Introduction
This user guide has been designed to help you set your e-form preferences within HR Organiser.
Logging in to HR Organiser
You can log in to HR Organiser here: https://hrorganiser.essex.ac.uk
You will need your University username (without the @essex.ac.uk) and your University password. This is
the same password you use to log on to the network and your emails.
Having trouble logging in? Your password must not contain any of the following characters " £ ¬ ¦ | \ if it
does you will need to reset it which can be done here: https://www.essex.ac.uk/password/login.aspx
If you are still having problems please contact the IT helpdesk.
Please note you can only log in to HR Organiser whilst you have a current contract with the University. If
you have left and your contract has ended you will no longer be able to gain access to the system.

Setting e-form preferences
If you wish to receive your payslip by email you can do so by setting your e-form preferences. This means
you will be sent an electronic version of your payslip to an email address that you have specified.
To set your e-form preferences log in to HR Organiser and select the person icon at the top right hand
corner of the main homepage, follow the e-form preferences link.
Once you have clicked on the link you will be presented with the below screen. Enter an email address of
your choice and a password. If you wish to receive an emailed copy of your P60 as well then tick the Email
P60 box and also enter an email address of your choice and password. Please see the next section for
information and advice about passwords.

your University address or
a personal one.

Here you can enter your
password. This password
will be required when you
open a payslip that has
been emailed to you. If you
forgot this password you
can reset it here but it will
only take effect for future
payslips not previous
payslips.
Please note: from 1st April 2014
you will only be able to have
your payslip emailed to you or
view it within HR Organiser. Any
member of staff with the paper
payslip option still selected after
this date will have the option to
change from paper to email but
once this selection has been
made it cannot be reverted.

Password
You should ensure that the password you set is something memorable as it will be required every time you
open a payslip from your email. It should be different from your University password. If you choose to save
payslips from your emails to your PC or removable USB device you will also be required to enter this
password each time you open your payslip.
Unlike your University network password your e-form preference password will not change unless you log
in and change it. If you forget this password you can log in and change it but this change will only take
affect for future payslips not previous ones (they will still require the old password).
If you do not wish to enter a password each time you open your payslip then we recommend that you open
and download your payslips directly from HR Organiser where you can save them to your PC or removable
USB device without being prompted for a password. Please see the Pay & Benefits Details user guide for
more details on how to do this.
Once you are happy with the email address and password you have entered click on Save.
Leaving the University? If you are due to leave the University you must make sure you download and
save all of your payslips and your P60 before your leave date.
Once you have left your University account is suspended and you will no longer have access to HR
Organiser. It is essential you make sure you have all the necessary information and payslips that you
require before you leave as you will not be able to regain access.
