.
The Application Pack consists of:





Application form (please list three choices)
The Proposed Modules for Study Abroad form This needs to be signed by your
Study Abroad Departmental Representative(s) and Director of Teaching and
Learning. This is where you list the modules/credits you will miss at Sussex and the
ones that you will replace them with at your chosen university. If you will be missing
core modules during your proposed period of study abroad, you will also need to
complete the Module Mapping document. Please note this document allows you to
directly relate the modules you hope to take to the one you will miss and clearly
demonstrates how the learning objectives of the two modules match.
Statement (why you want to study abroad)

Declaration Form
Selection Criteria
The minimum eligibility criteria for study abroad are:




A complete application pack received by the deadline
A solid academic reference
A minimum average grade of 55% - 65%(actual or expected) depending on your
subject
Consent of the Student Support Unit (if applicable)
Disabilities and Learning Support
The level of support offered to students with disabilities or other special needs varies among
our partner institutions. Where possible, we strive to ensure that all students have the same
provision for their disability/other support need as they do at Sussex. However, it is important
to recognise that not all partner universities have the same resources which we have at
Sussex e.g. access to one-on-one dyslexia support for students.
Please make sure that you inform the Sussex Abroad team of your support needs so that we
can liaise with the Student Support Unit (SSU) at Sussex and the Partner Institution and
ensure that appropriate arrangements are in place.
Your Accommodation at Sussex
It is a cause of concern for many students that to study abroad, they will have to either give
up their current accommodation or find someone to replace them for the period they are
away. There is no easy solution to this. You can speak to and agree with your landlord, if
you have signed your tenancy agreement, about seeking a replacement. Although there is
no guarantee that you will find a replacement, there are always people looking for short term
accommodation in Brighton. You can then let the Housing Office know you will have a room
available for rent for a fixed period so that they can advertise it. However, when you sign a
tenancy agreement, you are responsible for the payment of rent for the duration and other
issues, or until you find an agreeable replacement.
You could also advertise your room on our Facebook page Sussex Abroad or the Facebook
page Sussex University House Hunt where we invite International students coming to
Sussex to join the page and these students are often in need of accommodation. The
following websites may also be useful:
www.housepals.co.uk
www.spareroom.co.uk
www.gumtree.co.uk
Alternatively, if you decide to give up your room altogether, we can put you in touch with
other students returning from abroad at the same time as you, so that you can find places to
share together back in Brighton.
Although this matter causes students a lot of worry, to our knowledge students have always
managed to overcome the problem without too much difficulty, including finding new
accommodation in Brighton in January without great difficulty. Returning students would
certainly say that the long-term benefits gained from a term abroad far outweighed this
passing problem with accommodation.
STUDY ABROAD IN EUROPE – THE ERASMUS+ PROGRAMME
www.britishcouncil.org/erasmus
Erasmus+ is designed to support the European activities of higher education institutions,
including the mobility and exchange of students. Over 2 million students in Europe have
participated in the programme since its inception in 1987, receiving funding to enable them
to spend a period studying abroad.
Students can read about the Erasmus experience from the student perspective at:
http://www.britishcouncil.org/erasmus-britishcouncil-casestudy-4.htm
Students are eligible for Erasmus if they are:



