About ShulePro 2014
ShulePro is a school management software designed for the Kenyan Education System as its core
functionality. You can off course customize it to another education system so long as it is
competition oriented.

We have listened to you and upgraded to ShulePro 2014 from the previous version 8. ShulePro 2014
is Multi School and supports Primary Schools. You can download a demo at
http://www.shulepro.com/2014/v10/ShulePro.exe Install it using the onscreen instructions and
default settings.
ShulePro 2014 (v10) includes some new exciting features e.g. The Exam sync module that allows you
to join competition zones, create new zones and rank students by combing results from several
schools.

Student Management
This module allows you to add students in to the software, deactivate or simply delete the
student(s). It also allows you to move students from one class to another and manage repeating
students.
You can also bulk import students from excel. Importing makes it simple for you to quickly deploy
the application in your school.
You will also use this module to assign subjects to students and customize their selections or add
KCPE marks used for VAP (Value Added Progress) in the case of the high school edition.
Exams Management & Reports
This is perhaps the most important module in ShulePro. It has been designed with ease of use at
mind. Most of the processes in this module are automatic. You only need to create an exam and
enter the results. If you have a downloaded demo, you already have some demo results of 238
students to play around with.
Creating an Exam
This is the easiest part.
1. Select a class at the main screen, click manage
2. Select a term, click create view exams then finally click Add New Exam.
3. Select an exam type, click save. Add a weighted percent.
a. Weighted Percent allows you to put emphasis on certain exams

You can create as many exams as you want to but it is highly recommended you create three as a
report card printed on A4 has space enough for just 3 Exams.
How to calculate weighted percentage
Most teachers simply assign percentages as 25% for the first Exam, 25% for the second and 50% for
the third exam. It is just a matter of preference. But assuming the first exam was out of 25 the
second out of 50 and the last out of 75?
Then the First exam’s % would be

Entering Results
Entering results is simple, it is just that entering results. You can simplify your work by simply
exporting mark sheets to excel, issue them out to the teachers.
After they fill out the mark sheet, you can import it back in. The Teachers can also login and directly
type in the results. The import and Export features will be discussed by the onsite support.
This module requires that you assign subjects to the students in the student manager module.
If the Section marked 3 above is empty it simply means you haven’t clicked ‘PREPARE’ in
section 1 above or you haven’t assigned subjects in student manager
1. Select an unlocked exam (You cannot edit locked exams)
2. Select a class stream
3. Select a subject and click enter results. The Subject results window opens up. Enter your
conversion factor and results. The rest of the fields including grading will be filled out for you
and subject positions calculated.
Use the “SAVE RESULTS” button to save any entered
results. They will be processed for you. Use ‘EXPORT
MARKSHEET’ to export the results to excel. ‘IMPORT
MARK SHEET’ does the opposite.
Check the ‘OVERRIDE SHEET SECURITY’ before
importing to import results from older systems or other
applications if migrating. You can also delete selected
results
4. Use the GRADES tab to customize the subjects grading.
Processing Results
While in the selected term window click on process positions. Process Positions allows you to
calculate ranks / positions. Ties are also considered.

There are different ways for processing your results. You can decide to rank students using points or
the mean mark. Once you have made your choice, you can use the KNEC style where you drop
certain failed subjects among the non-compulsory ones. Let’s have a look:
1. Select your ranking method.
2. The Results tab allows you to process the results automatically by clicking Process Exam. This
process takes a few seconds depending the number of students in the selected class.
3. Use the Grading System tab to change or customize the Exams grading.
4. Use Term ranking to combine all exams.
KNEC grading drops one or more subjects (the failed ones) among the non-compulsory
subjects.
View Class Results
Viewing class results is pretty easy. Just click on ‘VIEW EXAM RESULTS’. Print by clicking the print icon. Rotate to view the screen short below.
View Report Cards
Click on ‘VIEW REPORT CARDS’ then select a stream. All report cards are loaded. You can print them
all at once. Below you can see a picture of a report card.

Other results delivery mechanisms
Results can also be delivered using SMS. ShulePro works in two modes. You can send the results to
the parents or the parents can request the results themselves by sending an SMS with the student’s
admission number to the school.
NOTE: You do not require short codes or internet to run the above service. ShulePro has an
inbuilt SMS Server that receives and sends back an SMS with the appropriate information.
You can also attach messages to the outgoing SMSs.
See screenshot of results received after sending ‘Exam 4659’ to Makuri Girls High School located in
Meru South. 4659 is a student’s admission number. The reply is automatic and is ideal for when
schools are closed.

Exam Sync
Exam Sync allows schools to compete by sharing results and ranking their students. Exam Sync requires the internet so that ShulePro can search for schools in a
predefined region. This is a step forward as most schools current use the manual method of doing exams as a county or division and so on.
By just the click of a button, you are able to sync results across a region. You can also rank students and give them county positions e.g. POS 1/ 2,661 in the county, You
can even sync form one exams and depending on the current university intake be able to predict if the student will join University . See screen shot below.

Regions
Exam Sync Regions are areas that you can filter results using. In ShulePro, you join your
neighborhood automatically. There is no extra configuration required on your side. By default you
can look up your school’s position and performance across all regions until you select your region
from the dropdown list, in which case it will bring up your neighborhood schools.
School Secret Key
This key prevents someone from altering your results online.

School Fees and Receipting
This module allows you to collect school fees and create fee structures for two different types of students. You can export the students fee balances to excel based on
class or those with a balance above a certain limit. Click Pay Fees to receive money and print a receipt.
You can also suspend students from classes and exams using this module. Suspended students are not visible in the exams module. The receipt has broken down
payments. You can also check reports on what fee items have been paid.

1. Access the Fee Structure
2. Create chargeable items like Tuition by clicking NEW FEES. Click Apply invoices to invoice all
the students.
3. Click to receive payments
4. Use this button to suspend and unsuspended students. Suspended students do not appear
on generated exam mark sheets
5. Receive money, you can change the payment modes
6. View previous payments (Part payments)
7. The receipt. Include previous balances and doubles up as a statement of accounts

Subject Trend
Use the subject trend to view the student trend in a certain subject since his/ her first class to the current class. The trend is shown in a graph. Enter the Students
admission number then click on a subject. The Graph is printable.

This module allows you to record discipline cases and completed punishments. You can even attach
photographs of the case involved for future reference.
