Tour of the Site Manager You perform most daily tasks from the Home tab and manage teammate profiles from the Employee tab. Perform tasks by clicking buttons (also called “widgets”). A red number on a button means there is something for you to read or do. Buttons for related tasks are grouped under menus or “task flows.” Slide 3 © 2008 General Parts International, Inc. Daily Productivity Report When you first log in to the Site Manager, take some time to become familiar with the information on the Daily Productivity Report. Hover over a warning icon to see the punch exception message, such as “Long Meal.” Click the name of a teammate to view or edit the teammate’s timecard. Note: To close without saving changes, click Cancel. Use the Call Off button to cancel a shift or the No Show button to log a no-show. Slide 7 © 2008 General Parts International, Inc. Edit a Timecard Click the Audit Reason drop-down arrow, select the reason you made the edits, and then click the OK button. Each time the you launch the Web Clock, it gets updated information from TmT. Awaiting Approval Teammates can submit requests to swap shifts. In this example, the teammate tried to punch out at 5:41pm. This punch was rejected because it was more than five minutes later than scheduled. Time Off Requests From the All Time Off Requests button, you can approve or deny time off requests as well as enter time off requests on a teammate’s behalf. © 2008 General Parts International, Inc. You can also click the Peer Requests tab to see other time off requests that conflict with this one. In the New Comment field, type any comments to the teammate. Click the Approve or Deny button. Approaching Overtime The Approaching Overtime button displays the number of teammates who are approaching overtime for the current week. Click the Approaching Overtime button. Approaching Overtime The Projected hours shows how many hours a teammate is projected to have by the end of the week based on what they’ve punched and what they are scheduled to work for the rest of the week. Non-Worked Hours Fill in the form: Date: Enter the date the non-worked hours occurred. Job: Select the TM’s job from the list. Type: Select from list, such as Sick or Vacation. In some US states, such as California, we are required to pay for breaks. Before Closing a Pay Period • Before closing a pay period, review the status of timecard edit approvals. You need to go into the Core to do this. Slide 33 © 2008 General Parts International, Inc. Punch Edit Approval When you edit punches, make sure the teammates know they need to review and approve the punches in MyTmT. Teammates should discuss with you any concerns they have with the edits. (If you cannot reach an agreement, the teammate may reject the punch – instructions are in the Teammate Quick Tips.) Before closing the pay period, go to Core and click the Punch Edit Approval task to review the statusSlideof34approvals. © 2008 General Parts International, Inc. Review the status of each punch edit approval. Click the Pencil icon to view comments entered by the teammate. Teammates should always enter a comment when they reject a punch. If possible, teammates should approve all punch edits before the close of the pay period. However, if they do not you can still close the pay period; teammates will be paid based Slide 35 on the edited punches. © 2008 General Parts International, Inc. The Close Pay Period menu in Site Manager provides a workflow for closing the pay period each week. Important: You cannot close a pay period before the pay period is over. Close Pay Period: Unpaired Punches If a red number appears, click the Unpaired Punches button and fix the unpaired punches. After fixing all missing punches, the Run Pay Engine button becomes active. Close Pay Period: Run Pay Engine Click the Run Pay Engine button. An icon on the button will spin as the engine runs. Make any necessary edits to the timecards. Important: Borrowed teammates do not display on the Timecard Summary in Site Manager. You must run the Pay Summary report in Core to see borrowed teammates. The borrowing store must close the pay period before the borrowed teammate’s home store. If the home store closes first, the borrowing store cannot edit the borrowed teammate’s time. An icon on the button will spin while the pay period is closing and data is being exported to Payroll. After clicking the Timecard Summary button, a green checkmark displays on it and the Close Pay Period button becomes active. Slide 40 © 2008 General Parts International, Inc. Close Pay Period When the pay period has finished closing, a green checkmark displays on the Close Pay Period button. In this situation, you should submit a Quick Pay Request. From the Core, type “quick” in the Quick Find box and click Quick Pay Request. Then, follow the instructions in your TmT Manager’s Guide. Reports From your dashboard in the Core, you can access a number of reports. For instance, the Scheduled vs. Actual report compares what was scheduled to what was punched. On the dashboard of the Core, click Scheduled vs. Actual. Scheduled vs. Actual Report Click Run Report. In the Select field, choose Pay Period. Select the Pay Period you want to view.