Registered at a UK institution of higher education;
If they have not received an Erasmus grant for the same type of placement (study,
work or postgraduate) in a previous year.
Spending an approved study period of between three and twelve months in another
EU, EEA or ‘partner’ country:
Eligible Countries
Austria, Belgium, Bulgaria, Croatia, Cyprus, Czech Republic, Denmark, Estonia, Finland,
France, Germany, Greece, Hungary, Iceland, Ireland, Italy, Latvia, Liechtenstein, Lithuania,
Luxembourg, Malta, Netherlands, Norway, Poland, Portugal, Romania, Slovakia, Slovenia,
Spain, Sweden, Turkey.
(Please note this includes our partner institutions in the Canary Islands and La Réunion)
Widening participation payment
For students studying abroad within Europe In 2014/15, the British Council - the UK’s
National Agency managing the Erasmus+ Programme on behalf of the European
Commission - offered students whose household income was less than £25,000 an
additional financial supplement.
Your eligibility for this would normally be assessed by Student Finance England when you
apply for financial support for the year. However, you must make sure that you have given
them the authority to share this information with us here at Sussex. Otherwise we will not
know if you are eligible. If you are an International Student and receive some sort of financial
scholarship, the threshold for you to be eligible for this additional grant will depend on the
average income in your home country which may be lower than the equivalent of £25,000.
Please see David Brimage in the office if you would like further details on this.
STUDY ABROAD IN NORTH AMERICA
Accommodation
Accommodation in the US is usually guaranteed, and in some cases may be an essential
part of the exchange. You should note that it is the norm to have a roommate at American
institutions, and that single rooms are rarely available. At some (but not all) institutions it may
be possible for you to live in private accommodation, if you prefer, and the host university will
usually be able to provide you with information about finding your own housing.
Financial Guarantee
In order to go to the USA or Canada to study, you will need to provide financial guarantees
before a visa will be issued. The amount of money that has to be guaranteed varies
according to which campus you attend. Students will have to demonstrate that they have
sufficient funds available before the visas can be issued. This means that money is actually
in an account or various accounts.
Most students use their Government Student Loan as part of their guarantee, the remainder
of the amount to be guaranteed (currently in excess of £2,800 for the academic year) can be
made up from either personal funds, or from funds guaranteed by your parents or members
of your family.
Insurance
The cost of medical care in the United States is extremely high and every student will be
legally obliged to take out medical insurance cover at their US and Canadian university. You
will also need extra cover for travel to and from the university and for the costs not covered
by the US insurance policy. Their policies often only cover 80% of costs, therefore, you will
need our supplementary policy for the 20% not covered. The cost of insurance will be
between £800 - £1000. If you study abroad for one semester the insurance cost will be
halved.
Visa
The Student and Exchange Visitor Information System (SEVIS) is an automated process for
collecting, maintaining and managing information about foreign students, exchange visitors
and their dependents during their stay in the United States. There is now a charge for this
service of $180 or $200 depending what visa you have. This fee is separate from and in
addition to the visa application fee currently £60. The SEVIS fee can be paid electronically or
by mail. It cannot be paid at a US embassy or consulate and it cannot be paid at the port of
entry.
THE ALLAWAY SCHOLARSHIP – UNIVERSITY OF CALIFORNIA
Applications are invited to compete for the above-named scholarship which is awarded
annually to enable a Sussex student to spend a year at the University of California.
The Scholarship was established fourteen years ago thanks to the generosity of Professor
William Allaway, Director Emeritus of the Education Abroad Program of the University of
California, and his wife, Olivia. Professor Allaway was instrumental in establishing the
Sussex-California exchange programme in the 1960s. Since then, many Sussex students
have benefited from spending a year at the University of California but, prior to the
establishment of the William and Olivia Allaway Scholarship, this opportunity was only
available to students on an American Studies or North American Studies four-year
programme.
There is a Scholarship available for one student which is awarded through an annual essay
competition. Essay Title: Why the opportunity to study at the University of California
would benefit my degree programme and/or my future career. Essay Length: Not more
than 1500 words.
Each Scholarship will provide the following:
1. A stipend of $3,000 (US) for the academic year.
2. A tuition fee waiver at the University of California (you will still need to pay University of
Sussex fees for the year but this will be at a reduced amount).
Please note that you will be responsible for your own return air fare, insurance, rent and
other living expenses and that, in order to be eligible for a visa, you will need to provide a
bank reference and financial guarantees. Costs vary considerably at each of the University
of California campuses and you might want to take this into account when making your
choice of campus. You will, of course, still be eligible for any usual loan entitlements. Please
pick up an application for the scholarship from the Sussex Abroad office.
BUTEX STUDENT SCHOLARSHIPS
Each year BUTEX awards sixteen scholarships to students studying abroad for either a
semester or for a whole academic year.
Eight scholarships are available to UK students studying abroad in the USA or Canada and
a further eight scholarships are available to North American students studying in the UK. The
value of each scholarship is £500 and will be paid to the winners once they have arrived and
registered at their host university.
Applications will be accepted from January 2015 and the deadline for all applications is the
31st May 2015. Please visit http://www.butex.ac.uk/ and click on Student Scholarships for
more details.
SCHOLARSHIPS IN ASIA
There may be scholarships available for Asia which you can apply for directly via the
university once you have been accepted to study there.
STUDY ABROAD IN AUSTRALIA
Australian Semester Dates:
Semester 2: July – November
Semester 1: February – June
You can only study in Australia for the Spring semester (February – June) or the full year. If
you apply to study in Australia for full year you will need to be in Australia by the beginning of
July. This means that you have only a couple of weeks after the end of the summer term at
Sussex.
Visa
If English is not your first language you will need to provide a copy of your IELTS results in
order to obtain your visa. Tests older than two years are not acceptable.
